ALICE TRAINING

If you'd like to take full advantage of the standard features in Alice

AUGUST 1.17 UPGRADE

To find out your current version of the Alice database, click on the
Help menu and About and look for the DB version number. The most recent
upgrade, 1.17, was announced by letter mailed August 11th. If you have an
earlier version, please make arrangements to download and install that
upgrade.

EVENT AND LETTERS & MATERIALS TITLES

A button with a < caption has been added to the Events and Letters
& Materials forms. Placed next to the Title box on each form, the
button displays a list of all previous titles saved for Event,
Letters, or Materials records. One of those titles can then be copied
for use in the current record.

BREAKING OUT DEMOGRAPHICS BY PROGRAM OR SHELTER

If you have more than one shelter in your agency or one or more
special programs for which you would like to generate a separate
client demographics report, here's how. Create a custom drop-down list
field that contains the names of your shelters or programs. Make it
mandatory so that a value is saved for all clients. You might call the
new field "Shelter Choice", "Primary Program," or something similar.
To show only the client figures for those with intakes at "Shelter B,"
create a Demographic Query report where "Shelter Choice" is "Shelter
B." You can also add as many other query criteria as you wish such as
county, race, age, etc.

RE-USING EVENTS

For hotline call and intake records, you can use an old record as a
template for creating a new one simply by changing the date and
answering "new" to the dialog that appears. Then tweak any values that
have changed and press the Add button to save the new record.
If you work a lot with the Events form, the same procedure can be used
here as well. Use an old record to create a new one just by changing the
date and avoid re-typing all the same information.

CLIENTS BY CASE MANAGEMENT GOALS REPORT

Would you have any interest in a report that showed clients for type
of case management goal? If so, would it be more useful to show the
number of clients who have selected each goal or the names of the
clients for each goal? Finally, would it be more helpful to show goals
by the date when they were created or the date when they are to be
achieved?
