E-Laws Training Data Protection Policy and GDPR

We, ELaws Training Limited are a limited company our Data Protection Registration reference isZA005414. Weare required to comply with the provisions of the Data Protection Act 1998 (the Act) and the provisions of the GDPR from the 25th of May 2018, in relation to how we handle any personal data we obtain from you.

Any personal information we gather will only be used in the context of the business we conduct with you.

We may process the information we obtain from you to enable us to fulfill our contractual obligations to you. And pass your details to other selected third parties, such as Skillsfor Justice Awards, The College of Policing (for Certificate of Knowledge of Policing students) and Industry Qualifications (for licensing students).

In disclosing your personal details to us, you agree that we may process and in particular may disclose your Personal Data:

As required by law to any third parties.To third parties such as Skills for Justice Awards, The College of Policing and Industry Qualifications who may use your personal data or sensitive personal data (as appropriate) to:Enablethem to fulfill our contractual obligations to you – for example by providing you with an examination certificate;

To carry out statistical analysis;To pass to their regulator or industry bodies to (1) monitor equal opportunities relating to ethnicity or disability, or for other such monitoring purposes or to (2) account for learners where there is a requirement to do so, or to (3) meet their requirement to contact you directly and the information is not readily accessible from any other source.

If we pass your Personal Data to Skills for Justice Awards, Industry Qualifications or

The College of Policingthey: Undertakes that they and their staff will take all reasonable

steps possible to protect the confidentiality and security of all material they receives and to

carry out their various responsibilities.

Whatinformation we collect

If you purchase a course from us you fill in an application form, this form contains sensitive personal data and you also provide your explicit permission for its use as detailed. We will regularly review this permission and you have the right to withdraw it at any time.We take all reasonable steps to ensure this data and your rights are protected. We also receive personal data from TfL in the form of names of candidates who sit the TfL Topographical test at our test centre acting as a data processor. This data is held for a short time from our notification of a person’s attendance by TfL until the test is completed.

How we use your information

As stated we only ever use your personal data with your consent and to the extent necessary to:

  • Enter into, or perform, a contract with you;
  • Comply with a legal duty;

We will only use your information for the purpose it was collected. For our clients, this includes using use personal data to the extent necessary to perform our contractual obligations (such as administering their accounts with the College of Policing or Registration with our awarding bodies Skills for Justice or Industry Qualifications. We will never sell your personal data or share it with third parties who might use it for their own purposes.

We employ a variety of technical and organisational measures to keep personal data safe and to prevent unauthorised access to, or use or disclosure of it. We take our position as a training provider very seriously.

Data Retention

We remove most information provided to us by clients as soon as services are ceased, and data will cycle out of long-term backups up to 6 months later. We store logs of outbound emails for up to 12 months after the email is sent for the purposes handling abuse complaints and compliance monitoring.

We will continue to store limited information about the client (including transaction records) for up to 6 years for accounting, record keeping and administrative purposes. If we consider there is a need to store records for longer (for example, the transaction has been the subject of a dispute or claim) then we will retain the data for as long as is necessary.

Your rights

We want to ensure you remain in control of your personal data. Part of this is making sure you understand your legal rights, which (for individuals) are as follows: The right to confirmation as to whether or not we have your personal data and, if we do, to obtain a copy of it (this is known as a subject access request); the right to have inaccurate data rectified; the right to object to your data being used for marketing or profiling.
