2. Minutes – Lisa Corprew – Minutes from our November meeting are posted under the VIAAA News tab on the website. Click on the VIAAA Board Meeting tab for a copy of November’s minutes. Motion to approve the minutes. Minutes approved.

3. Treasurer’s Report – Chris Robinson - Checking account - $19,174.76, $10,569.38, Money Market $38,777.20. Total assets in the account are $68,521.45.

4. Officers’ Reports

A. President – Kevin Cole –

· 33 people from VA attended the National Conference in Anaheim. Congratulations to Donna King for being inducted into the Hall of Fame and Bruce Phelps, who received the National Citation Award. Tom Dolan nominated for the Distinguished Service Award. Thanks to Scott Morris, Kevin Adams, Jeff Dietze, Sandy Hadaway, David Rhodes, and Steven Heon for your contributions at the National level.

· We need a motion for the donation that was made to the Russell Douglas family from the November meeting. (Motion by D. Kemper, second by D. Rhodes) Motion approved unanimously

· The VIAAA was recognized for maintaining 89% membership in the

NIAAA.

· Electronic voting may become an option for the NIAAA membership

instead of just the members that attend the National Conference.

· Committee members need to send their committee information to

Lisa S. Masisak <>. You also have the

ability to update your committee information. You may request a user

name and password from Lisa Masisak.

· Congratulations to the six people passed the CAA in October.

· We received a thank you letter from VHSL for our donation to the VHSL

foundation.

· If you are interested in applying for Executive Director Position,

applications are due to Kevin Cole by March 15, 2014.

· Committee Chairs need to submit a yearly summary report of the

committee business to Kevin Cole by February 10, 2014.

B. President-Elect – Scott Morris – ()

· Thank you for your participation in the board. If you are not planning to return to the board in 2014-15year, please let Scott Morris know. We still need alternates for 2A East and 1A East.

· If you are interested in a committee chair or alternate, send that information by March 1, 2014.

· If you are interested in the Secretary position, send your information to Scott by March 1, 2014.

C. Past President – Tom Horn –

· 18 of 27 Past Presidents attended the Past President’s dinner last night. 15 are present at the meeting today.

· Award winners for athletic administrators of the year, outstanding service award winners inside and outside of the VIAAA nominations were selected. Award winners will be notified.

· Reviewed and discussed the by-laws and pop manual for President-Elect position.

· A nomination for President-Elect to the board for Lisa Corprew. (Motion by T. Horn, seconded by D. Kemper) Motion approved unanimously.

· Past President would like to request of the board to VHSL Hall of Fame for the position of the Athletic Administrators. Would like to see a representative selected to from this BOD. Need a place on the voting process for the VHSL as a representative of the VIAAA VHSL representative(3), Coaches Association (3) seek permanent placement of the VIAAA process for the VHSL Hall of Fame (motion by T. Horn, seconded by B Phelps) Motion approved unanimously.

5. Executive Director’s Report – Bruce Bowen – See Mr. Bowen for the black long sleeve shirts if you have not received yours.

2. Attended the NIAAA Conference- NEDC, Sect. 2 mtgs.

3. Passed out vendor info at NIAAA Conference (175 total).

4. Talked to potential Partners at NIAAA Conference.

5. Hosted AD Social at National Conference (30 attendees).

6. Installed NIAAA HOF Plaque-Donna King

6. VISAA report-Dick Kemper - Will ask the VISAA for a donation to the summer Delegates Summit. Couple of projects for the Central Region to sponsor a concussion conference in April at Sheltered Arms will be open for all middle school, high school public and independent schools. Will be a pilot in the first year. Working on a committee of head masters that will look at recruiting and reclassification. Hoping to implement a six semester rule for independent schools once a student enters their sophomore year of school.

8. VHSL Report – Joyce Sisson -

· The concussion survey closes on February 5, 2014. Please be certain to

complete the survey.

· The classification and alignment survey deadline is February 3, 2014.

Results will be available at the March Meetings.

· House Bill 63 passed the house education committee. We need to start

contacting state representatives.

· There will be transgender legislation presented to the Executive

Committee which may become emergency legislation. SMAC will also be

asked to take a look at the legislation.

· We are looking for nominations for the Spirit of Sports Award and the

Heart of the Arts Awards. Nominations are due on February 3, 2014.

· Friday, August 29th UVA vs. UCLA will be a televised game on ESPN at

8:15 p.m. This game may impact your home football game attendance.

· Student Leaders Conference early registration closes on February 14, 2014. The conference will be held at Salem High School in Virginia Beach.

Please consider sending students to this worthwhile opportunity.

· Hotmail and Gmail emails are getting bounced back. Currently working

on the issue. Hoping to have it resolved soon.

· VHSL April 30, 1930 - Wednesday, April 30, 2014 a Debate Gala to celebrate the first state championships. We will in encourage people to purchase tables. See the handout.

· Play on Sports - Broadcast the State Champions. We would to extend to

the membership to have is our broadcast network. See the handout.

There are twenty schools from Virginia participating in the program.

