Amonitoring project for Gender Fairnessin Physics

A better representation of women in Physics at all stages of the careeris central for allSociety caring about the well being of its members.

A key element in the career development of physicists is represented by their participation at conferences as speaker, committee member and organiser.Through its Divisions & Groups, EPS organises many of premier conferences in physics in Europe and the world.

In order to reach a better gender balance, EPS would like to put in place a monitoring of the women participation in the physics conferences organised by the EPS.

EPS recommends therefore to the organisers to collect the following information:

* the total number and the number of women in the organising committees (program committee, international advisory committee, local organising committee, etc),

* the total number and the number of women plenary speakers, keynote speakers, invited speakers,chairperson,

* the total number and the number of women participants.

By tracking these statistics over time, the EPS will be able to provide valuable input into policy discussions regarding gender equality in Europe and,in a second step, to take propercorrective actions following the outcome of the monitoring.

All conferences recognised by EPS, including Europhysics conferences, are asked to collect and send the requestedinformation to the EPS Conference Service. To clearly post this project, the local organisers will receive the EPS “Monitoring for Gender Fairness” Label together with the EPS logo.

Implementation

1) The conference organisers applying for an EPS Label (“recognised” or “Europhysics Conference”) engage themselves to collectand send the result of the monitoring to the EPS Conference Service.This will be added as one of the required criteria in the conferences guidelines.

2) In return they receive the agreement toaffix this new label and the EPS logo to the conference posters, the Web site and all mails concerning the conference.

3) At the end of the conference the organisersfill and send the table shown belowto the EPS headquarter.

The present project will last two years starting from the 1rst of January 2018. At the end of this period the EPS headquarter will compile a summary to be presented at the first Executive Committee meeting of the year 2020. The Executive Committee will then put in place possible actions to undertake.

The easiest way of collecting information about the gender participation is to request, at the time of the registration, to tick boxes like such as Male, Female.In order to respect the privacy the ticking of these boxes should not be mandatory.
