Importing scores into Standards Gradebook
Teachers can now import assignments scores into the Skyward gradebook from other sources. This means that assignments that were graded in Blackboard, ExamView (with the online option, CPS clickers, or plain paper scanning), or any other program that allows grades to be exported as plain text, Excel, or .csv files. This will speed up the transfer of grades into Skyward and should reduce errors associated with manual entry.
The process involves uploading scores from one or multiple assignments. Scores will need to be copied and pasted into the pre-made template but that is not difficult to do.
Step 1 – Create the assignments in Skyward (required for either option)
- The assignments need to be created in Skyward. Assignments cannot be imported into Skyward only scores for assignments.
- The assignment name in Skyward does not have to match the assignment name in the source (ExamView Test Manager, CPS, etc.). The teacher just needs to know what assignments in Skyward match up with the assignments in the source.
Step 2 – Export the source files.
Exporting from ExamView Test Manager
- In ExamViewTest Manager highlight an assignment to download. Only one assignment at a time can be downloaded from EV manager.
- File> Export> Assignment Results as Text
- In the export options, these items only must be selected: Last Name, First Name, Student ID, Scores.
Field separator is “Comma” and the “Insert quotes around fields” is checked.- Click OK to download file.
- Save the file to your U:// drive. Be sure to name the file with the assignment’s name.
- Once the file has been downloaded, open with Excel.
- FileOpen and find the text file. (you’ll need to change the file type to All Files from All Excel Files)
- There will be a dialog box. Be sure that Delimited is selected.Click Next.
- On the next page select Comma and uncheck any other Delimiter types. Click Finish.
- File>Save As > CSV (Comma delimited)
- Repeat with the next assignment. Results can be combined into one file as you go along.
Exporting from CPS
- Click on the Report tab, and then Gradebook.
- Select the correct class in the Roster dropdown.
- Click the Export button.
- Your data for this class will be immediately opened in Excel. You will see more information than you need, but that’s fine.
- Save this file to your U:drive as a csv file the same way as described for ExamView above.
Step 3: Upload Scores into Skyward
One you have downloaded the scores, you are ready to upload.
- Log into Skyward and open the class where you want to import scores.
- Hover over the Assignments tab. Click on Advanced Export/Import Assignments.
- This allows you to import multiple assignments at one time. You will need to paste scores into a premade template.
- If you click on the Assignments tab and open it, you will need to use the back key. Import options are only available from the hover menu.
- This option window will open. Be sure to check the box to “Show Events Not Due” if not checked already. This will show all the assignments needing scores.
- Place a check next to each assignment that you want to import scores for at this time. Then click the Create File For Score Entry button (circled above).
- Downlod and open the .csv file. It will look like this when you resize the columns:
- The Assignment names and the cells where the scores are to be entered are highlighted in yellowto help you see where you need to paste cells.
CopyAssignment Scores from ExamView or CPS
- Open your exported report from EV Test Manager or CPS. You will now copy and paste scores from that .csv file into the Skyward template.
Note: When you have more than one file open in Excel you cannot see them both at the same time unles you change your view. Click on the View menu, then Arrange All and select Vertical from the choices. This will put the windows side by side. - Copy the scored from the ExamView file into the Skyward import file. Close the EV file. If you had scores for different skills in CPS, you could now open that file and copy/past into the Skyward import.
- Save the Skyward import file as a .CSV file just as you did with the others. Close this file.
Import Assignment Scores
- Back in Skyward select Browse and locate the template file. Click Import Scores from File.
- You will get a Successful Import screen similar to the one below that will show all the scores, codes, and comments that were imported. Use the Back or click on Main Page in top navigation menu.
