SESSION MEETING

JUNE 16, 2015

The stated meeting of the Session of The Presbyterian Church of Danville was held on Tuesday, June 16, 2015 in the Community Room of the church. Following the greeting by the Moderator Jim Stewart and the lighting of the Christ Candle, the meeting was opened with prayer by the Moderator.

MEMBERS PRESENT: Moderator Jim Stewart; Associate Pastor for Families and Youth Hannah McIntyre; Elders Mark Hobelheinrich, Tom Quilligan, Darren Pecker, Shane Wilson, Judith Jia, Maureen Beto, Chris Glidewell, Liz Orndorff, John Davis, Johnny Preston and Karl Benson. Also present were Deacon Representative Gayle Waddell and Clerk of Session Jean Harney.

MEMBERS EXCUSED: Elders Roger Hartner, Bill Garriott and Charlie Boyd.

A quorum was present.

THE FOUNDATIONS OF THE PRESBYTERIAN CHURCH POLITY:

For the next several meetings, the Moderator will review the various parts of the BOOK OF ORDER and at this meeting the members of the Session that were present looked at the first section which is “The Foundations of The Presbyterian Polity”. This section was reviewed briefly with questions being posed and answered. Members were encouraged to read and study for themselves this section in more detail and to consider how we foster what it is said in F-1.03 “The Calling of the Church” in what we do in our church.

  1. Baptisms: Rose Harriet Hobelheinrich, daughter or Mark Hobelheinrch and Sara Egge, baptized at the 8:30 a.m. service on Sunday, May 24, 2015; Jim Stewart and Hannah McIntyre officiated.

SCRIPTURE LESSON: Mark 1:16-20

The symbolism of this scripture is that the disciples, then and now, are being called to be “fishers of men”.

CORRESPONDENCE:

  • A letter of resignation was received by the Personnel Committee from Ginger Arth, Church Secretary, on June 1, 2015 with the effective date of June 12, 2015 agreed upon by the committee and Mrs. Arth.
  • A letter of resignation was received by the Personnel Committee from Amy Shreve, Christian Formation Associate, on June 16, 2015 with the requested

effective date to be July 20, 2015.

APPROVAL OF MINUTES:

  • The minutes of the May 12, 2015, stated meeting of the Session were approved as distributed.
  • The minutes of the Called Congregation meeting held on Sunday, May 31, 2015 were approved as distributed.

REPORTS AND RECOMMENDATIONS FROM COMMITTEES:

  1. BUDGET AND FINANCE COMMITTEE: Darren Peckler and Karl Benson

  1. CHRISTIAN FORMATION COMMITTEE:
  • ADULT FORMATION COMMITTEE: Bill Garriott

A written report was included in the Report Document and contained, in detail, plans for the coming year beginning in August. There is no official Sunday School class in August since Kickoff Sunday is September 6th but Hannah McIntyre will lead a 3 week discussion of Barbara Rossing’s book THE RAPTURE REVEALED that month.

There was also discussion of how to encourage more people to attend the EXPLORERS CLASS that meets each Sunday. There is a core group of slightly larger than twelve who participate in this class each week, but the committee wants to do things that will encourage more regular participation. It seems that, depending on the topic, the class is larger at times.

Discussion of the future of the GENERATION FAITH class held each Sunday was held since no one has stepped up to assume leadership of this group.

  • CHILDREN’S FORMATION COMMITTEE: Judith Jia

There was no written report, but it was reported that the concentration of this committee, since the last Session meeting, had been to plan and implement VBS which is going on this week. There are 81 children registered and 36 adults helping in some way with the program.

  • YOUTH FORMATION COMMITTEE: Maureen Beto

Hannah McIntyre and Jim Stewart reported that the trip to MOUNTAIN T.O.P. was quite successful. Nineteen went – 15 youth and 4 adults.

On June 28th, Maize Swartz and Kate Leahey will be accompanied by Tressa Brown and Hannah McnItyre to Pine Ridge in South Dakota to work on an Indian reservation for a week.

  1. COMMUNICATIONS AND OFFICE ADMINISTRATION COMMITTEE: Shane Wilson and Johnny Preston

No report.

