RULES AND PROCEDURES FOR THE FRED ELLSWORTH MEDALLION
PRESENTED BY
THE UNIVERSITY OF KANSAS AND THE KU ALUMNI ASSOCIATION
I. Purpose
The Fred Ellsworth Medallion (FEM) is the highest award presented by the KU Alumni Association (KUAA) to individuals who have providedunique and significant service in behalf of the University.
II. Eligibility for Medallion
Only living persons who are members of the KU Alumni Association are eligible to receive the award.
During the period of their service, members of the FEM Selection Committee and their immediate families are not eligible to receive a Medallion. This stipulation does not apply to KUAA Board members not serving on the FEM selection committee.
Persons holding elective political office will not be considered during their term of office.
III. Method of Nomination
Nominations will be solicited to KUAA via announcement in the January issue of Kansas Alumni, and via letters to the KUAA Board of Directors, former KUAA Board members of the previous ten (10) years, Endowment Association Trustees, former Medalists, and University Administrators and Deans.
Nominations for the FEM may be made by any person.
Nomination form and letter must be submitted no later than March 31stof each year and shall be addressed to: Fred Ellsworth Selection Committee, KU Alumni Association, 1266 Oread Avenue, Lawrence, Kansas 66045.
All nominations that advance to the FEM Selection Committee's process of secret preferential balloting shall be automatically continued for consideration by the Committee the following year.
IV. Selection Committee
The Selection Committee shall meet prior to April 30theach year to determine the individuals to be honored that year.
The Selection Committee shall consist of the following eight (8) individuals:
The Chair of the Board of Directors of the KUAA shall serve as Chairman of the Selection Committee.
The Presidentof the KUAA shall serve as Secretary of the Selection Committee.
Four (4) other members of the selection Committee shall be:
A. The KUAA Chair-Elect
B. The Chancellor of the University of Kansas
C. The President of the KansasUniversityEndowment Association
D. The Director of Kansas Athletics
Two (2) other members of the Selection Committee shall be past medalists who are to be appointed on a year-to-year basis by the KUAA Executive Committee. It is strongly recommended that the appointed past medalists represent geographical and professional diversity.
V. Factors to be Considered by the Selection Committee
The intent of the FEM is to recognize volunteer service to the University of Kansas over an extended period of time rather than for single or short-term service.
Consideration of full-time University employees (faculty or staff) should not occur until after an employee’s retirement or resignation.
Philanthropic support of the University of Kansas and/or the Endowment Association on its own is not to be considered sole justification for selection as a medalist.
VI. Number of Recipients
In any given year, up to two (2) individuals shall be honored.
The Selection Committee shall have the right to request special permission from the Board of Directors of the KUAA to recognize more than two (2) individuals in any year when the Committee deems it appropriate.
VII. Method of Selection
The procedures of selection to be used by the Selection Committee will be as follows:
When proceeding with the voting process, all nominees will be read in alphabetical order with committee members casting affirmative hand votes for those nominees they wish to consider further. At this time, committee members may vote for as many nominees as he/she wishes to remain on the list. All nominees who receive at least one affirmative vote will be continued for further consideration by the committee.
The names of the remaining nominees will again be read in alphabetical order. At this time, committee members are encouraged to discuss the nominee as the name is read. Following this discussion, a second hand vote will be taken with committee members again voting for as many nominees as he/she wishes. From the results of this vote, the committee will determine the number of affirmative votes necessary for a nominee to have received in order to be continued.
The secret preferential balloting process will begin at this point. Committee members will list, on a secret ballot and in order of preference, the remaining nominees with the vote of one being the first choice. The outcome of this vote will be reported by the number of votes received without giving the names of the nominees. This balloting process will be repeated until an appropriate and mutually agreed upon number of awardees has been selected.
VIII. Description of Award
A sculptured medallion three inches in diameter that bears the facial likeness of Fred Ellsworth, the name of the award, the name of the recipient and the year the award is given shall be presented to the Medalists.
A leather bound, engraved certificate of the award signed by the Chancellor of the University, the Chair of the Board of Directors, and the President of the KUAA shall be presented to each of the Medalists. A copy of the statement read at the Medallion ceremony shall also be included in the leather binding.
IX. Method of Presenting Medallions
The FEM will be presented by the Chair of the Board of Directors at an appropriate occasion in the fall of each year.
Persons voted the FEM shall be called personally by the Chair of the Board of Directors to inform the Medalists of their selection contingent upon their returning to the Lawrence Campus, that year in order to receive the award.
