INFORMATION AND APPLICATIONS FOR EXHIBITORS
The Idaho Green Fest is a community festival featuring local artists, vendors, nonprofits and businesses that offer products, services, and education in the realm of sustainability, environmental protection and preservation.
Building upon the success of the 2008-2012 Idaho Green Expos and last year’s first Idaho Green Fest, the April 2014 Idaho Green Fest creates space to have an amazing time while enjoying live music, performance arts, local food and drinks, and eco-conscious presentations and exhibits. The driving force of the Idaho Green Fest is to bring community members together to learn from each other, encourage the active movers and shakers to keep moving and shaking, and to influence one another through critical thinking and heart-to-heart good times.
This event will take place on Saturday April 19, 2014 in downtown Boise, specifically on 8th Street in between Jefferson and Idaho and on Bannock in between Capital and 9th Street. The stage and dancing area, food and beverage vendors, and First Aid/Lost Child/Info booth will be located near the 8th and Bannock intersection, with the music being directed south down 8th Street. Vendors, exhibitors and non-profit agencies will be lined up on Bannock and 8th Streets. In the parking lot of Freak Alley, local recycled art and an additional stage will provide some alternative music genres to reach another target audience segment. The music, art and entertainment will be focused on raising awareness about how people can create positive change in our community and environment.

The mission of GreenWorks Idaho is to cultivate the growth of the emerging green economy through business promotion, community education and advocacy. Organizations that align with this mission are invited to participate in the Idaho Green Fest, which will present information, resources, services and products that promote healthier, more ecologically sound lifestyles while educating attendees about the environmental impacts of widespread consumer actions and choices.

Exhibitors
Exhibitors at the Idaho Green Fest are leaders in the green economy and critical members of our sustainable community. Exhibiting is a major marketing opportunity - our extensive media campaign will reach countless people in the Treasure Valley (and many other areas of Idaho!), and we expect attendance of approximately 3000 people.
Exhibitor Qualifications
The Idaho Green Fest supports individuals, organizations and businesses striving for sustainability. We reserve all discretion in selecting Exhibitors based upon the goals of the event, as described in the application materials.
Exhibit Space & Placement
Booths will be 10' wide x 10' deep and located along 8th Street and Bannock Street. Exhibitors may share booth space or purchase more than one booth. Exhibitors must bring their own tables, chairs, shade-structures, etc. If you need to rent equipment, we can provide you with contact information for our preferred equipment rental company(ies).
Booth placement will be assigned by the Idaho Green Fest based upon various factors. If you have specific placement requests (i.e. you want to be close to the stage or next to a certain other business, etc.), please note them in the Exhibitor Application and we will try to accommodate you.
Electrical hook-ups are not included in the Exhibitor fees and are discouraged because of limited access and additional costs incurred for using City electricity or event generators. If electricity is absolutely necessary for your booth, connections can be made for an additional cost of $30 per plug in, and your booth will be placed in a location convenient to plug in access, as determined by the Idaho Green Fest.
Waste Reduction
The Idaho Green Fest is a celebration of Earth Day and sustainability and we strive to eliminate litter and conserve money and resources. We request that Exhibitors refrain from distributing written literature or other single-use/disposable materials. The event website and program guide will supply basic information about all Exhibitors so such materials are not necessary. We encourage creativity in developing supplemental promotions that do not generate refuse.
Cost
Pricing for booth space at the Idaho Green Fest makes it possible for smaller businesses and nonprofit organizations to afford to participate. If the price is still cost-prohibitive, please describe in your Exhibitor Application what kind of trade or other non-monetary contribution you could provide in lieu of some or all of the cash payment. Also note that various levels of Sponsorship receive complimentary booth space, so please consider whether you can afford Sponsorship in addition to Exhibiting. Sponsorship dollars are critical to the success of the event, and Sponsors will be widely recognized (see Sponsorship application materials for more detail).
Exhibitors: Commercial and Government
$150 by February 21, 2014; $200 after February 21 until capacity reached
Exhibitors: Non-Profit
$50 by February 21, 2014; $75 after February 21 until capacity reached

Special Event Permitting & Sales Tax
The Idaho Green Fest will be covered by a Special Events permit and thus the City of Boise does not require additional vendor permits (food and beverage licenses are required, if applicable). However, regardless of whether sales are being made, the Idaho State Tax Commission requires all exhibitors at promoter-sponsored events to submit an ST-124 form either declaring that no sales will be made or reporting sales and making a tax payment. Promotion
The event will be heavily promoted by the Idaho Green Fest (see Marketing Plan below). All Sponsors, Exhibitors, and Presenters are requested to promote the event through their organizational channels as well. After March 1, we cannot guarantee inclusion in all media publications, so please get your applications in early!
Marketing Plan Details
The Idaho Green Fest will be heavily promoted and we expect around 3000 attendees. Exhibitors who desire the most marketing benefits should also consider sponsorship, as Sponsors will be recognized in event marketing materials with prominence corresponding with the level of Sponsorship. Marketing for the event will include at least the following:
Paid print advertising in the Boise Weekly
●Two ½ page vertical ads and one full page ad in the weeks leading up to the event
Paid radio advertising
●Four weeks on 89.9/93.5 FM, Radio Boise (268 spots)
●Two weeks on 94.9 FM, The River (180 spots)
●Live/On-Air Remote Broadcast from the Idaho Green Fest from 4-6pm on April 19
Social media. We will engage in multiple spurts of paid Facebook advertising to targeted demographics and use various means of free Facebook and YouTube advertising through sharing of information and videos about Sponsors, Exhibitors, Presenters, Artists, Musicians, and other event features.
On-site promotion during event: Screens placed nearby the stage will list Sponsors and many on-stage statements of gratitude to Sponsors will be made during the event.
Promotional brochures and posters: Full-color print pieces with artwork by Ward Hooper will be distributed to targeted individuals, organizations, and businesses (such as coffee shops, music stores, health/nutrition stores, nursery and garden centers, schools, retail stores and other appropriate locations) around the Treasure Valley (including all major neighborhood centers in Boise, Boise State University, Meridian, Nampa, and Eagle).
Website. The website will contain information about the event (date/time, schedule, map location, parking instructions, sponsors, exhibitors) and will be updated and promoted as appropriate in the time leading up to the event. Sponsors will be recognized according to Sponsorship level.
Press releases and interviews. Press releases about the event will be sent to all regional media outlets, accompanied by follow up calls to encourage publication of photos and information about the event. Interviews on radio and for the newspaper will be pursued.
Other resources. We will maximize the use of various outlets for free advertising, such as community event calendars, interviews on TV and radio programs, guest speaker opportunities, and community booth space at local events.
Program guide. The program guide will be available to attendees and contain information about the event, green living tips, and Sponsor promotion. The program is designed to be used as a year-round resource.
