General Scope of Duties
The Union Market Assistant Manager is responsible for helping the Manager through any means necessary, including completing daily deposits, aiding in inventory duties, and managing the staff in the absence of the Manager.
Major Duties and Responsibilities

Financial & Budgeting Function / 50% /
- Prepare bank deposit for day’s sales
- Print sales reports
- Reconcile sales with report print outs using RMS report and inventory numbers for each shift
- Ensure accuracy of transactions and inventory counts and make necessary adjustments
- Follow up with staff if there are any discrepancies
- Prepare end of day summary and forward to the Manager for authorization and submission to the Accounting Department
- Perform weekly safe float count and maintain accuracy
- Ongoing maintenance and replenishment of cash floats and coin orders
- Pay all invoices in a timely and efficient manner
Operations / Supervisory Function / 20% /
- Assist the Union Market Manager in the development and execution of training for CSRs
- Handle customer relations, crisis management, staff motivation, training, and discipline.
- Monitor all aspects of store operations
- Supervise work flow assignments of all Customer Service Representatives to ensure a smooth, effective operation
- Assist staff when needed
- Develop a good working knowledge of equipment used in the daily operation of Union Market
- Troubleshoot problems with equipment, technology, and Union Market procedure
- Assist the Union Market Manager with the hiring of CSRs
- Take an active role in performance management and reviews of CSRs, including training, discipline as needed, and support
- Update the policies and procedures manual throughout the year, updating and identifying any inefficient procedures
Inventory Function / 20% /
- In conjunction with the Manager, responsible for all aspects of inventory management, including limited to: periodic counts, invoice processing
- Responsible for organizing an inventory three to four times annually as well as implementing a system of spot checks and weekly sectional inventories
- Collect and verify invoices and input stock
- Prepare special stock requisitions for MSU organizations, clubs, residences, and University departments as needed
- Conduct inventory control checks each shift worked
- Randomly count five items per shift to ensure accuracy of the computerized inventory system
- Re stock the store as required
Other / 10% /
- Assist in the development and implementation of marketing initiatives
- Research and recommend new products and services that may be viable to the Union Market
- Responsible for completing a year-end transition report in a timely manner
- Maintain a high level of customer service at the store
- Responsible for dealing with other routine and non-routine duties that come into play in the daily operation of the department
- Fill in for any staff member who cannot work and for whom a replacement cannot be found
- Fulfill the duties of the Union Market Manager in their absence
- Other tasks as assigned by the Union Market Manager
Knowledge, Skills and Abilities
- Strong leadership and supervisory skills required to direct, be critical, and lead staff members
- Knowledge of basic accounting and inventory control principles required to perform financial duties
- Must have organizational skills
- Must be able to train and discipline staff according to MSU policies
- Background in customer service oriented industry. It is also extremely helpful to have prior supervisory experience as well
- Close attention to detail required when managing finances
Effort & Responsibility
- Effort required to exercise judgment in staff discipline situations as well as in inventory control decisions
- Ability to make decisions quickly and often without warning (i.e. customer service situations)
- Must be willing to be available even during “off” hours for important staff questions or emergencies (this occurs frequently during the month of September)
Working Conditions
- Work environment is pleasant but hectic. Often the Assistant Manager is performing several tasks simultaneously
- Frequent work in the evenings or on weekends
- Frequent lifting, including heavy objects, while stocking shelves or putting away deliveries
- Often required to come in early in the morning or to stay late to ensure that the store is clean, tidy, and ready for business
- Time demands may exceed stated hours of work
Training and Experience
- Previous experience with Union Market is an asset
- Training and experience with cash procedures is an asset
- Experience in ordering and inventory control procedures is an asset
- Previous management/supervisory experience is an asset
- Additional training will be provided
