We are a fully licensed establishment for civil wedding ceremonies and have a number of licensed rooms at the Hotel to suite your particular requirements.
Function Suites
Our Sequoia Suite, with its own foyer, offers the perfect venue for the small intimate reception or a larger formal gathering with a maximum capacity of 250. This room can accommodate the Wedding Breakfast and an Evening Party. Alternatively, situated off the Junction Restaurant is our newly refurbished Orchard Suite, ideal for a smaller wedding breakfast as well as civil ceremonies.

TERMS AND CONDITIONS
1. Please note
a) The party you are contracting with is the operating company (the ‘Company’) of the hotel (the ‘Hotel’).
b) When used below the term ‘Smaller Event’ involves up to and including 25 delegates/guests and the term ‘Larger Event’ involves more than 25 delegates/guests.
c) The Company Hotel has the authority to amend these terms and conditions in writing at its discretion.
2. Number Booked
a) Provisional numbers will be asked for at the time of booking and the Hotel reserves the right to stipulate a minimum number to be charged for the Event.
Final numbers must be confirmed 10 working days prior to the Event (not including the day of the Event) and, subject to any minimum number, this will be the number you will be charged for.
The Company Hotel reserves the right to change a designated room after appropriate consultation if the agreed minimum numbers are not to attend the event. This does not affect any minimum charge.
3. Payment
a) Weddings and private functions must be fully prepaid 14 days prior to the Event. A non-refundable deposit of £800 required to secure booking, no- refundable/transferable.
b) 25% of the remaining balance is due 36 weeks prior
c) A further 25% of the remaining balance is due 24 weeks prior
d) A further 25% of the remaining balance is due 12 weeks prior
e) The final payment is due no later than 4 weeks prior to the wedding/event
f) If payment is to be made either by a credit or charge card this must be made known to the Hotel at the time of booking. Only recognised cards will be accepted. The card must be produced by the signatory prior to the event.
4. Cancellation by the Customer
a) Once confirmation of the event has been received either in writing or by guaranteeing the booking with a credit card number cancellation of the event will result in a considerable loss for the Hotel therefore we have set up the following cancellation policy:
The following percentages of the total amount pre-booked will be charged:
If cancellation occurs 36-24 weeks before an event, cancellation is 25% of total charges excluding the deposit paid.
If cancellation occurs 24-12 weeks before an event, cancellation is 50% of total charges excluding the deposit paid.
If cancellation occurs 12-4 weeks before an event, cancellation is 75% of total charges excluding the deposit paid.
If cancellation occurs 4 weeks or less before an event, cancellation is 100% of total charges excluding the deposit paid.
b) No charge will be made in the following circumstances:
- If the venue can be resold for the same date(s) at a similar fee
When calculating the above periods, the actual day(s) of the Event will not be taken into account
c) If you cancel and Event and, in the opinion of the Hotel Manager, book a similar Event within a period of 14 days, 25% of the cancellation charge will be credited to the re-booked Event.
d) Failure to turn up for the Event with no prior contact with the Hotel will result in 100% cancellation fee (including catering).
5. Cancellation by the Hotel
The Hotel may cancel the booking at any time and without any obligation to you in any of the following circumstances:
-If the Hotel or any part of it is closed due to fire, dispute with employees, alteration or re-decoration, by order of any public authority, or through any reason beyond the Hotel’s control;
-If you become bankrupt or insolvent or enter into liquidation or have an administrator, administrative receiver or receiver appointed over all or a substantial part of your assets;
-If there is a change of ownership of the Hotel;
-If you are more than 30 days in arrears with payment to the Hotel or the Company for previously supplied services;
-If the Event may, in the Hotel Manager’s reasonable opinion, prejudice the reputation of the Hotel.
6. Liabilities
a) Please safeguard your property. The Hotel will not accept any liability for loss of or damage to property or death or illness of or injury to persons unless caused by the Company’s negligence.
b) Unless the Company is liable as referred to in (a), you shall be liable for any loss or damage to the Hotel’s property and for injury to persons including the Hotel staff and shall indemnify the Hotel against any and all liability for loss of or damage to property or death or illness of or injury to persons and against any and all claims, costs, demands, proceedings and damages arising out of the Event.
c) You are advised to consider your insurance cover in respect of (b) above.
d) It is the responsibility of the parent / guardian to ensure the wellbeing of all minors whilst on Hotel premises.
e) You shall be liable to the Hotel for any damage to the Hotel’s reputation that may be caused by you, the persons affecting the Event or the Event.
7. Use of the Hotel
a) You and persons attending the Event shall:
i) Not act in an improper or disorderly manner, leave promptly at the appropriate time, and obey any reasonable request by the Hotel’s employees.
ii) Not carry out any electrical or other works at the Hotel, including amplification and lighting, without the Hotel’s prior written consent.
iii) Not bring any dangerous or hazardous items into the Hotel and remove any items promptly when requested by the Hotel.
iv) Comply with the licensing and other regulations relating to the Hotel.
v) Not consume any food or drink at the Hotel not supplied by the Hotel or its authorised caterers without prior written consent from the Hotel.
vi) Not affix any material of any kind on any floors, walls or ceilings, without prior written consent from the Hotel.
vii) Not bring or use pyrotechnics or fireworks of any description in the Hotel or its grounds.
viii) Management reserve the right to confiscate any food or drink brought onto the premises.
b) Any person or item in breach of the above conditions may be refused admission to or removed from the Hotel, and the Hotel shall have the right to terminate the Agreement with immediate effect. You shall be fully liable for any contracted charges.
8. Advertising
You shall not use the name or mark ‘Holiday Inn’ or the Hotel’s name or trademarks without the Hotel’s prior written permission and shall show all advertising material for the event of the Hotel in advance for the Hotel’s approval.
9. General
a) If the contract includes your employing the services of an outside contractor then you will indemnify the Hotel against any loss of or damage to property or death or illness of or injury to any persons and against all claims, costs, demands, proceedings and damages arising there from. Any outside contractor employed by you must report to the Duty Manager at the Hotel and sign the Hotel’s standard Contractors Indemnity Form. The Hotel reserves the right to refuse access to any contractor in appropriate circumstances.
b) Functions wishing to supply their own liquor will be charged corkage per bottle, the cost of which will be agreed by the General Manager. Full payment will be required as per point (3a).
c) Any malicious damage caused to company property will be subject to a charge to replace or repair the damage and this will be billed direct to the function organiser.
d) If you request the Hotel to arrange for third parties to provide goods, or services to the Client, the Hotel shall do so only as your agent and you shall be liable and pay for all charges and liabilities in respect thereof and fully indemnify the Hotel against the same.
e) You may not assign the agreement to any third party nor utilise the rooms for any purpose other than that stated herein without the Hotel’s prior written consent.
f) This is the only agreement between the parties, and no variation to the agreement shall be effective unless in writing and signed on behalf of the Hotel and you by authorised signatories.
g) Failure by the Hotel to enforce at any time any provision of the agreement shall not be construed as a waiver to any of it’s rights, nor effect the validity of the agreement, nor prejudice the Hotel’s rights with respect to subsequent action.
