Job Title: Receptionist
Reporting to: Head of Finance and Administration
Department: Finance and Administration
Job Type: Part time, fixed term contract (1 year, with possibility of permanent post in the future)
Hours: 25 hours per week(with possibility of extension in future)
Salary: £19,500 (pro rata); plus 10% employer pension contribution.

A Rocha UK is the largest Christian conservation charity in the UK, mobilising Christians and churches to care for the natural world. We run conservation activities across the UK, on our own nature reserves and on land managed by our partners, we equip and inspire Christians to enjoy, nurture and defend nature and we manage the successful Eco Church scheme.
We are now seeking a personable, self-motivated team player to be the ‘front face’ of A Rocha UK in our Southall office.
Purpose of Job:
To run an efficient and effective ‘front office’, including answering the telephone, handling post and orders for materials, responding to supporter enquiries, undertaking initial processing of donations including input tothe data base, so that communications from supporters and the wider public areaddressed swiftly and effectively, increasingly our collective impact for nature.
Key responsibilities:
Handling external enquiries and correspondence
- Answering external calls to the office
- Managing the answerphone and coordinating responses to messages
- Monitoring the A Rocha UK email inbox and responding to enquiries, including liaising with other staff to ensure enquirers receive the correct response
- Opening and initial processing of post
Handling and initial processing of donations:
- Sorting and preparing donations for registration by the Finance Officer
- Updating the Customer Relations Management system/data base
- Liaising with the Finance Office and Fundraising Team to provide appropriate responses to donations via post andemail
Office management:
- Monitoring the use of office suppliesand ordering replacements when necessary
- Keeping the ‘loans’ register for equipment such as stall banners etc
Event support
- With advice from the Engagement Department, ordering new publications for sale at A Rocha events
- Keeping the register of publications, supplied and returned
- In coordination with the Engagement Department, ensuring A Rocha events are supported with adequate publicity material (banners, magazines, books etc.), organising the timely freighting or collection of goods.

- Friendly communicator
- Efficient administrator
- Able to thrive in a busy office with multiple on-going tasks
- A practicing Christian: ARochais a non-denominational Christian charity with a deep commitment to our faith, community and cross-cultural collaboration. This requires all staff to be willing to and able to participate fully in the spiritual life of the organisation, including regular collective prayer and reflection, annual staff residential retreat etc.

Essential
- Highly organised, able to meet deadlines and prioritise the workload
- Excellent organisational and multi-tasking skills, aware of the big picture and strong on getting the detail right.
- Excellent written and verbal communication skills , including good phone handling skills
- Strong people focus and motivation to deliver an excellent service
- IT proficiency in standard office packages (Word, Excel, Powerpoint) and communication applications
- Able to work on own initiative and as part of a team
- Total discretion and ability to handle confidential material well
- Enjoy working in a diverse team environment with a combination of office based and remote staffand volunteers
- Experience in one or more of the following, or demonstrable ability to learn fast:
- Receptionist
- Supporter relations
- Office management and administration
- Secretarial duties
Desirable:
- Strong interest in the environment
- Experience of using a CRM database, e.g.Donorfy or similar programmes
- Experience with customer care