  1. FACILITIES AND GROUNDS COMMITTEE: Darren Peckler and Roger Hartner

A detailed written report was included in the Report Document and contained

  • the fact that the refrigerator in the kitchen had to be purchased, prior to Session approval, due to SOUPS ON US and VBS, and that action on a new freezer for the SOUPS ON US closet was delayed.
  • Due to hail damage to the sanctuary roof, insurance will pay some on the replacement of the roof so the committee is now considering whether to use a metal roof which would last 50 years or a shingled roof which would last 20 years. Tim is checking into noise level and choices of color and style of the metal roof.
  • The dimmer system in the sanctuary is in need of some work.
  1. MEMBERSHIP COMMITTEE: Charlie Boyd and Liz Orndorff

A letter was received from The First Presbyterian Church in Spartanburg, SC indicating that Noel Joseph Kinard had joined that church. A motion was made, duly seconded and approved that Noel Joseph Kinard be removed from out roles since she has joined another church.

  1. PERSONNEL COMMITTEE: John Davis and Liz Orndorff

At the recommendation of the committee the following position description was approved:

Position Description for Administrative Assistant

(30 Hours per Week)

The Presbyterian Church, 500 West Main Street, Danville, KY 40422

Scope and Purpose:

The Administrative Assistant provides administrative, clerical and support

services to church staff, as well as to congregation members as necessary.

Accountability:

The Administrative Assistant is accountable to the Business & Office Manager as his/her direct supervisor. The Pastor is Head of Staff.

Responsibilities:

  1. Perform all responsibilities consistent with the Session’s General Expectations as described on pages 2 thru 4 of the Personnel

Committee Manual.

  1. Greet and act as initial source of information for visitors, staff, and

members, doing so in a friendly and helpful manner.

  1. Maintain church “People” database.
  2. Provide clerical support for church staff.
  3. Proactively seek to collect, organize, maintain, edit, distribute and

communicate information about church activities. Prepare, print and

mail, as necessary, various written communications including

bulletins, announcements and newsletters. Keep up to date activities

information on church website, social media sites and marquee.

  1. Operate and maintain the various pieces of office equipment.
  2. Maintain church calendar, coordinate scheduling of events and

activities.

  1. Prepare staff meeting agenda and keep meeting minutes.
  2. Oversee church office volunteer/computer use calendar, and assist

volunteers, committee members & chairs and members of the

congregation as appropriate.

  1. Fulfill other responsibilities as assigned to support staff and

congregational missions and objectives.

Relationships:

The Administrative Assistant relates to and works with the church staff,

volunteers, congregation members and the public.

Evaluation:

The Pastor and the Personnel Committee will conduct an annual performance review, with input from Business & Office Manager. The Personnel Committee annually reviews compensation.

  1. WORSHIP AND MUSIC COMMITTEE: Chris Glidewell, Mark Hobelheinrich and Roger Hartner

A detailed written report was distributed for information and in addition to routine responsibility reports, included

  • a reminder that there will be only one service on July 5, 2015 and it will be at 10:00 a.m.;
  • that Jim and Hannah will both be gone on June 28th and August 9th. Jim will arrange for supply preachers on these Sundays. (At the Session meeting, Jim announced that Eric Mount will preach on June 28th and Jim Erwin will preach on August 29th.); and
  • that the church picnic will be held on Sunday September 6th following a combined 10:00 a.m. service. The committee will coordinate activities.

Hannah has requested that communion be served on Sunday, June 21st which is her installation. A motion was made, duly seconded that this be done.

REPORT FROM THE BOARD OF DEACONS: Gayle Waddell

A detailed written report from the May 11, 2015 Deacons meeting was included in the Report Document for information. This contained reports from the various ministries for which the Deacons are responsible.

  • LOCAL MISSION: Maureen Beto and Mark Hobelheinrich

No report.

  • WORLDWIDE MISSION: Karl Benson

A detailed written report was included in the Report Document and in addition to reports from various missions supported by this ministry, Karl emphasized the fact that since the Hinderliters would not be able to visit Danville during the time they were back in this country, arrangements had been made to meet them for dinner in Shelbyville on July 9th and that anyone who wished to attend was welcomed to do so.

REPORT FROM PRESBYTERY: No report until after November meeting.

STAFF REPORTS:

There being no further business, the meeting was adjourned with the members present offering prayers of thanksgiving and intercession. The prayer was closed by the Moderator who gave the charge and blessing. He then changed the Christ Candle with the reminder that as the light changes location, we remember that wherever we go, there too is the light of Christ.
