Modifying text

•WordDouble-clickanywhereintheword.Thewordandthespaceimmediately following it are selected, but not any punctuation following theword.

SentenceHolddowntheCtrlkeyandthenclickanywhereinthesentence.Word selectsallthecharactersinthesentence,fromthefirstcharacterthroughthespace

followingtheendingpunctuationmark.

TROUBLESHOOTINGYoucannotselectasentencebyusingthistechniqueifother textisalreadyselected.Thisactivatesthenon-adjacentmulti-selectionfunctionality described at the end of thislist.

•ParagraphTriple-clickanywhereintheparagraph.Wordselectsthetextofthepara- graph and the paragraphmark.

Adjacentwords,lines,orparagraphsPositionthecursoratthebeginningofthe text you want to select, hold down the Shift key, and then press the arrow keys to selectonecharacterorlineatatime;holddowntheShiftandCtrlkeysandpressthe

arrow keys to select one word at a time; or click at the end of the text that youwant toselect.

Non-adjacentwords,lines,orparagraphs Makethefirstselection,andthenhold downtheCtrlkeywhileselectingthenexttextblock.

TIP When you select content, Word displays the Mini Toolbar, from which you can quickly format the selection or perform other actions depending on the type of content you select. For information about applying formatting from the Mini Toolbar, see "Manually chang- ing the look of characters" in Chapter 3, "Modify the structure and appearance of text." For information about turning off the display of the Mini Toolbar, see "Changing default pro- gram options" in Chapter 16, "Work in Word moreefficiently."

As an alternative way of selecting, you can use an area of the document's left margin, calledtheselectionarea,toselectitems.Whenthemousepointerisintheselectionarea, it changes to an arrow that points toward the upper-right corner of thepage.

If you want to move or copy the selected text, you have threeoptions:

Drag-and-dropeditingUsethisfeature,whichisfrequentlyreferredtosimplyas

dragging,whenyouneedto moveorcopytextonlya short distance-forexample,within a paragraph. Start by using any of the methods described previously to select the text. Then point to the selection, hold down the mouse button, drag the text to itsnewlocation(indicatedbyadottedverticalline),andreleasethemousebutton.To

copytheselection,holddowntheCtrlkeywhileyoudrag.

Cut,Copy,andPastebuttonsUsethismethodwhenyouneedtomoveorcopy text between two locations that you cannot display at the same time-for example, between pages or between documents. Select the text, and click the Cut or Copy buttonintheClipboardgroupontheHometab.(Thecutorcopieditemisstoredin an areaofyourcomputer'smemory calledthe MicrosoftOficeClipboard,hencethe nameofthegroup.)ThenpositionthecursorinthenewlocationandclickthePaste buttontoinserttheselection.IfyouclickthePastearrowinsteadofthebutton,Word displaysoptionsforpastingtheselection.

KeyboardshortcutsWhenyou'reworkingwithatraditionalkeyboardandmouse,

or on a portable computer with an integrated mouse pad, it can be more efficient to presscombinationsofkeyboardkeystocut,copy,andpasteselectionsratherthanto clickbuttonsontheribbon.Themainkeyboardshortcutsforeditingtasksareshown in the followingtable.

If you make a change to a document and then realize that you made a mistake, you can easilyreversethechange. You canundoyourlasteditingactionbyclickingtheUndobut- tonontheQuickAccessToolbar.Toundoanearlieraction,clicktheUndoarrowandthen click that action in thelist.

TIP If you frequently edit documents, pressing Ctrl+X to cut, Ctrl+C to copy, and Ctrl+Vtopastewillprobablybecomesecondnaturetoyou.Feelfreetousekeyboard shortcutsinplaceofribbonbuttonswhileworkingthroughtheexercisesinthisbook.

11OntheQuickAccessToolbar,clicktheUndoarrowandthen,intheUndolist,point tothethirdaction(PasteMergeList).Noticethatthetextatthebottomofthelist indicatesthatthreeactionswillbeundoneifyouclickthislistentry.

SelectinganactionintheUndolistreversesthat actionandallsubsequentactionsyouperformed.

11IntheUndolist,clickPasteMergeListtoundothepreviouscut-and-pasteoperation and the pasting of the copiedtext.

Finding and replacing text

ForeachinstanceofthesearchtermthatWordlocates,youcanclickoneofthefollowing choicesontheReplacepage:

•ReplaceReplacestheselectedoccurrencewiththetextintheReplaceWithboxand movestothenextoccurrence

•ReplaceAllReplacesalloccurrenceswiththetextintheReplaceWithbox

TIPBeforeclickingReplaceAll,ensurethatthereplacementisclearlydefined.For example, if you want to change trip to journey, be sure to tell Word to find only the wholewordtrip;otherwise,triplecouldbecomejourneyle.

•FindNextFindsthefirstoccurrenceorleavestheselectedoccurrenceasitisand locates the nextone

AsontheFindpage,clickingMoredisplaystheoptionsyoucanusetocarryoutmorecom- plicated replacement operations. Note that the settings in the Search Options area apply to the search term and not to itsreplacement.
