Announcement /
- Review minutes from 5/8/15 meeting.
- Dr. Salazar will be taking an education leave to complete an educational program at Harvard. He will be on leave from the end of August to late May.
- Oasis evaluation completion – need everyone that has a NID to login to OASIS in order to send volunteer faculty a link to complete the evaluation.
- Nemours updated – Dr. Jordan Smallwood will be joining Dr. Karch to help with the M3 clerkship. Dr. Julie Denim will be helping with the M4 experience.
- Update on clinical partners - All rotations are going well at Heart of Florida, Flagler Hospital, and Bay Pines V.A.
- COM Academic program review by UCF has begun; this is required by the state every 7 years.
- 2017 – 2018 next LCME study. We will start preparing for LCME study in January. These studies will give us an opportunity to look at our programs and see what changes we want to make for improvement.
- Step 1 and Step 2 CK and CS scores have all been passing.
- Clinical skills assessment committee continues to meet regularly to look at increasing the use of OSCEs during each clerkship.
- Clerkship directors should design suggested M4 schedules for the M4 students based on their planned residency training. These suggested schedules will be listed in the COM catalogue and on M4 GPS site.
- Possible changes to M3/M4 Meeting time – open to suggestions.

- Waiting on three faculty members to agree to use the NID to change OASIS evaluation process.

LCME Data Review /
- No updates today; should have information regarding the 2014 – 2015 year at the next meeting.
Longitudinal Integrated Clerkships /
- Presentation by Dr. Caceres re: LICs.
- LIC – provides continuity and becomes the central element of M3 clinical education.
- As opposed to using 6 or 12 week blocks students spend one day with each discipline for 52 weeks.
- Involves lots of integration and work with clerkship directors/coordinators to manage the schedule.
- Students complete the shelf exam when they feel like they are ready.
- Would need many more clinical placement sites to be able to do this for the full 120 M3 students. Could we do an elective variation of this in the 2nd half of the M4 year (away rotations and AI’s would disrupt the earlier M4 schedule)?
- Dr. Caceres will present data to support LIC curriculum at an upcoming meeting.
Review of Students Evaluations from the M4 year /
- Dr. Klapheke and Mr. Staack reviewed all 2014-2015 M4 course data. Virtually all of the M4 student evaluations of M4 rotations and faculty were quite positive.
- Office of Assessment will be sending out faculty feedback to all faculty by the end of July.

Course Proposals /
- Elective in Pediatric Endocrinology
- Elective in Pediatric ENT
- All courses were approved.
- Courses will be sent to curriculum committee for approval
Proposal to Change the requirements to pass Step 2 /
- Dr. Verduin suggested that we change the requirement that students must pass Step 2 in order to graduate to a requirement that they must take Step 2 (students must take the Step 2CS by August 31st and CK by Dec 31st ). Currently requirement is students must pass Step 2 in order to graduate.
- Change could be effecting immediately. Dr. German is in favor of this change.
- Change has been approved.
- Changes will be moved to curriculum committee for approval.
Sample MSPE /
- In the faculty-only portion of today’s meeting, Student Affairs shared MSPE so all information so that clerkship directors could see how the comments in the evaluation are used in the MSPE.
- Modify the description on evaluation form so as to clarify to preceptors the value and need for narrative comments on student performance.
Sample excused absence email /
- Clerkship coordinators could send out this sample email for students so that students do not feel in a position of needing to explain personal circumstances necessitating medical appointments.
- This sample email will be used if the coordinator feels it is appropriate and necessary.
OSCEs in M3 year /
- Students need to maintain awareness of required OSCEs during the M3 year. Also, more OSCEs are being integrated into Clerkship OSCEs
Review end of year M3 evaluations by students /
- Dr. Klapheke reviewed the students’ end-of-M3 evaluations; overall were quite positive.
- Areas of improvement
- Video conferencing technology. Video conferencing at Bay Pines still needs improvement.
- Students want earlier information about applying for M4 away rotations and applying for residency. This information was presented to students during M3 orientation. Student Affairs has new website, Roadmap to Residency, to provide more information to the students.
- ORMC parking – students do not feel safe walking the 2 blocks to and from the parking lot. Dr. Peppler will be talking to OH about this concern. ORMC Security is available to escort COM students to their cars.
- Follow-up on identified areas for improvement
Curriculum Committee feedback on M3/M4 attendance policy /
- COM Curriculum committee would like to add – “Unexcused absences impact upon assessment of a student’s professionalism and will be reported to the student SEPC” to the M3/M4 Attendance Policy. The M3/M4 Committee approved this recommended change today.
- Attendance policy can be distributed to M3/M4 students.
- Curriculum committee – will approve changes at the next meeting.
Student Updates /
- Flagler Hospital rotations are going well. Heard positive experiences at Heart of Florida as well.
- Committee representatives are making an effort to improve communication between committees.
- Student representatives will be putting together a newsletter that will be sent to student so students are aware of changes.
