Clear Falls Men’s Soccer Booster Club
Meeting Minutes - November 19, 2014
Opening -The regular meeting of the Clear Falls Men’s Soccer Booster Club was called to order at 6:40 PM on November 19, 2014 at Clear Falls High School Athletic Meeting room by President Matt Long and Head Coach Michael Balla.
Treasurer’s Report – Treasurer reported current balance and disbursements for this month. Mailbox was renewed and a second key obtained. Knight Force membership fundraiser raised over $1300. An updated membership list was provided at the beginning of the meeting. Currently 18 families have signed up. We are hoping for additional families to sign up after tryouts.
- SEPTEMBER 18, 2014 BEGINNING BALANCE – $6187.86.
- OCTOBER 15, 2014 ENDING BALANCE – $6380.88
Secretary’s Report – Minutes were approved as written and emailed to the booster club membership. Minutes will be posted to the website for the future.
Officers’ Reports (President/Vice President) – nothing to report
Committee Reports
- Concessions – Chair Nancy Groom
- We will continue to support concessions for Tuesday/Friday home JV/Varsity games for concessions.
- Concession sign up will be online similar to last year. Link: volunteerspot.org
- Finalizing Boys soccer concession schedule with Girls coordinator. Special dates in work:
- Alumni Game (12/30? TBD)
- Feb 3 – Home game at Creek stadium
- Senior night (Last home game – 3/13)
- Pooper bowl (3/6?)
- Gate Sales – Team is required to charge admission to the games and we did not do a good job at this last year. Proposing to do ticket sales as part of concession booth.
- Coach has bunch of concessions in his office that needs to be moved to the concession stand.
- Merchandise Spirit Gear – Chair – Aimee Hinson
- Provided ideas for spirit wear
- Hoodie –Heavy weight jacket – Beanies - Car decal - Scarf and gloves -Ladies bling long and short sleeve - Men’s long and short sleeve
- Brochure to be ready week to two weeks before Jersey presentation. Plan to have a table to collect orders/money at Jersey Presentation.
- Aimee was requested to look at other alternatives for the sweatshirt to decrease the cost. Coach Balla asked the club to consider reduction of profit to reduce the prices even if that means a slight loss.
- After orders are collected, club will discuss buying some extra inventory for sales during the season.
- ClearFallsMen’sSoccer.com – Website will be updated in the near future with schedule and new officer information. Angela Hart to update over Thanksgiving break.
Unfinished Business
- Homecoming Carnival – Chair Nancy Groom - November 7, 2014
- Huge success – raised $630 going to Boys Soccer Activity Fund
- Thanks for everyone’s help and donations.
- Interested in doing more concessions during Carnival next year – considering nachos. Will look into this next year. Noted that items such as nachos are not individually wrapped and require a Health permit. Details were provided with the Carnival package this year.
- Homecoming parade – Chair Angela Hart - November 5, 2014
- Due to rain out we did not conduct the parade but we were ready for lots of decorations and will do more. Next year we need to get chairs for carnival and parade assigned earlier.
New Business
- Amendment of Bylaws –
- Reduction of Quorum to from 8 to 5 and Email voting option added when majority is required (over $500 purchase)
- Removal of the Coach from Booster club roles and responsibilities
- Additional time for Treasurer to close out books
- Updates to Bylaws were approved with unanimous vote. A copy can be requested by any current member in good standing.
- Practice Jersey and Shorts –
- Green shirts and black shorts. Black block lettering on green shirt was preference. Two shorts and two shirts were requested by the Coach for each players. 100 of each would be required to outfit the boys.
- Estimate of cost if $1700 for the Booster club.
- Items are to be returned at the end of the season or purchased.
- Club unanimously approved purchase of 120 sets of practice uniforms with a purchase price not to exceed $2100.
- Jersey Presentation – Chair Cara Miller
- Booster Club meeting 6:30 – 8:30 PM, Wednesday December 10
- Potluck Dinner in the Commons.
- Each team will be responsible for bringing salad, dessert or main dish
- Fundraising – Pooper Bowl vs Chocolate Bar Sales
- Coach polled boys and they preferred to sell tickets for Pooper bowl
- Need to get hold of a cow, goat, horse or something
- Club agreed to continue to support Pooper Bowl
- Coach Gift – Club unanimously approved end of year gift to Coach Klingon of $500 because he is working during his conference period to support the teams.
Coaches Remarks
- Expectations and Rules for this year – Parents please read and discuss new rules with your players. Information will be discussed with the boys and has been emailed directly by the coach.
Next Meeting will be held on December 10, 2014 prior to Jersey Presentation.
