HEAT SHEET:Will be sold at the entrance for $2.00

HOSPITALIY:A hospitality room (room 049) will be available for coaches, working officials and school administrators

PASSES:The following passes are honored: VHSCA, VIAAA, VASSP, Press Credentials,

VHSL Principals Pass and VHSL Coaches Pass

FACILITY:Pool - Eight25-yard lanes for competition. Twelve 25 yard lanes for continuous warm-up and cool down during the competition.

Colorado Scoring and Timing System – software used is Hy-Tek Meet Manger

Locker Rooms - will be available for changing there will be no locker use. Swimmers and teams are to plan accordingly for the security of their belongings.

Seating Capacity for Spectators– 457 seats plus 10 wheelchair spaces. No folding chairs permitted. No standing behind the seating area or standing in the stairway is permitted and strictly enforced. Only coaches, officials, meet workers and athletes are allowed on deck.

Concessions -Snack and soda machines are available. No food on deck.

Shaving – shaving is not allowed on site. Athletes caught shaving on site will be disqualified from all competition

General - Coaches and swimmers are responsible for cleaning up their team area, both during and after the meet. You will be provided a trash bag to clean your area before leaving. The meet director and the George Mason staff/security reserve the right to ask anyone who behaves inappropriately to leave the premises. Anyone barred from the area must immediately leave the facility.

Appeals CommitteeEach conference will be responsible for nominating one individual who will act as a representative on the appeals committee. Conference Athletic Directors/Directors of Student Activities are to submit this individual’s name and contact information to the meet director prior to Monday, February 3 at 12 noon.

WARM UPS:

The prescribed National Federation warm-up procedures and safety policies will be followed. The Meet Director has the right to assign warm-up periods and lanes to ensure a safe environment. Coaches will be notified if such a situation occurs and signs will be posted showing lanes and warm-up times.

Qualifiers:

  • Conference scratches are not allowed.
  • Swimmers not racing in an event must Declare a False Start (DFS) at the scorer’s table prior to the event being called to the blocks. Failure to do so will disqualify the swimmer from further competition.
  • Times must have been achieved after December 2, 2013.
  • Swimmers may enter no more than 4 events of which only 2 may be individual events.
  • Each team may enter a maximum of 4 swimmers per event.
  • Each team may enter 1 relay team per relay event.
  • Qualifying Individual and Team from the Conference championship
  • Top six individuals
  • Top three relay teams
  • Any individual or relay team that has already met the state qualifying time may also be entered. However, the above limits governing the maximum number of entries per event will still apply.

ENTRIES:Submit rosters and entries in short course yard times from your Hy-Tek Team Manager toWes Pontius and copy by noon on Monday, February 10th. If your entries are not received by that time your AD will be contacted. Coaches are responsible to make sure entries are received on time. Set up your entries for 24 events with boys as odd events and girls as even. Meet will be run cardless with the exception of relay entries. Relay entry forms must indicate names and order of swimmers not later than the completion of the heat. Coaches may enter any eligible swimmers listed on the submitted relay entry submission, provided that no swimmer exceeds the 4 allowed entry limitation. Entry forms will be provided.

Please make sure that all swimmers and divers names are spelled properly and the upper/lower case typing is used to enter names in TM database. All individual event swimmers, relay swimmers and alternates must be included on the team roster. Individuals not on the submitted roster will not be permitted to swim.

Each school is allowed 3 entries per individual event and 1 entry per relay. Maximum of 4 events per athlete (no more than 2 shall be individual). A school may enter a 4th person in an event if all 4 entrants have met the state qualifying standard.

An e-mail address and phone numbers (home, cell, work) of a contact person must accompany the entries.

All email correspondence MUST include the name of the school in the subject line. For example, “Dominion HS, entries”

Entry Confirmation: Wednesday,February 12thby noon. ContactWes Pontius to scratch any swimmer not competing. Scratches the day of the meet will be managed by a Declared False Start (DFS) submission to the scorer’s table.

MEET OFFICIALS

VHSL Officials: Each Team is asked to provide 2 Certified Officials (VHSL or USA Swimming). Referee, starters, chief judges, stroke inspectors, and turn judges will be assigned by the host team. The uniform for officials working finals will be white shirt (VHSL shirt preferred) with collar and navy blue pants, shorts or skirt.

TIMERS: EACH TEAM IS ASKED TO PROVIDE 5 TIMERS WITH WATCHES.

Meet Official information sheet (see attached) is due on Monday, February 3rd by noon.

Observing

Officials: This meet will be observed in accordance with USA Swimming rules. Current USA Swimming Officials wishing to act as observers are requested to be included as part of the two officials from each team.

INDIVIDUAL – 20. 17, 16, 15, 14, 13, 12, 11, 9, 7, 6, 5, 4, 3, 2,1

PARKING: Lot C is to be used for fan parking with spill-over into lot A.

Aquatic and Fitness Center (competition venue) is labeled #1.

Buses may not drop off in front of the facility, see map for drop off location. Bus drop off is indicated with a yellow arrow. The green line indicates where the buses need to go to get to that section of campus, the road is one-way. Buses will need to turn at Sandy Creek Way and make their way around to the stop sign. This puts the buses in good position to head back towards lot K where they must park.
