Employee Tuition Assistance Procedure
Introduction
TCU offers tuition assistance to eligible current faculty/staff members, their spouses or domestic partners, and dependent children who are seeking a degree.
To apply for Employee Tuition Assistance employees will use the new online form located in employee self-service.
The Tuition Application form was designed to comply with TCU Policy 6.005. Access to the form indicates that an employee has met the requirements to access the benefit, and therefore has “HR’s Approval” and once submitted routes directly to The Office of Scholarship and Financial Aid. Additional eligibility requirements will be accessed by The Office of Scholarship and Financial Aid during their approval process.
Tuition Assistance Application
The Tuition Application form is available on self-service on my.tcu.edu, on the Employee Center, under the Benefits section.
- To submit a new form, click “New Form” button.
- Select the semester and student applying for tuition. If a dependent is not listed, please contact Human Resources at 817-257-7790 or .
- Complete application as applicable.
- Once completed, click “Save/Submit.”
Employees can always view the status of their application on the application main page.
Overview of Application Routing
Tuition Application Routing
The Tuition Application form was designed to comply with TCU Policy 6.005. Access to the form indicates that an employee has met the requirements to access the benefit, and thus has “HR’s Approval” and once submitted routes directly Scholarship and Financial Aid. However, there are instances when the application must route to others before routing to Scholarship and Financial Aid.

Form submitted for non-current semester* / Routes to HR
*If a forms has been submitted for a non-current semester, and the employee has self-reported that the class(es) are during work hours, when the form becomes active it will route to supervisor as applicable.
At any point in this process an employee can modify their application, and re-routed as applicable until a semester is unmarked as “Current.” The application then becomes locked from future editing.
Supervisor/Department Manager Approval
Policy 6.005, Section IV.9, any course taken during an employee's normal working hours must be approved by their supervisor/department manager. Employees must self report on the application if class hours are during work hours. The department manager identified on Human Resources’ department record is the department manager for which the application will route for approval. Email notification for approval is sent when an employee submits the form.
When an application is approved by the department manager, the form will then route to The Office of Scholarship and Financial Aid.
If an application is denied, the form will route back to the employee and an automatic email notification will be sent to the employee. The employee & the department manager should discuss any concerns and once resolved, the employee should re-submit the form. Again the form will route to the department manager for approval.
