Outgoing Holds (our library items)

  1. Log into the DCB client. Click on Notices (left-hand side)—Click on New—select INN-Reach Paging Slips from drop down list:

Click on Prepare and choose the local printer. Click Ok:

Be sure to send the notices to print them. This clears them fron the list in the DCB client.

***(FYI: Please share this with your staff that pulls holds--items will show up on the pull holds report that runs daily in Workflows.

The patron user name will be: MELCATTEST-SLC

The pick-up library will be: SLC (DONOT SEND THESE ITEMS TO SLC)***

  1. When ready for this step: In the DCB client, go to Library Checkout. Scan or type in the item barcode. Click ok.

(If you go into Workflows after this step, you should be able to see the item is checked out . It may take a minute or two to sync).

At this point you are done….you would package item and send it out….

Optional Step

***IF you need to cancel a request in the DCB client, click on Search/Request. Scan or type in the item barcode to find the item in the list. Right click on it to cancel (choose reason):

(FYI: as of 3/15 there is still a known issue with canceling requests. If the hold is not automatically removed in Workflows, you will manually need to remove the hold in Workflows)

Incoming Returns

  1. When patrons return the items, click on My Item Check-In. Scan or type item barcode. Workflows should no longer show any holds/checkouts for this item. Item should show in Workflows that it is back on the owning library’s shelf:

Incoming Holds (other libraries’ items)

The following steps are for when an item is sent in delivery for my library’s patron. Click on Not My Item Checkin and scan the item barcode (to receive it). Run notices—Hold Pick Up—Cancelation—Prepare—Print—Print. Follow your library’s current procedures.

When the item is finally returned, click on Not My Item Checkin and send on its way back to the owning library.

When an item is checked out to the patron in the DCB client it automatically syncs with Workflows (it may take a minute or two):

Here are a few screenshots of what the “dummy” record looks like in Workflows (SLC shared system library staff will no longer need to create these records in Workflows. They are automatically synced from the DCB client. SLC will always be the owning library for the “dummy” records):

Above you can see that the item is checked out, as well as the patron it is checked out to.

Just two more examples:

This just shows that a hold is automatically created in Workflows when a request is placed in the DCB client.

In the above patron’s record, you can see the two MeLCat checkouts in the list of checkouts. The item type is MELCATBK (MELCATAV is used for audio-visual materials).

NOTES:

Once your library starts using NCIP, all libraries will share the MELCATTEST-SLC user. So if you need to view your item checkouts, you would use this user for any checkouts once using NCIP. Any checkouts BEFORE NCIP, you would need to use your generic MELCAT library’s user:

IMPORTANT: SLC has set up a daily report to automatically remove “dummy” records after they are returned. The report runs at 4:55 PM. Staff will no longer have to remove these records themselves.
