Electronic Settlement Portal reference manual

The Electronic Settlement Portal has been designed to collect daily fuel sale and fuel delivery data. This document outlines the features and procedures used in gathering this information.

Where to find the ESP (Electronic Settlement Portal) downloads:

ESP is a java based system that works over the internet to transfer data to Wilson Fuel Company Limited servers. This technology requires the installation of the Java Runtime Environment which is found at https://corporate.wilsons.ca/applications/dailysales/j2re-1_4_2_13-windows-i586-p.exe *** Only use this Java Runtime Environment to run the ESP system, other versions will not work properly ***. Follow these steps to correctly install the Java runtime environment:

Download the required software. This dialog may appear, click the Save button.

Another dialog similar to the following may appear, click the Desktop Icon from the left menu and click the Save button.

The file will begin downloading and the following dialog will show progress until the file has been downloaded. The dialog will show completed as follows:

Click the Open button. A series of windows and splash screens will appear until the following prompt is opened:

Click the “I accept the terms in the license agreement” radio button and click the next button.

Ensure that Typical is selected and click the next button.

The following screen will display progress of the file installation.

Once installation has completed the last window will appear as follows, click the Finish button to complete.

Congratulations you have successfully installed the correct Java Runtime environment. This environment will soon attempt to update itself to the newest version available from Sun Microsystems. Please DO NOT update the java version. ESP will only work on 1.4.2_xx versions. The newer 1.5.x_xx versions will not work correctly.

Upon successfully installing the Java Runtime environment you will be ready to start using the Wilson Fuel Company Limited Electronic Settlement Portal software. Please follow the next set of instructions to start using the ESP software.

When you start the ESP for the first time the following screens will be displayed.

On some systems you may see a trust dialog for the Wilson’s server certificate and a prompt to integrate with your desktop environment.

You must trust the certificate but do not integrate, integration may interfere with further updates to ESP and possibly could prevent you from getting the newest version available.

Username and Password screen:

Enter the username and password issued by Wilson’s IT staff and click Login.

Upon successfully logging into ESP the main window will appear.

The ESP application has been designed to reflect the appearance of an Internet based application. Back and Forward buttons have been supplied for navigation through each module. Currently ESP contains 4 modules; the welcome screen, pictured above, the delivery screen, the meters screen and finally the summary/save screen.

If you have received a recent fuel delivery please click the “Have you received a recent fuel delivery check box.”

To access the delivery screen, click the Forward button. Your screen will adjust to show the delivery screen as follows:

The delivery screen is ready to accept readings as soon as it opens. You will see an area to enter a date and time of day, a reference number and a section outlining the details of the delivery. The delivery details contain tank numbers matching the tanks you have in-ground, the gross quantity delivered and the Net quantity delivered. You may notice the three buttons labeled Previous, Create another? and Delete. These buttons allow you to create multiple deliveries, delete the deliveries you created and navigate through each delivery sub-screen.

Each delivery you receive will arrive with a bill of lading and/or a delivery receipt. All the information you need to submit the delivery will be contained within these forms. You will need the following:

·  Date of the delivery

·  Reference Number

·  Gross quantity delivered per grade of fuel.

·  Net quantity per grade of fuel delivered after VCF has been calculated.

To enter a date in ESP, complete the following instructions:

Click the dropdown button to view a list of months. Scroll down to find the correct month. Click the month desired. Repeat for each entry until a complete date appears. Enter the time of the delivery. Times must be within 00:01 and 23:59 to be correct.

Here’s an example of a correctly entered date.

Next you will need a reference number. This number is found on your delivery receipts and is a 6 digit number. The reference number field will only allow 6 numeric digits to be entered.

In the following example the delivery contains a gross total of 20000 liters and a Net total of 19895 liters, a reference number of 865,584 dated for the afternoon of November 15, 2006.

At this point a valid reading has been entered.

Often deliveries happen on a frequent basis. ESP is a session based system and is designed to enter multiple readings within each session. By clicking the Create another? button a fresh blank reading is created in addition to the one just completed. Here is what you will see:

Notice the Now viewing number: 2 of 2 navigation indicator. This tells you that this is the second delivery reading.

