Team and Shifts of volunteers

Honored Guest services at the SSA venue operated on two shifts, morning and afternoon, with a team of average 7 people per shift. Besides all known services provided, we had added the Honored Guest parking pick-up and escort as not only a highly desirable service but as mandatory. Although it gave an extra-welcoming notion to guests arriving it wouldn't always work out as initially planned – more specifically, speaking of times of multiple arrivals, due to distance constraints – the parking was further away so two people standing by were proved as not always enough.

VENUE MAJOR ISSUES & RECOMMENDATIONS

1 / Interference in award ceremonies' list of participants:
Due to the fact that sailing was conducted in an independent venue, there have been cases when certain people were giving special attention to politics and situations had to be managed with extra sensitivity & care. As regards the award presentation, priority was at all times given to ASFs & MVPs, at times however when there were extra places on the award ceremonies' list, we have been asked to add award presenters on the last minute – which although it worked out fine as a final outcome it had nevertheless been a stressful parameter. / Act according to P&Ps, regardless of team's and other FA's personal incentives.

1 / Sport / Bikes' assigning and loss
A number of bikes were given to the sailing venue in order for different FAs to move faster around the venue, considering distance as well as particularly hot temperatures – please note that these bikes although assigned were mostly used from different people so the case has often times been that bikes wouldn't be found where initially left or stored. The Honored Guest Services' bike was lost on the last day of the competitions (July 3rd) and although it was partly reported missing, we didn't think of worrying too much since a missing bike was a regular/everyday phenomenon. However, after looking for the bike that was nowhere to be seen, HG services borrowed another Fas bike after certainly asking for permission. Two days later the HG services manager was called and asked to compensate for the lost bike. Kindly note that although bikes were assigned to different FAs there has never been a document which to sign and therefore validate an assigned bike as property.
2 / Sport / Escorting people not bearing necessary credentials into the Honored Guest lounge
Although flexibility represents a large part of our professional standards, we often times needed to defend protocol by reminding elementary information such as people not bearing necessary credentials or given an upgrade pass do not enter our area even if escorted by the sports & venue manager.
3 / Clean & Waste / On the first busy days the Honored Guest services team had to give a hand to the cleaning process since needs weren't met on time. It is important to mention that the issue was resolved at about half-way through the Games.
