Email Notification Promotion Proposal

Requesting Body: CLP, Karlyn Voss.

Request: To promote email notification in order to save money on printed notices, and to provide patrons a quick and convenient method of receiving notices.

Proposed Action:

  • Add a link to The Catalog main page to sign up for email notification
  • The link would take the user to a simple and intuitive form where they can add or update their email address.
  • This form would currently go to eiN staff and an email address will be added/updated in the patron’s library record within 24 hours. Eventually, this process could be automated.
  • A link to sign up for email notification will also be added to the Request confirmation page, once a patron requests a single item.
  • My Account will also contain promotional text and links
  • A link for email notification cannot be added to the Book Cart feature.
  • A list of Frequently Asked Questions will be provided.
  • On the bottom of printed check-out receipts ‘Have a nice day’ could be replaced by ‘Ask to sign up for email notification.’
  • Encourage staff to promote email notification with each patron transaction, signage and/or forms.

Steps to complete:

  • Edit web pages.
  • Alert all library staff.
  • Train eiNetwork staff.
  • Create method for automating email address additions to patron records.

What are my options for being notified?

There are 3 methods of patron notification:

Email Notification—A quick and convenient way to find out when your items are ready for pickup or overdue.

If you have an email in your library record you will automatically receive all of your overdue and request notices via email.

To receive your notices vial email fill out the Email notification formor use My Account feature to edit or delete your email address under ‘Modify Personal Information’.

Automated Telephone Notification—Don’t have email? Another fast and convenient method is to receive an automated phone call to alert you when your items are ready for pickup or overdue.

This method is used when the email address field is blank, and the user has a telephone number that does not start with two ## signs. When you enter the My Account feature, your telephone number is displayed below your mailing address.

Print Notification—You may prefer to receive your notices via U.S. mail.

This method is used when the email address field is blank, and the user's telephone number is prefixed with two ## signs. When you enter the My Account feature, your telephone number is displayed below your mailing address.

Contact your library staff(see pg 12) to make the necessary changes to your account. All requests to enable or disable Telephone Notification need to go through library staff.

All bills are delivered in print format.

How do I sign up for email notification?

If you don’t yet have a library card, stop in to your local library to sign up.

If you are already a cardholder, click here to sign up for email notification.

If you ever need to edit or delete your email address fill out the Email notification form with your updated address or log into My Account and update or delete your email address under ‘Modify Personal Information’.

Will I get “junk” email or “spam” if I sign up for this service?

No, all patron information is private and confidential. We do not release or sell any patron information without an appropriate legal court document.

When will I receive my email notices?

Most email notices will be automatically delivered by our system early each morning Monday through Saturday.

Why do I sometimes still receive notices in the U.S. mail?

It is still our practice to send final bills in the U.S. Mail so that you have a written record for your files. Also if we try to reach you by email or phone and fail to do so, our system will often generate a printed notice.

What if my email address changes?

If you ever need to edit or delete your email address fill out the Email notification form with your updated address or log into My Account and update or delete your email address under ‘Modify Personal Information’.

Or call or stop in to your local library (see pg 12).

What if I wish to discontinue email notification?

Log into My Account and click on ‘Modify Personal Information’ to remove your email address or call or stop in to your local library.

What if I want to cancel a request about which I’m notified?

If you have already received a notice and the item(s) are Ready to be Picked Up, please contact your local library. If the item has not yet arrived at your local library, you may cancel the request by logging into My Account. Click on ‘Requests (holds) Outstanding’ and choose the item you wish to cancel.

What about confidentiality and security?

Your email address will not be used for any other purpose than sending Library communications. We do not release or sell any patron information without an appropriate legal court document. However, if you provide a shared email account, please be aware that email notices will display the titles of overdue or requested items.

What will my email notice look like?

All library email notices will show in your Inbox from ‘Library1 Notice’ or . The subject line will read ‘Library Notice.’
Each request pickup notice will list your name, the title of the item(s) to pick up and at which branch the item(s) are waiting.
Each overdue notice will list your name, the title of the item(s) that are overdue, and whether it is a first or second notice.

What if my email account screens for bulk mail or junk mail?

Some Internet providers, such as Hotmail and Yahoo! offer the option of screening out bulk mail or junk mail. If your email account screens for bulk mail or junk mail it may screen out Library Notices as well. You’ll want to allow delivery of messages from to your Inbox.

The Telephone Notification System
It is possible to receive overdue notices and request pick up notices via the automated Telephone Notification System.
Library users that do not have an email address, or two ## signs in front of their telephone number, will receive overdue and hold pick up notices by the automated Telephone Notification System.
The library system uses the following criteria to determine how a user is to be notified about overdue items or material request:.
Email Notification is used if the user has an email address. When you enter the My Account feature, you can edit or delete your email address under "Modify Personal Information".
Telephone Notification is used when the email address field is blank, and the user has a telephone number that does not start with two ## signs. When you enter the My Account feature, your telephone number is displayed below your mailing address.
