2015 Board Elections

  1. How much time will this take?

This is the number one question. How do you balance Board of Director responsibilities along with your career and family? After talking with each current Board member, there are a minimum of 12 hours required each month to keep up with basic Board activities and responsibilities. Additional time to manage team specific responsibilities will be incremental to the standard time commitments. This time commitment varies by position and may not be consistent throughout the year.

  • Standard monthly time commitments:
  • Board meeting - 2 hours
  • Chapter dinner meeting or fun event – 2 - 3 hours
  • Prep for and actions from the board meeting – 1hour
  • Region 6 Vertical conference call - 1 hour
  • President and team emails - 4 hours
  • Web site update - 30 min
  • Newsletter submission - 30 min
  • Slides for meeting every other month - 30 min
  • Team meetings or conference calls – 1 hour
  • One-off time commitments
  • Board Strategic Planning meeting in January – 6 to 7 hours
  • Attend Region 6 conference – Friday through Sunday
  • Attend Leadership conference (LIM) [for 3 – 5 members] – Wednesday through Saturday
  • Prepare tables and stuff PDD attendee bags – 3 hours on Sunday evening before PDD
  1. Who is qualified to hold a KCPMI Board position?

According to the KCPMI By-laws, Board positions may be filled ONLY by KCPMI chapter members in good standing; this includes Regular membership and Retiree membership but not Student membership. It is better, although not required, that you have been a member of the KCPMI chapter for a few years and previously served in volunteer roles. This provides the exposure to the PMI organization that is needed to effectively perform in a Board of Directors role.

  1. Do I need to hold a PMI certification to serve on the Board of Directors?

According to the KCPMI By-laws, the following Board roles “prefer” a volunteer who holds a PMI certification:

  • President, President-elect, Past President
  • VP Professional Development
  • VP Professional Development Days

In these roles it is important that the volunteer understand the PMI certification options requirements, and processes in order to provide appropriate training and information to our members.

  1. What’s in it for me? (Or, what are the benefits for the Board member volunteer?)

According to the KCPMI Bylaws, Board members are not paid. So what is the compensation in tangible benefits that you can expect in return for your service?

  • Professional Development Units (up to the maximum allowed by PMI per certification)
  • Free registration to five KCPMI chapter dinner meetings (approx. $140 value)
  • Free registration to KCPMI PDD conference (approx. $450 value)
  • Dinner provided for six in-person Board meetings (varies)
  • All expenses paid to attend the annual Region 6 Conference (Dallas in 2015)
  • All expenses paid (for 3 to 5) to attend the annual N.A. Leadership Institute Meeting
  • Other Leadership Development classes/conferences (varies)
  1. How will I know what to do in my new role?

Two governance documents are available to you on the chapter’s website:

  • KCPMI Chapter By-laws describe the qualifications of each Board member; it also provides the authority for this position to use chapter resources and funds in the execution of duties. (A change to the By-laws requires a vote by the active KCPMI membership.)
  • KCPMI Standing Rules outlines the responsibilities for each vice President and Director rolesas defined for KCPMI. (A change in the Standing Rules requires a vote by the active Board of Directors.)

Results of chapter membership voting for the 2015 Board will be announced at the November chapter dinner meeting (Nov. 10). The incumbent is responsible for reaching out to the new Board member to begin a transition of duties. Processes and templates are reviewed with the new Board member.

In January each Board member is asked to attend the Strategic Planning Meeting. General processes are demonstrated, such as Expense Reporting, Volunteer system process, etc.

  1. Do I do all of the work myself?

All Board members may build volunteer teams to deliver their goals, programs, and/or events. We welcome opportunities to provide volunteer assignments for our members. These roles may range from a one-time activity to serving in a Director role.

In addition, we have three very helpful PMI resources assigned to us who provide services and guidance in such areas as charter renewal, best practices, Board elections, member surveys, and advice on policies and procedures.

  1. How long is the term of office?

According to the KCPM By-laws, the Presidents’ roles are one year; year one as President-elect, year two as President, and year three as Past President. The remaining nine KCPM Board positions are one-year terms of office with a maximum of serving four consecutive years in one role; maximum of eight years of consecutive Board service.

Following the first and third years in office, a Board member may request to remain in the same office for an additional year without membership vote. The Presidents approve these requests. Otherwise, KCPMI members vote on all Board roles at least every two years.
