EPSC/ACS Trophy Gala (Unlicensed) / Followed by BBQ/Pizza Party

This year’s event has been expanded to include squad swimmers and ACS Cobham’s swim academy and swim team. We hope to run a timekeepers course prior to start, and encourage parents and squad swimmers to participate in such. We hope to see as many as possible for this event followed by an awards and BBQ/Pizza Party directly after the event.

The meet is jointly held in cooperation with ACS International School.

Promoters Conditions:

  1. All events will be conducted in accordance with ASA Laws and ASA Technical rules.
  2. Competitors must be members of Elmbridge Phoenix Swimming Club (EPSC) or ACS students.
  3. Competitors must be members of our learn to train squads (Bronze, Silver, Gold or Rising stars groups) or members of our Development squads to be eligible to swim, in addition all ACS swim team members will be eligible to swim. In addition we encourage all squad swimmers to swim 2 time trials on the day, and participate in relays.
  4. There will be an entry fee of £15 per swimmer and a reduced fee of £ 12 for Rising Stars. Squad swimmers entry fee will be a fee of £ 6.An Entry form should be completed and either returned to the club desk or emailed to by the closing date together with confirmation that the entry fee has been paid on line to the account details on the entry form.
  5. BBQ/Pizza Party fee is £ 5 per person.
  6. Swimmers must sign in at the desk prior to warm up, failure to do so will result in no swim.
  7. The gala will be arranged over 2 sessions as shown below:

Session 1 - Warm up 12:00 pm

  • 50m Backstroke
  • 50m Breaststroke
  • 50m Fly / 25m Fly for Rising Strs

Session 2 – Warm up 2:30 pm

  • 50m Freestyle
  • 100m Individual Medley
  • Or 100m Freestyle
  • Relay swimming, ACS versus EPSC.
  1. Ages are taken as of 10th June 2017.
  2. All participants and spectators must observe all safety precautions in operation at the pool and follow instructions given by pool staff or the EPSC and/or ACS Management Team.
  3. Prior to leaving poolside swimmers must dry off and put on appropriate clothing and footwear. No swimmer will be allowed into the spectator area or the main entrance foyer area unless they have complied with this requirement.
  4. For safety reasons spectators must ensure that all gangways and the rear of the spectator area are kept clear.
  5. All swimmers should remain on poolside at all times unless permission is obtained from the Whips or Coaches.
  6. Failure to comply with any condition may result in disqualification.
  7. The One-Start Rule will apply. All events are seeded from slowest to fastest according to entry time. Swimmers without entry times will swim before those with entry times seeded by swimming group and age: lowest group and youngest swimmer to highest group and oldest swimmer.
  8. All swimmers will swim strictly in the seeding order from lanes 1 to 6.
  9. Over the top starts will be used at the discretion of the EPSC Management Team and the Referee. The decision of the Referee on a point of law is final.
  10. Results will be on a heat declared basis. There will be no finals.
  11. Results will be available on our website as soon as possible after the conclusion of session 2.
  12. Medals will be awarded to the first three in each event (Squad swimmers are not eligible), per age group. In addition a trophy isawarded to the competitor who at the end of the gala has the most gala points in each category for boys and girls as follows:
  • 14 points for 1st
  • 12 points for 2nd
  • 10 points for 3rd
  • 8 points for 4th
  • 6 points for 5th
  • 4 points for 6th
  • 2 points for 7th
  • 1 point for 8th

Age groups will be:

  • 8 years and under
  • 9 years
  • 10 years
  • 11 years
  • 12-14 years

The trophy will be presented at the end of the meet, and can be retained for 12 months and then returned to EPSC. Should a swimmers’ membership lapse during this period the trophy should be returned when membership terminates.

19. A raffle will be held.

  1. All items of personal property are the owner’s responsibility. EPSC cannot take any responsibility for swimmer’s personal property which is left unattended. Lockers are available for the use of swimmers in the changing area.
  2. Video Recording/Photography/Mobile Telephones.

In accordance with the recommendations of the ASA Child Protection Policy, any person wishing to engage in video, zoom or close range photography, including the use of mobile telephones with photographic capabilities must first register their details with EPSC in the book provided at the sign in desk.

Once registered, they will be provided with an identification label (permit) which must beworn at all times. The promoter reserves the right to refuse the granting of a permit. It is requested that all mobile phones are switched off or switched to silent during the competition and that there is no flash photography at the start of each heat.

  1. The promoter reserves the right to amend the Conditions, without prior notice, to ensurethe smooth running of the events.
  2. For any matter or situation not covered by these Conditions, EPSC and or ACS Management will make any decisions it deems necessary to provide for the satisfactory running of the competition.
