JOB SUMMARY

This position is responsible for overseeing and communicating the Symphony’s master calendars, booking rehearsal and concert spaces with the War Memorial Performing Arts Center, assisting with the implementation of new arts administration software (ArtsVision) throughout the organization, and assisting with the event management of concerts, events and special projects. The Assistant Operations Manager reports to the Operations Manager and works closely with the Production Office staff, Artistic Planning staff, stage crew, and the Orchestra Personnel Office.

RESPONSIBILITIES

  • Responsible for updating schedule information in ArtsVision software. Coordinates with IT Department and other ArtsVision users to ensure full program function, work-flow, and produce necessary schedule- and production-related reports.
  • Creates the Orchestra Rehearsal and Performance Schedule booklet and Orchestra Tour booklets.
  • Creates and maintains season schedule, master SFS schedule document, and event manager calendar: including the processing of schedule requests, coordinating venue releases with WMPAC, negotiating space needs, and communicating changes to the organization in a clear and timely manner.
  • Budgets, tracks, and forecasts quarterly the rehearsal and performance theater rental budget and processes all necessary payments to WMPAC.
  • Manages ground transportation for orchestra run-outs and off-site performances.
  • Prepares stage crew Daily Production Schedule drafts for review and distribution.
  • Produces Program Advice and Instrumentation Report drafts for review and distribution.
  • Assists the preparation of weekly stage crew payroll for both regular and extra stage crew on an as needed basis.
  • Oversees special projects, performances, events, and presentations as assigned. The Assistant Operations Manager participates in Concert Coverage rotation.
  • Acts as a backup for Operations Manager, Receptionist, and Office Services Clerk in providing full-time administrative support for the day-to-day needs of the organization.
  • Other tasks, duties and responsibilities as assigned.

QUALIFICATIONS

  • 2-3 years of experience in a performing arts environment or relevant experience strongly preferred.
  • Project, performance and budgetmanagement experience; outstanding communication skills in a fast-paced environment required.
  • Strong computer skills needed (Windows, Microsoft Office, misc. troubleshooting)
  • Experience with and working knowledge of orchestra management software and systems (OMS, OPAS, ArtsVision, etc.)
  • Close attention to detail, accuracy, and proofreading skills essential, as well as strong organization, analytical, and documentation skills; ability to prioritize and multitask in a busy department is required.
  • Must have ability to work with diverse personalities while maintaining diplomacy and calm demeanor under pressure, and demonstrated success in building relationships throughout an organization.
  • Working knowledge of classical music, including terminology, instrumentation, and repertoire, is required; ability to read music preferred.
  • Some evening and weekend work is required. Frequent standing, walking, and moving of equipment and materials. Some moderate and heavy lifting required.