The second delivery is on November 16 2006 at 14:00. Reference number 852,414 with a gross of 10,000 liters and Net of 9,990 liters of Premium unleaded.

To review the delivery readings that have been entered press the Previous button. This will show the previously entered reading. ESP detects which reading you are viewing and updates the navigation buttons accordingly. Now you will see Previous, Next and Delete buttons as demonstrated by the next screenshot.

Clicking the Next button will return to the second reading entered. If you realize a reading has been entered in error, clicking the delete button will completely remove the reading being viewed. Once you are satisfied with the delivery readings and every required field has been entered, click the forward button. ESP will now move to the Meters screen.

The meter screen has a similar look and feel to the delivery screen. On opening the meter screen, the last entered reading is loaded and displayed for you. The fields are disabled.

To begin entering new meter readings click the create another? button. A new blank reading is displayed.

Choose a valid date from the date drop boxes. The date you choose must be later then the previous reading and earlier then the current moment in time. Time is on a 24 hour clock with valid time starting from 00:01 to 23:59.

Enter valid meter readings. ESP will only allow valid readings. Each data entry cell in ESP can perform basic addition for you. By placing an addition sign + after each individual pump value then pressing the tab or the enter button, ESP will calculate the values entered. For example: 1+5+6+854+77 = 943.00

After tabbing from the field the added values appear. Note the 943.00 closing liters on pump 1.

Once all the required values have been filled in and you are sure the readings are correct, you have the option of either creating another reading or moving forward to the next screen. For this example we will create another reading to demonstrate one of the requirements of ESP.

When prices change, as they often do in the fuel business, ESP requires an end point record. What this means, for example, is if a price change comes into effect at 7:10 am a record will be required for 7:09 am (immediately prior to the price change). Since fuel is calculated in a 24 hour system a record is required to close the previous price interval before opening a new interval of fuel sales at the new price.

1st we enter a valid date and time of Oct 4, 2006 23:00

2nd We attempt to tab from the date fields and enter the meter fields. The following prompt appears and the date is adjusted according to the required price change. Click OK on the prompt.

3rd Enter the meter totals since the previous reading. If your station has not sold fuel since the last reading was entered click the No Fuel Sales button. This button is a convenience function which simply copies your last reading into the new pre-price change record being created. Only use this button if you actually did not sell fuel from the last reading. Otherwise the meter readings must include the fuel sold.

Once valid readings have been entered another reading is created by clicking the Create another? button. The October 4, 2006 23:00 record can now be entered.

In this example we have the pre-price change interval closing record for October 4 2006 at 07:09 then the standard end of day record for October 4 2006 at 23:00.

ESP will accept as many readings as required in each session. Please note that readings must be entered in the correct chronological order to be accepted.

Having successfully entered deliveries, meters and dips you will move forward to the summary and submit screen. Click the Forward button. The summary screen will appear as follows with a recap of the readings you have entered.

It is important to now review the readings. Be sure the values that appear are the same as the values you had planned to submit. If you find any dates or readings which are incorrect use the Back button to locate the corresponding screen to make the necessary corrections. Update the values then return to the summary screen. When you are fully satisfied the readings are valid click the Save These Readings button to send your numbers to Wilson’s. Once the readings have been successfully saved a confirmation dialog will appear to indicate success or failure.

Click the OK button to close ESP. You have successfully submitted your daily readings to Wilson’s using the Electronic Settlement Portal. An email including the summary screen text will be sent to you for your records.

Data Validation

While using ESP you may encounter various messages and popup windows. These have been added to help you enter correct data. They also guide you through the entry process.

For example, each delivery requires a reference number. You will not be allowed to save delivery readings without a reference number. Here’s what you may see if the reference number has been entered improperly:

Since all reference numbers must be at least 6 digits in length, 7,874 is invalid.

In another example data is calculated to be sure the entered values are within tolerance levels. Entering a meter value which can’t be calculated correctly causes a message to pop up. This message will help you find your mistake and give you clues as to where to look for errors.

Overall the Electronic Settlement Portal has been designed to accurately record fuel values in a 24 hour continuous system. By starting from your last tank readings, adding deliveries, subtracting sales and comparing your current tank readings ESP ensures the accuracy of your data.
