EXECUTIVE COMMITTEE MEMBER REMITS
GENERAL
- To Promote and Develop Netball throughout Glasgow and, where appropriate, other areas.
- To have knowledge and understanding of the Constitution and Bye Laws.
- To inform, support and work with other members of the GNA.
- To attend GNA Executive and Management committee meetings as appropriate under Byelaws, League Meetings, AGM and other meetings which the GNA may require to have. Sub group leaders are required to attend Management committee meetings and are also required to attend meetings with their relevant group. If unable to attend, an apology should be offered at the earliest available date.
- To be available between meetings via email. Emails must be checked regularly
- Sub committees must submit a written report to every Executive and Management meeting at least 3 days prior to the meeting.
- Work to achieve goals set and carry out any tasks set out by coordinator timeously.
- All discussions at GNA meetings should be treated as private and confidential.
- All correspondence should be communicated in a polite professional manner. Where possible, standard templates should be used.
- All points should be actioned upon by the relevant person following discussions at committee meetings.
- All job remits should be adhered to so far as is reasonably practicable. Advice should be sought from relevant committee members if necessary.
- All committee members must be willing to offer guidance, advice and opinions where necessary.
- Do not be unduly influenced by the views or opinions of others.
- To work with the Netball Development Officer (NDO) and ensure preparation for the GNA calendar.
- Where necessary, to liaise with the NDO and other Districts or organisations including Netball Scotland.

EXEC COMMITTEE SUPPORT REMITS
Chairperson
- To Chair the GNA Executive and Management committee meetings, League Meetings, AGM and other meetings which the GNA may require to have.
- To plan the workload of the committee prior to the season and ensure that the work of the committee is shared by its members.
- Work closely with Glasgow Life Netball Development Officer regarding grant application and funding application for the forthcoming season.
- Attend meetings with Wildcats and Glasgow Life with regard to monitoring and supporting the role of the GNA Co-ordinator.
- Work with the GNA treasurer with regard to financial budget planning at the outset of the season and the subsequent approval of funds during the course of the season.
- Countersign GNA main account.
- To represent or delegate representation of the GNA at District, National and International meetings, events and competitions.
- To oversee the Administrator’s post and responsibilities in the Contract. This is to include regulation of hours worked and to carry out appraisal.
- To ensure an accurate record is kept of the work and decisions made by the GNA committee.
- To submit an expenses form with the relevant receipts to the Treasurer for expenses incurred in carrying out Committee work.
- To provide an annual report for the AGM.
- Do not become involved in any issues to be decided by sub committees or the right of appeal may be prejudiced.
Vice- Chair Person
- To support and share the remit and responsibilities of the Chair
- To be responsible for the Sub- committees and ensure reports are sent to the GNA
- Ensure the Subcommittees fulfil their role and if necessary provide support.
- Access emails on a regular basis (daily is preferred) to comment/contribute to any pressing issues by replying to emails sent by the general committee or subcommittee.
- To help the committee in the delegation/planning of workload prior to the season
- Contribute to monthly agendas & reading monthly sub-committee reports/minutes.
- Chair meetings when the Chairperson is unavailable.
Secretary
- To support and assist the Chair and Vice chair by attending meetings and reporting back to the GNA Executive committee.
- To support the committee by carrying out any duties as required either in a secretarial or representative role.
- To ensure that the GNA committees and clubs receive correspondence and information from Netball Scotland, GNA and any other relevant bodies.
- To draw up an agenda for all committee meetings in conjunction with other members.
- Keep records of correspondence
- To ensure that Clubs are aware of all relevant dates and events.
- To bring all correspondence to the attention of the GNA Committee.
- To ensure that grievances are responded to in the correct timescale and if necessary organise and arrange meetings for appeals committee.
- To write or reply to correspondence on behalf of the GNA.
- To liaise with the Administrator and ensure that all information and papers for the AGM are sent to all clubs at the appropriate time and that all replies are recorded.
- To book facilities for meetings.
- To provide an annual report for the AGM.