9. Legislative Action –

· Ten week football schedule - overlapping of the fall and winter seasons. Asking that everything is moved up a week. Straw vote of ten week football schedule – defeated by the board. No one was interested in moving to a ten week schedule.

· Dead Periods Loop Hole - may be a possibility that coaches will be using

non-coaches or other sport teams during the dead period to continue

conditioning and lifting weights.

· Calendar for 21 days to practice 20 times in the preseason, proposed to start on July 1st (football only)

· Multi Class Championship 3A East would like to request that field hockey teams not cross until the State Championships

· Film Festival Legislation seven pages to the executive committee for a competition.

· Boys Volleyball and Gymnastics to have separate State Championships. Must be the 50%+1 rule in order to have a State Championship. Does swimming, and gymnastics meet the 50%+1 rule?

10. Standing Committee Reports

A. Awards – Chris Rollison - All award information is due as soon as possible. All awards will be ordered on Wednesday, January 29, 2014.

B. Conference Review-Ted Salmon / Pat Ferguson -

· There are only 40 people registered for the conference. We are still not able to accept credit cards.

· Hotel rooms will not be available after the registration deadline, please make sure that you make your hotel registration by February 23, 2014.

· Regional Representatives, please send an email of the conference packet to everyone in your region.

· Please ask your conferences and regions for donations or door prizes for the conference. We are asking for $50 -$100 donations. Make your checks payable to the VIAAA and mail to Lisa Corprew at Bayside High School, 4960 Haygood Road, Virginia Beach, Virginia.

· On the day of the business meeting, all regional representatives should be available to help setup.

· Bobby Stratton will be the Conference Chair for the 2015 and 2016 Conference in Richmond.

· We need to find a region to host the conference for 2017 and 2018.

C. Exhibitors – Marilyn Watkins / Bruce Bowen - We have 40 booths for the conference thus far, we hope to have 85 - 90 vendors at the conference. If you know of someone that would like to become an exhibitor, please send them to the website for the registration packet.

D. Leadership Training – Kevin Adams / Dick Kemper - March Seminar at the VHSL meetings on March 12, 2014. We will be offer six courses. There will be seven LTIs at the conference this year. State instructors should know that LTI 790 has been revised and if you are a member of the state faculty, you might want to consider retaking the course. Summer Institute will be July 15, 2014. Many of the LTI courses are now available online, visit the NIAAA website for additional information about online LTIs available..

E. Membership/Membership Benefits – Tripp Metzger - We have 167 active members, 192 lifetime members and 369 total members.

F. Middle School- Chris Felton/Lisa Masisak - Middle school portion will be available at the conference. Information has been emailed to middle school administrators. Middle school registration is on the registration form for $75.00. Middle school sessions begin on Wednesday of the conference, three middle school only sessions available on Thursday and a middle school hospitality will be available for those in attendance.

G. NIAAA – Dave Nelson / Bruce Bowen - Applications for awards have been submitted to the NIAAA. Section 2 meeting on June 21st in Delaware. Congratulations Donna King, Hall of Fame inductee and Bruce Phelps, NIAAA Citation Award winner. Four state door prize winners at the National Conference: Steve Heon, Kevin Adams, Lisa Corprew, and Rick Lilly.

H. POP Manual – Tom Dolan / Bruce Phelps - revising the Past President section of the Pop manual.

I. Professional Development – Melody Modell/Jeff Dietze – we need more members on the professional development committee. Please let Melody or Jeff know if you are interested in participating on the committee.

· New Athletic Directors Workshop will be July 23 and 24, 2014, in Charlottesville.

· New Athletic Directors session at the conference is at 11 a.m. on Thursday.

· Certification - would like to remind everyone to become certified. CAA Exams will be offered: Friday, March 28th at the Conference, Monday, April 28, 2014 at 1 p.m. in Charlottesville, and Wednesday, April 30, 201 at 10 a.m. in Falls Church and again in July, time and locations to be determined. NIAAA requires that your apply 30 days prior to your test date, information is due to the NIAAA three weeks prior to your test date.

J. Public Relations – Rick Lilly/Dean Hubbard - NADs contact and receive information from them. Need additional members on the PR committee. Need the ability to send the information to our entire membership.

K. Publications – John Williams/Ryan O’Meara - Next additional will be published next week. Like to encourage each of you to write an article. You can receive up to 90 points for being published, it's 45 point for each article that is published. Spring articles are due to John Williams. Thank you to our regular contributors to the ADmission. Presentation on social media please send any of your positive or negative experiences from your school. If you have any information that you are willing to share, please send them to John Williams at . Your input is greatly appreciated.

L. Retired – Dick Overton/Donna King - Working on matching names with emails. Free breakfast at the conference for retired athletic administrators. If you know of a retired athletic administrator, please send that information to Dick Overton.

M. Scholarship – Steve Heon/Mike Costello - will meet today to determine the scholarship winners There were 80 submissions this year for the scholarship. Golf Tournament will be on a Wednesday in October 2014.
