SON PROCEDURES FOR APPLICATION FOR PROMOTION AND/OR TENURE
Each promotion in rank is based upon faculty member’s accomplishments since the last promotion or since joining the faculty of the School of Nursing. The granting of tenure is based upon faculty member’s accomplishments since becoming a faculty member in the School of Nursing.
All non-tenured doctoral prepared faculty regardless of rank, who are on the tenure track, are expected to develop a program of research in order to be recommended for tenure. The program of research can be scholarship of discovery, research scholarship of application, practice scholarship, or teaching/education. The faculty member seeking tenure must have sufficient research, teaching, or professional service to demonstrate a beginning national reputation in an area of his or her scholarship.
It is highly recommended that candidates for promotion or tenure make an appointment and meet with a member (s) of the Department Promotion, Tenure, and Appointments Committee (PTAC) regarding packet preparation.
· Faculty are encouraged to keep a cumulative personal record of the activities in which they are involved.
· Faculty should begin gathering relevant data immediately upon employment.
· Faculty should annually review their compiled data in relation to the criteria for promotion and/or tenure with the Department Chair.
· The decision to apply for promotion or tenure needs to be carefully considered by a faculty member with respect to length of employment and progress toward achievement of the criteria. Faculty must consult with the Department Chair to determine the best time to apply for promotion and/or tenure, and to review the applicant’s packet.
A General Procedure:
· The applicant shall indicate the intent to apply for promotion/tenure in writing to the Department Chair, please see timeline in this section.
· Promotion and Tenure may be initiated by the applicant or by the Department Chair
· When applying for the ranks of Associate Professor or Professor and/or tenure status, the applicant’s documentation must address the applicant’s reputation outside the university at the national and/ or international level.
· Read the guidelines for establishing rank and tenure which are in The Handbook of Operating Procedures at www.uthscsa.edu/hop2000/, Chapter 3, Section 3.6, and School of Nursing Faculty Handbook http://sonshine.uthscsa.edu/Handbook/word/3-toc.htm
· Department will provide all administrative support for the P&T process to include making the final copies to be forwarded to HSC.
B. Role of the External Reviewers:
· External reviewers shall be requested to evaluate how well the applicant meets the UTHSCSA criteria for promotion and/or tenure for the ranks of Clinical Associate Professor, Clinical Professor, Associate Professor, and Professor.
C. Procedure for External Reviews:
· By December 15, the applicant and the Department Chair will compile a list of 5-6 external reviewers.
· The 5 to 6 reviewers should be nationally known individuals in the applicant’s area of clinical and research expertise and have the ability to evaluate performance on one or more of the activities listed in the applicant’s C.V. Reviewers should be independent, e.g. not work closely with applicant. External review letters are confidential and not generally available for applicant review.
· The Department PTAC chair should provide information about what aspect of the applicant’s credentials the individual should evaluate.
· External reviewers must hold an academic rank higher than the rank of the applicant, be employed at comparable academic institutions, be able to evaluate the applicant’s research and scholarship trajectory, national reputation, and impact on nursing.
· The Department PTAC will select 3 to 4 names from this list of external reviewers to evaluate the applicant’s scholarship and national reputation for those applying for Tenure and/or Associate Professor or Professor rank.
· The Department PTAC may solicit 3 to 4 reviews from individuals not on the applicant’s list.
· The Department PTAC chair provides materials to the external reviewer including CV, selected publications, applicant’s narrative summary, student evaluation summaries, peer evaluations, and the appropriate UTHSCSA P& T guidelines.
D. Applicant Responsibilities and Deadlines:
It is the responsibility of the applicant to ensure that the Department PTAC has all of the data that the applicant wishes to be considered.
The applicant submits all materials to the Department PTAC by the specified deadline.(See summary time table)
At the deadline, the file becomes closed to further entries.
· By December 15, the applicant and the Department Chair will compile a list of external reviewers.
