Alleyn’s is a friendly, caring, academically excellent, independent co-educational school for pupils aged 4-18. Alleyn’s was the first major London school to become co-educational over 30 years ago and that philosophy is embedded across all aspects of school life. The JuniorSchool is a member of IAPS, with pupils aged 4-11. The SeniorSchool is an HMC school with pupils aged 11-18.

The Development Office

The primary role of the Development Office is to design and support the fundraising efforts of the School community. This is with particular emphasis on the establishment of sufficient bursary funds:

  • to permit the School to offer a place to any child who would benefit from an Alleyn's education, irrespective of parental income, and;
  • to support pupils whose families fall into financial difficulties.

The Development Office seeks to maintain and develop relationships with both current and former parents, former pupils and members of staff, encouraging them to play a fuller role in the current life of the School and stewardship over its future.

The Office is currently jointly led by the Development Officer and the Head of Alumni Relations, whose responsibility is to enhance the School’s relationships with its former pupils and with the Edward Alleyn Club, the alumni sports and social club.

The Responsibilities of the Office Intern

The aim of the Office Intern is to support the work of the Development & Alumni Office in terms of basic administrative tasks, updating and maintenance of databases and onsite management of events. This will involve working with staff, pupils, ex-pupils and visitors. In particular the role-holder will:

  • Update ‘University Destinations’ from past copies of Scriblerus.
  • Update Houses for alumni from the school rolls and leavers’ year book.
  • Undertake a mass email task to request mailing addresses where we only have email.
  • Update contact records for the leavers of 2004.
  • Update details and research the leavers of 1990 for a ’25 years on’ review.
  • Assist in booking guests on events and the admin tasks generated by holding events (guest lists/badges etc.).
  • Update and add alumni records from school rolls – in particular the 1955’s to 2005’s.
  • Check that all annual fund donations are marked as anonymous are reflected in the database.
  • Update the Direct Debit files to match serial numbers on our CRM database.
  • Ensure Gift Aid Declarations are up-to-date for all donors to our recent telephone campaign.
  • Ensure there are no blank salutation fields in the database and check envelope salutations for errors.
  • Update current staff employment records (within thankQ database) and enrich with department where possible.
  • Process ‘Personal Information Forms’ as they are returned from the 2014 Spring Magazine mailing.
  • Update employment details for parents and create individual records for both parents where necessary.
  • Assist with mass mailings.
  • Answer the telephone and deal with enquiries in a manner sympathetic to our alumni base.
  • Undertake research into event venues.
  • Undertake research into Trust Funds and Major Prospects.
  • Assist the work of the Development Office Assistant (merchandise, financial processing, alumni liaison).
  • Be aware of the School’s Health & Safety Policy.
  • In conjunction with all staff of the School, support, promote and act within the School’s Safeguarding Policy.

Line Management

The Office Intern is supervised on day to day basis by the Development Officer and is ultimately responsible to the Bursar.

The Candidate

The successful applicant will be interested in communication and events management, and have a robust attitude towards the rigours of data management.He/she should be able to work in a small team and be flexible to the variety of tasks that the Development and Alumni Office undertakes.

Candidates should also be adaptable, with friendly and professional communication skills. They will also need to be able to work to tight deadlines and use MS Office software. Inevitably certain times of the academic year are pressured in the pattern of workload and it is important that the post holder is reliable and maintains a positive attitude.

Ideally, the successful candidate will have worked in a school environment, and be educated to degree level, but this is not essential.

Interviews

Interviews will be conducted at the School. This will consist of interviews with members of the Development & Alumni Office and may involve an aptitude assessment test. Please note that references may be taken up before the interviews. If you would prefer to be contacted first please state this.

Terms and Conditions

The post is part time (working 20 hours per week, 9am – 1pm, Monday - Friday). The salary will be £160.00 per week (£8.00 per hour).

This is a fixed term position which will automatically end on 31st July 2015.

The successful candidate will be based at the School. Founder’s Day will be held on Saturday 27th June and is a normal working day.

On completion of the required recruitment checks, the post would be available to the successful candidate immediately or at the completion of their due term of notice.
