Minutes from PPG meetingThursday 9th March2017
Attendees: Suman Thind (Assistant Practice Manager), Sobia Ambreen (Office Manager), BC, CB, SA(Patients) Lynn from Breast Screening.
Breast screening
Lynn from breast screening arrived at the meeting to offer advice and promote breast screening to PPG members to involve the community and pass the word around, so that more ladies in the community can become involved.
Targets and statistics were shown and discussed the usual age group to be contacted is 50-70 years old. If you are out of this age group you can also contact.
Suman discussed the feedback she had received with regards to PPG meeting times. She had a tally chart that showed the majority vote of PPG members was for the meeting to be before 3pm before the school run and before rush hour traffic. Therefore after discussing with PPG members present it was decided the next meeting would be around 2pm.
Suman felt is necessary to go over the last PPG minutes and discuss any outcomes of further plans.
Patient TV screen in reception waiting area
Patient TV information screen in reception waiting area- this has been discussed due to the long process of gaining variation and having the equipment set up. We are looking into this still but it may be a future plan of the Practice rather than immediate, in the meantime notice boards have been purchased and will be in the reception waiting area with many advice leaflets. St advised we are still currently waiting for the variation, but it is in process.
Pharmacy first
Pharmacy first scheme has now stopped for Adults as of the 1st January 2017, due to budgeting and funding cuts. However this scheme has been extended and will still remain open to all children under 18 years of age until 31st May 2017.
Health Champions
Health Champions had started recruiting volunteers, but had a shortage of volunteers signing up. They will be coming back in April to recruit again and the workshops will now commence in May. ST asked if anyone knew anyone who wished to be a volunteer and help with this.
Friends and Family test
Friends and family test was discussed by ST – she felt it was important to inform the PPG members that the reports are published on the website and are currently showing very good feedback. The one major problem the Practice is facing is the telephone access, but ST informed the PPG that the practice is looking into a new telephone system to help resolve the issues with telephone access the practice currently faces.
Self Care
The self-care leaflet table in reception has been used and patients are going and looking to see what is on the table- leaflets have gone ST requested some more leaflets and stocks them monthly now.
Access Reports
Access Reports- ST designed a graph chart which showed how many appointments were given in November- January 2015 and then November- January 2016. In 2015 3483 appointments were given to patients who were seen by a GP or clinician. In 2016 3788 appointments were given. So it showed that the Practice is still offering more appointments in 2016 than in the previous year, to help to improve access.
DNA’s
DNA appointments are still a major issue for the Practice, as patients fail to attend urgent appointments on the day, which makes it harder for the Practice to then offer appointments to patients that need urgent care. The practice has a 3 DNA policy in place and if a patient fails to attend 3 appointments without informing the practice will then be removed from the Practice list. The appointments are now being confirmed the day before by reception staff, and many patients are signing up for the SMS service so a reminder is also being sent. ST advised the Practice is trying to do as much as they can to help prevent DNAs.
Telephone triage
Currently the triage telephone is working, but to improve this further in the future the GP partners are still looking into to starting a walk in clinic firstly trialling one day per week, where patients can come and sit a wait for urgent care and be seen the same day by a clinician, which will hopefully enable more routine appointments for patients.
Appointments
The appointments now for routine and online appointments have been opened up to 4 weeks in advance.
Patient satisfaction survey and Healthy Living questionnaire
ST advised on both questionnaires and that the Practice is trying to make improvements and gain better feedback from patients. ST asked if the PPG members were willing to become more involved and offer a few hours or whatever they could manage to help interact with patients and gain the voice of patients so we can improve and better the patient satisfaction.
All PPG members present were willing to help.
The Next PPG meeting will be held on Wednesday 21st June at 2.00pm.
