With this mailing you will find four enclosures: this double sided letter (see back side for new services), a client newsletter highlighting the tax law changes for 2009, a 2009 pocket calendar, and your copy of our twelve page income tax organizer for the tax year 2009.

Please take the time to fill out your income tax organizer as completely as possible including "STEP ONE - PERSONAL DATA". The organizer is designed to help you with the task of determining exactly what information is needed to prepare your tax return. We want to be certain that income and expense items are not overlooked. If you need more space than is provided in the organizer, bring your own separate statements itemizing the additional information.

As in the past, you should call our office for an appointment. Our regular office hours during the tax season are 8:30 a.m. to 7:30 p.m. Monday through Saturday. If you have any questions don't hesitate to call. Please note, for those of you who make a Saturday appointment our building’s front door locks at 2:00 p.m., so you will need to have access to a cell phone or somehow get our attention to be let in.

All of you who are acquainted with our office know and understand that referrals are very important to the ongoing success of our tax practice. And, in addition to our individual tax practice, we offer corporate, partnership and accounting services. Therefore, if you or any referrals are interested in these services, please contact our office to set up a time to discuss options and strategies.

Continuing this year we plan to have a front desk person working Saturdays to help with client appointments, tax return pickups and other issues.

EXTENSIONS

We do not automatically request extensions. You must contact our office to let us know your intention if you want assistance with filing an extension. We recommend contacting the office a week prior to April 15th to ensure timely filing of your extension.

DOCUMENT RETENTION

Our office does not retain copies of your work papers. All work papers are returned to the client. Our office keeps paper copies of tax returns for three years of tax filings, or for three years after the return was given to the individual. We may be able to retrieve paper copies from the software, but this can’t be guaranteed.

COPIES OF INDIVIDUAL TAX RETURN

You can choose to receive a copy of your individual tax return via paper or CD-ROM. If you want both types, an additional charge of $15 will apply. If you do not indicate a preference, a paper copy will be supplied.

Additional paper copies of returns will incur a minimum $25 fee.

SECURITY ISSUES

When you call our office you will be asked to give your social security number and birth date before any information can be given to you over the phone (i.e. dependents social security numbers, prior year income).

We need a signed client release statement in order to send a copy of your return to any address but you the taxpayer. Copies of the forms are on our website and can be returned to our office via mail/fax/email. This is an IRS requirement.

IMPORTANT REMINDER – PLEASE REVIEW

Before we can file your returns electronically, we need to receive a signed e-file authorization form. This authorization form will be provided to you with the finalized copy of your completed tax returns. You must sign this authorization form and either deliver, mail or fax it to our office. We can not electronically submit your returns until we receive this signed authorization form.
