Introduction
Louise Orr (LO) welcomed everyone to the meeting.
As apologies were quite extensive, it was agreed these would just be sent round.
Refresher Round
Everyone at the Forum was given the opportunity to introduce themselves and provide an update of their activity.
Terms of Reference
Everyone at the Forum was given a draft copy of the Volunteer Manager’s Forum Terms of Reference.
LO asked if everyone present at the meeting could look over the terms of reference and provide feedback.
There were no changes required and everyone present at the meeting agreed the draft would be adopted.
Terms of reference will now be on CTSi website – LO to action this.
Discussion Board
At the last forum, it was suggested that there should be a Volunteer Managers’ discussion board on CTSi Website.
Everyone agreed that it would be useful to have one and LO is looking intohow this would work and making it available through theCTSi Website.
Volunteers Week
LO and DH provided an update on CTSi plans for Volunteers’ Week.
The Award Ceremony will be held this year on Tuesday 6th June at Lornshill Academy from 5pm till 8pm. Lorraine MGee, Career & Employability Co-ordinator at Lornshill Academy is working with CTSion organisation for the evening. She has been central in arranging entertainment, and students volunteering to assist with the evening. Lorraine explained to everyone that there will be 8 pupils volunteering on the night. In terms of entertainment, there will be:
  • P7 transition pupils from Clackmannan primary choir
  • cheerleading
  • a dance group
  • an S6 solo singer.
Also during Volunteers week,CTSi will be hosting a Volunteer Recruitment Fayre on Friday 2nd June from 9:00am to 12:30pm at Sauchie Hall. This is a great opportunity for organisations to have a stall to promote the opportunities they have, and for anyone interested in volunteering to attend to see what is available in Clackmannanshire.
Tracy Gibson mentioned that THL are involved in organising the Big Fit Walk, which is actually alsotaking place on Friday 2nd June as well. LO suggested that CTSi could try to work with THL to link the events together as Tracy had mentioned finding new people to join the walks was a big aim, and hopefully the recruitment fayre will be a source of lots of people looking to get involved in the community/volunteering.
Tracy and LO agreed to discuss how this may work.
LO asked everyone present at the meeting what they were doing during Volunteers’ Week, and said that if they would like CTSi to assist with promotion to just send her details.
Maria from Play Alloa highlighted that they are having an Open Day on 5th June for people to find out more about them.
AOCB
Richard Thomson from Community Justice spoke about the Community Justice Partnership and the Community impact groups. He is looking for people to join the relevant impact groups. If anyone needs more information or is interested in joining they are to get in touch with him.
LO provided everyone present at the meeting with a copy a Volunteer Management Good Practice booklet she drafted. After having a quick look through, a discussion ensued, which resulted in everyone agreeing the booklet is useful. However, Dave Budd from Volunteering Matters suggested thecreation of a one page summary document, as the booklet may be daunting to some organisations. LO agreed to draft this.
LO also mentioned she is currently working on a guide for disclosures and asked the forum members if they would look over it when a draft is completed. The forum agreed.
