ENTERING A PURCHASE REQUISITION

  1. Go to the AX site using Internet Explorer
  2. Click on the Purchase tab -> Purchase Requisition -> New -> New purchase requisition

  1. Complete the form as shown below:

Monitory Field / Explanation
Purchase requisition name / Put in a sensible name for your purchase requisition, this will improve auditing and speed up approval.
Project / Ensure you select the right budget line, dept, project, sub project
Site / Select the location where you purchase will be delivered
Warehouse / Note: only use for stock procurement.
Select the warehouse where you stock will be stored.
Business justification / Outline the reasons why the purchase needs to be made

Once you have completed the screen, entering all relevant information, click on

The lines section, where you enter the PR detail will appear at the bottom of the screen.

  1. Click on New > New Lines > enter the line detail then click on the Add new line button:

The Line you have just entered will be added to the Items to be added to purchase requisition section of the screen. You can now add as many items as you need to in this way.

Note: It is important to remember assets must have an individual line each with a quantity of one.

Once you have completed all lines of the requisition click on the Done button in the bottom right of the screen:

  1. Once you click on the Done button the full PR will be displayed with the Header details at the top of the screen and the Line details at the bottom. You will also see the Purchase Requisition Approval ribbon. To send your requisition for approval, you must click on the Submit button:

The requisition is now in Workflow and making its way around the business for approval.

OTHER USEFUL EP FUNCTIONALITY:

Filtering

On a drop-down list you can filter out the data you want or at least shorten the list by using the Filtering functionality. The example below shows filtering the Project drop-down list to show only projects which have the word “test” in their name:

  1. Click on the drop-down icon to display the list.
  2. Click on Apply filter
  1. Click on the drop-down arrow next to Select Field and select your preferred option, in the above example the Name field has been selected.
  2. Click on the drop-down arrow next to Is Field and select your preferred option, in the above example the Contains option has been selected.
  3. In the Text field type in your wildcard information in this example we have chosen to select any project containing the word “test”
