Purchase of Computers to Based at SCRI

Overview: UW Department of Pediatrics faculty members may have annual professional development funds in accounts at UW that they wish to access for the purpose of purchasing computers (or peripherals) to be used in their work that is based at Seattle Children’s Research Institute.

Purpose: To provide a mechanism that enables faculty members to access their annual faculty allocation funds to purchase computers that can be used at SCRI and supported by the SCRI IT group.

Process:

  1. The faculty member contacts the UW Division Administrator or UW Pediatrics Central Admin staff person to verify UW faculty funds are available.
  2. Pre-approval/exception is required from the UW Pediatric Division Head and Department Director, Administration and Finance, for the purchase of a computer using faculty funds. A copy of pre-approval email must be included with the invoice when it is submitted to UW Division/Department.
  3. Computers costing more than $2,000.00 require prior approval by the UW. Prior approval request is submitted via e-mail, including quote, to .
  4. The faculty member goes to the RSS Help website (internal) and creates a ticket to obtain a quote for hardware and software prior to purchase.
  5. Once prior approval is granted, the requestor’s Lawson delegate will enter the request via Lawson per SCH purchasing procedures for IT equipment.
  6. Purchased equipment will receive standard support from SCRI Research IT.
  7. All software purchases for the computer must be SCH licenses, not UW licenses.
  8. Any hardware repairs not covered under warranty must be paid for by PI funds.
  9. SCRI Center Business Manager will invoice the UW budget for the funds.
  10. The UW Pediatric Administrator must enter the PO in the PAS system, or complete a Purchase Order Form for the forthcoming invoice and submit to Central Administration at .

  12. Once the computer arrives, is installed and delivered by the SCRI Research IT staff, the faculty member emails the pediatric helpdesk with information about the computer to enable tracking through Department of Pediatrics Computing Inventory. Information required includes:
