eRecruit Hiring Manager Communication
On November 1 Human Resource Services (HRS) is implementing eRecruit, a PeopleSoft recruitment module. The following is information about how this change may affect you.
1. How will I see applications for jobs that were posted before the move to eRecruit?
You will continue to use the hiring manager console in OAPA to view applicant information until the job is filled. The timing of your job offer will not be affected by the November 1 transition.
2. Has the process for posting jobs changed?
The job requisition has changed, but the process remains the same. The department should complete the personnel requisition and submit it with approvals to for your assigned recruiter to enter into PeopleSoft.
3. What should I do if any information associated with my position and/or posting is incorrect?
Please contact your recruiter and DO NOT make anychanges on your own
4. What should I do if I need to change an applicant’s status from withdraw back to route?

5. How are applicants notified about the status of their application?
Applicants will be notified through the eRecruit system automatically when they successfully apply for a job. Recruiters will use the Send Correspondence feature to notify applicants when an application has been routed, when an applicant is not qualified, when an application is incomplete, and when a position has been cancelled/closed. Other communication about interviews and filling the position must come from the department.
6. Can an applicant respond to the messages sent out using the Send Correspondence feature?
No, applicants cannot respond to that message, if you need an applicant to respond or send additional information you must provide contact information in the message.
7. When will I be able to use eRecruit?
Access to eRecruit requires security authorization. Much of this security has been set up. Access for additional individuals should be requested by fiscal officers through the online security request process. Once you have access to eRecruit, you will be able to login in to the production instance of PeopleSoft and navigate to Recruiting. There you can preview your job posting.
Applicants will be able to view and apply for job postings as of November 1. After the applicants are screened by the recruiters, you will be able to review their applications and any other materials that have been attached to support their application.
- What are designated posting periods?
For staff vacancies, all approved requisitions will be posted on our website for the designated posting period.
Office/Clerical 1 week
Internal Union 5 business days
Technical 2 weeks
External Union 2 weeks
Administrative Professional/IT 3 weeks
9. Are there any exceptions to the designated posting periods?
Exceptions to these posting period deadlines can be made if there are a low number of acceptable applicants for a position. Contact your Recruiter to have your job reposted. The posting will remain open for additional time. No additional approvals are needed.
You can choose to have your job posted for a shorter time than the designated posting period (except for service/maintenance jobs in the union bid period). You will need to request this shorter posting period on the personnel requisition.
10. What if there are no candidates in the applicant pool with the desired job skills when the posting closes?
When applicant pools for jobs posted are small or candidates do not have the needed skills, you will have the option to repost the vacancy for an additional period of time. No additional approvals will be needed for the requisition. Recruiters will work with you to identify and describe in the job posting, the preferred qualifications, and skills that you seek in staffing your job.
