EVERGREEN SCHOOL DISTRICT No. 50 - POSITION DESCRIPTION
Position Title: Clerk’s Assistant
Location : Administration Building / Supervisor: Clerk of the Board
The regular duty day is: 7.5 hours per day (normally 8:00 a.m. to 4:00 p.m. with ½ hour unpaid lunch).
The regular work week is: Monday through Friday
Performance evaluations are conducted annually by the Clerk of the Board.
Qualifications required to perform duties: High school diploma required; College Degree preferred; One year secretarial experience preferred; minimum one year experience in payroll preferred; current knowledge of modern office practices and procedures; working knowledge of office equipment including adding machine, copy machine, ten key, computer and software applications.
Major elements of the position (most important and/or frequently performed duties): Serves as payroll officer in a timely and efficient manner. Files wage and tax statements with government agencies. Accurately records staff leave/absences and has excellent bookkeeping skills. Perform clerical, typing, filing, computer work; prepare reports and mathematical computations; maintain inventories; maintain files; receives and verifies incoming shipments; maintains bus driver records; performs duties of District Clerk in their absence (must be available for this duty upon request).
Skills and abilities required to perform the major elements: Ability to perform clerical work; good written and oral communication skills; word processing skills; ability to operate office machines; ability to work with people; manages time effectively; good organizational skills; file management skills; good use of grammar and spelling; accuracy with numbers and ability to maintain accurate documentation; strong ability to maintain confidentiality.
Minor elements of the position (less important and/or less frequently performed duties):
Address and package outgoing mail, sort and distribute incoming mail as needed; assists in Fall Orientation; assists in managing personnel files; assists in audit preparation; gathers and organizes data as needed.
Skills and abilities required to perform the minor elements: Well-organized; ability to clearly communicate; ability to multi-task.
Description of normal working conditions: Works inside the school building in a controlled, well-lit environment; requires prolonged sitting; occasional lifting of 20 pounds or less; interaction with others; works with office equipment including typewriter, adding machine, copy machine and computer.
Allowable variances in performance of duties:
Work schedule can be modified as determined by supervisor.