Treasurer
- To provide updates on financial situation at every meeting and draw the attention of the Chairperson to any areas of concern. Information must be given at each meeting of account balances together with notes of all monies paid out to date along with details of any outstanding invoices.
- All invoices received must be paid within 7 days of receiving them unless the date for payment is specified to be earlier than this. If this is not possible, the Chairperson must be made aware of why this is the case. The issuer of the invoice must also be made aware of any delay in payment.
- All cheques received and made payable to the GNA must be banked within 14 days of receiving them.
- Payment of the Administrator’s wages are to be electronically transferred into the bank account of the Administrator every Friday. The rate of pay may be altered as necessary from time to time with the agreement of all relevant parties. Any necessary discussions should be had with the Chairperson in relation to the Administrator’s wages and hours worked. This is carried out by the GCVS on the GNA’s behalf.
- A note of all monies received and paid out but the GNA should be kept and updated regularly to allow a full report to be made at each committee meeting as well as at any other necessary times.
- To provide a full financial report to the AGM and arrange for the books to be audited.
- To be responsible for the GNA cheque books and procedures for recoding and releasing cheques.

League /NPL Coordinator
- Sub-committee Representatives are to lead meetings of their group. Such meetings should have an agenda and a report of that meeting should be made at the subsequent GNA Executive and Management committee meetings.
- To be responsible for the League Committee
- Each sub-committee Representatives must produce to the committee an End of Season report of the season to date along with their views and suggested goals for the person fulfilling that role in the foregoing year. This is to be made available to view on the website.
- To provide an annual report for the AGM.
- Do not become involved in any issues to be decided by another sub committees or the right of appeal may be prejudiced.
- Work closely with other relevant sub committees and outside bodies.
- Provide information to Web Committee on all aspects of your work.
- The role of this committee is to ensure the league runs smoothly.
- Schedule league fixtures and umpires including named umpires
- Ensure suitable venues are booked in conjunction with the GNA Administrator.
- Cancel/Rearrange matches when necessary and notify teams and officials where necessary.
- Keep contact with club secretaries and be available for advice on league matters.
- Organise the End of Season League Meeting
- To provide decisions on all matters in relation to the GNA Leagues.
- All decisions taken should be in accordance with rules. If this is not possible, discretion should be used. If the rules cover the matter in issue, they must be followed so far as they allow.
- Standard letters should be used as reply. Clubs must be notifies of rights of appeal. Brief reasoning for decisions should be given.
- Arecord must be kept of all issues presented to the committee along with a note of all problem areas including inadequacies in the GNA rules. These matters should be reported to the GNA at every meeting.
- The end of season report must include details of rule changes to be brought by motion at the League Meeting. The current rule and proposed amendments must be outlined.
- Delegate jobs within sub committee
- To appoint an independent appeals Panel Prior to league commencing.

District Squads Coordinator – Appointed by GNA Exec Committee
- Liaise with Squad Officialsat start of season to set out what your roles and expectations are. Do not deviate from these without further discussion.
- Arrange Regular meetings with squad officials
- Plan, co-ordinate and administer a quality squad training and competition programme including National competitions and others as would be appropriate.
- In conjunction with the GNA Administrator ensure trials and squad selection is arranged.
- Arrange and in conjunction with the GNA Appoint the Squad officials
- Key Liaison officer with NS to work within calendar. Also to ensure all procedures meet with accepted guidelines and advice from NS and other agencies involved
- Determine equipment requirements for squads and ensure procedures for upkeep/return
- Support athletesand officials.
- Liaise with Club coaches to ensure communication and development of players.
- Ensure all squad related business is dealt with by the squad group in the first instance
- To provide and annual report to the AGM
- To submit an expenses form with the relevant receipts to the Treasurer for expenses incurred in carrying out Committee work.

- Work closely with other relevant sub committees and outside bodies.
- Provide information to Web Committee on all aspects of your work.
- Identify the budget necessary to deliver the programme and agree with the GNA committee the annual budget.
- Ensure accurate records are kept by Team Managers of player contributions and what these are for.
- Ensure a commitment to fundraising from all District athletes and officials.
- Encourage District athlete and officials development.
- Maintain regular contact with the Netball Development Officer.
