1.Introduction

The objective of the Research Review panel on-line grading is to eliminate the paper process (PGR-9 form) assist in gathering progression decisions for students in the fastest way.

This system allows the Head of Department to submit grades directly to the Student Records System using an on-line application. It reduces the risk of error and increases the time available to academics for the submission of grades.

The software being used is part of Tribal Technologies who developed the Student Records System that UL operates. The facility is widely used by their UK customers and therefore the display is not custom built for UL.

2.How to Access the Student Records Portal to Submit Grades

  1. Open your web browser and access the following web address:
  1. You will then be presented with the logon to the Student records portal

  1. Enter your ID/Username e.g. BLOJOE1 and pin/password. The username structure is normally the first three letters of your surname followed by the first three letters of your first forename followed by the number 1 (but can be 2 or 3 depending of the number of people with the similar names).
  1. Please note: This is not your UL network id and password.
  1. Please note:If you wish your pin/password to be reset or changed please email , from your UL Staff email account, to request this. The “Forgot your password?” link is only for students.
  1. Click on the Log In button.

A general note when using the Student Records portal page is not to use the browser back button when navigating through screens as you may lose your work.Use the navigation buttons in the applicationONLY.

  1. Click on “Student Records” on the left hand side of the screen

  1. Scroll to the section called “Department Head PGR_9 Review”.
  2. Click on “Click here to access your PGR-9 review”.Your department details will appear

  1. Click on Details. You will then be presented with the following screen

Id Number - details the students id number

Candidate Name – details the students name

Academic Year – details the current academic year

Course Title- details the course that the student is currently taking

Start Date- details the date that the student commenced program

End Date – details the expected end date. (If this date has passed a PGR8 must be completed and returned to SAA form can be downloaded from

Supervisor 1 details the primary supervisor name

Supervisor 2 details the second supervisor name

Structured PhD If this field has data the student is on a structured PhD program, if blank the student is on a traditional PhD

Grade Click G if student has successfully completed the research review or NG if unsuccessfully completed

Full Transcript If a student is completing a Structured PhD then the HODcan view a full transcript of the student. Traditional Research students will not have a transcript attached. Click View

Click on “View” at the far right to open the Full Student Transcript for the student. The top section (in blue text) will detail performance in the current Academic Year to date. Use the Browser Scroll bar on the right to scroll down through the students’ full Residual Transcript to see their full progress across all years.

When you are finished viewing the Transcript simply close down this screen by clicking the X in the top right of the browser

Go back to the browser window containing the Research Review Panel information to complete any outstanding decisions.

3.Enter Progression Decisions – How to Enter a Decision for your Research Student

  1. Click on the grade field click either G or NG ( G grade to be entered if student has successfully completed review panel or NG if the student has failed the panel)
  2. Once you have your grades entered click on . Once saved changes has been clicked, the grades are automatically stored into the Student record system . Once the Academic Council Grading Committee has taken place all students who receive a G grade will receive an e-mail confirming the Review panel decision(see appendix B) All students who receive an NG will receive an offical letter (see appendix C) which specifies that the stduent must attend a research confirmation panel which will be arranged by department before the end of March.

4Exporting decisions

  1. One can export decisions made, click on

  1. The following screen will appear click on the file type click on file type to select the format you wish the data to be e-mail to you(excel is best) (
  2. click on e-mail address this should be automatically populated if not populate with your e-mail address, Then click
  1. The following message should now appear on the top of your screen
  2. An e-mail with attachment will be sent to your e-mail address.

5Frequently Asked Questions

Q: Is it possible to change a decision online after I have already save changes?

A: No if have click on save changed you can no longer make changes via the online system and so you should email mediately with the reasons for the change and full details of same.

Q: Can I log in to the website remotely – e.g. from home or via the University Wireless network?

A: Yes – access your Internet browser.

Q: The website is hanging/sticking. What should I do?

A: Please o will report the problem to ITD–or– log your call with the ITD RMS system directly by going to the ITD website

Appendix A: PC Setup and Display

Your screen resolution should not be lower than 1024 by 768 pixels (it can be a higher resolution than this but not lower). This will ensure all sections of the screen are visible as you proceed through the website. If you need to reset and/or check your screen setting, click on “Control Panel” on your PC desktop:

Dear XXXXX,

The Research Review Panel within your department has indicated that your progress to date is not satisfactory. In line with the current Academic Regulations (Chapter 5 Section 6) a Research Confirmation Panel will be convened, you will be required to present a written report which should not exceed 8,000 words and give an oral presentation for approximately thirty minutes on your research progress to date.

It is imperative that you contact your supervisor to discuss the Research Confirmation Panel process and ensure that the panel can take place at an agreed time and date prior to 21st March 2014. A code of practice relating to the Research Confirmation Panel is available from (under Codes of Practice and Regulations). Based on your performance the panel will complete a PGR3a form available at (under Postgraduate Research Forms) and submit the result to Student Academic Administration. The aforementioned procedure is detailed in the University Academic Regulations which is also available at

In the event that the Research Confirmation Panel has not been convened by 21 March 2014, your studies at the University will be discontinued. In the unlikely event that the Research Confirmation Panel cannot be convened by the aforementioned date you must email by 14th March 2014 and indicate the date when the Research Confirmation Panel will be convened.

If you have decided to withdraw from your studies immediately, you should complete the enclosed exit form.
