JOB PURPOSE

Registration and deduction of patients
Maintain and update the appointment system
Maintain and manage electronic transfer of data
Data searches and analysis to ensure Q&OF targets are met
Provide reception cover as required

KEY TASKS

Registrations and deductions
To register new patients, temporary and immediate and necessary residents onto the computer system, including entering well person details and coding of existing patient details from patient summaries received from previous practice and managing the GP2GP record transfer system
Deduction of patients including returning of notes and summaries
Regular search of incoming and outgoing notes and ensuring all have been sent or received
Update patient records when patient death is notified
Manage Summary Care Records updates and reconciliations
Quarterly check of temporary and INT status of patients, update status on EMIS WEB and return to Bristol PCSA when registration expires
Respond to ad hoc requests for registrations and deductions from practice staff or Bristol PCSA
Appointment system
Add new users to EMIS WEB
Maintain and update users and teams on EMIS WEB
Maintain the computerised appointment system, adding and deleting sessions and doctors and other staff as necessary or as requested by practice manager
Data Analysis
Regularly review achievement against Q&OF targets using EMIS WEB search facility
Identify and flag patients requiring appointments or additional coding to fulfil Q&OF requirements
Ensure other practice staff complete all coding to fulfil Q&OF requirements
Weekly report to Practice Manager of Q&OF achievement and targets
Regular reports on current wait times and Did Not Attends (DNAs)
Ad Hoc searches and reports as requested by the Practice Manager or Doctors
Patient records
Daily check of NHS.net e mail and load documents onto EMIS records
Weekly immunisation report for Treatment Room
Patient Communication
Quarterly patient newsletter
Maintenance and development of practice website
Text patients to get feedback on DNAs
Regular report of FFT patient feedback
Update WORD letter templates as requested
Other
Regular check of electronic transfer of data
Liaise with Bristol PCSA to resolve transmission errors
Completion of quarterly GP certificates
Reception cover as required

All information concerning the Practice’s patients and staff must be treated as strictly confidential at all times, and you may not divulge it to any other person except with the authority of the Practice Manager or one of the Partners. Such authority may only be given when it is the patient’s or staff’s interest and is a necessary part of treatment. Unauthorised disclosure of confidential information will result in disciplinary action and may lead to your dismissal.

PERSON SPECIFICATION

Essential Requirements

(i)Ability to work under pressure, and in a sometimes challenging environment

(v)Able to work as part of a team

(vi)Experience of using search functions within an IT system
