TERMS AND CONDITIONS FOR PARTICIPATION IN ESC ORGANISED EVENTS.

  1. Signing of this contract form binds the applicant to make the payment as per the details given in the offer letter towards the space / booth charges. Cancellation of participation subsequently by the applicant will invite cancellation charges explained below. Booths will be allocated on first –come-first-serve basis only after receipt of the initial amount.
  2. Application for participation in events will be considered only from the member companies who have no outstanding dues payable to this Council and have submitted their export turnover details till the quarter prior to the date of application. IEC code in the confirmation for is mandatory.
  3. Participants will be required to make their own arrangements for issuance of Visa. ESC will however, issue a visa recommendation letters for the representatives of the participants.
  4. Visa Recommendation letter will be issued only to those companies who have confirmed their participation by making full payment towards participation fees.
  5. No refund of participation charges will be entertained on account of visa refusal by the host country and Council shall not be responsible, in any way, on this matter.
  6. Full amount of participation fee should be made on or before 60 days before the date of commencement of event. In case the Council does not receives full amount of participation fee before 60 days from the commencement of event the Council will be free to cancel your participation and release the booth to the companies in the waiting list.
  7. An amount of 50% of the total participation charges would be deducted in case of cancellation of participation between 60 to 45 days before the event dates and an amount of 75% of the total participation charges would be deducted in case of cancellation of participation between 45-30 days before the event dates.
  8. No refund of participation charges will be made in case cancellation request is received during less than 30 days before the event and the company will be liable to remit full amount of participation charges..
  9. Participants will be required to make their own arrangements and shall bear all expenses towards their stay, travel, air/sea freight of their exhibits, door-to-door insurance, forwarding of exhibits from India and clearance abroad and any other expenditure on the items / services required by them which is not covered in the ESC’s offer letter.
  10. Size and design of the stand may vary slightly depending upon the utilisation of space and the dimensions of the India Pavilion.
  11. Any additional facility / furniture / lights etc., required, are to be indicated to ESC or the stand constructor at least 30 days in advance. The stand constructor shall make efforts to provide these additional on extra payment to be made to them in advance. On the spot orders for additionalmay not be accepted.
  12. Participants will be returning the participation feedback form on the second half of the last day of the event before leaving the exhibition ground. FEEDBACK form is a mandatory document.