· December 15 all applicants shall submit the following materials to the Department PTAC Chair:
All ranks
Ø List of persons who have agreed to write support letters for the applicant in both paper and electronic copies to include correct and complete name, credentials, title, institution, address. Letters might be from professional colleagues, students, and patient/family letters addressing teaching, research, service or practice activities. These letters are limited in number to 10 for promotion and 10 for tenure.
Ø Cover sheet for promotion and/or tenure materials.
Ø Updated and correctly formatted Curriculum Vitae in the UTHSCSA style to send out with request for letters. Additions can continue to be made to the CV until the packet is closed April 30th.
Associate Professor, Professor Rank and/or Tenure applicants shall also submit the following materials to the Department PTAC chair:
Ø The list of External Reviewers, in both paper and electronic copies, including correct and complete name, credentials, title, institution, address.
Ø Narrative Summary
Ø Representative publications or other scholarly work (minimum 2) for external reviewers
Ø Summaries of representative course evaluations and student evaluations of classroom and clinical teaching (at least 2 semesters)
Ø Peer evaluation of classroom teaching
· On April 30 the packet must be complete with all changes done. Additional items to be included with the above are:
Ø Narrative Summary
Ø Updated Curriculum Vitae
Ø Department Chair annual evaluations
Ø Representative publications or other scholarly work
Ø Summaries of representative course evaluations and student evaluations of classroom and clinical teaching (at least 2 semesters)
Ø Materials for SON committee review, such as any item the applicant wants the committee to see such as awards, letters from students, CE evaluations, classroom materials.
E. Department Chair Responsibilities:
· By August 1, the Department Chair meets with faculty who are not recommended to discuss outcome of the process.
· By September 15 (see summary timetable) the Department Chair must submit the original application packet with appropriate forms, in the format designated in the HSC Tips and Guidelines for Promotion and Tenure packets, and provide a letter of transmittal to the dean that clearly states the legs upon which the candidate is being considered for promotion and/or tenure, and that provides an assessment of the candidate’s qualifications for promotion and/or tenure. The letter must accompany the application packet, which will be forwarded to the SON Dean.
F. Department PTAC and School PTAC Responsibilities:
· Confirm with the Department Chair, who coordinates with the Dean’s Office, to set the calendar for the coming year.
· January 30, the Chair of Department PTAC prepares packet for external reviewers
· January 30, the Chair of Department PTAC request letters of critique/support from external reviewers and applicant list of support letters.
· April 30, the Chair of Department PTAC receives all materials for review.
· April 30, the Chair of Department PTAC will forward the applicant packet to the Office of the Department Chair’s Business Administrator where the packet is housed for review by the Department and later SON PTAC members. The files are not to be removed from the Department’s Conference Room.
· June 15, the Department PTAC submits letter of support/non-support of promotion and/or tenure to the SON PTAC Committee.
· July 1, the SON PTAC submits letter of concurrence/non-concurrence to the Department PTAC and Department Chair.
· July 15, In the event of non-concurrence both the SON PTAC and Department PTAC Chairs meet with the Department Chair to review the issues. The Department Chair has final approval of the recommendation for support or non-support of promotion and/or tenure.
G. Dean SON Responsibilities
· September 15, SON Dean receives packets with recommendations from SON Department Chairs.
· October 1, SON Dean provides signature and transmittal to next level.
Ø Department makes the required copies and transmits signed applicant’s packets for the rank of Associate Professor, Professor or for tenure to the HSC Promotion, Tenure & Appointment Committee Chair.
Ø Department transmits signed packets for the rank of Assistant Professor to the President’s Office.
Ø Department transmit signed packets for faculty less than 75% time to the President’s Office
· The HSC packet, Approved packets will be kept in Departments for five years after termination of employment. .Packets not approved will be kept for one year in departments assuming all appeals have expired.
Ø If the decision is not favorable, materials sent for review by applicant will be kept in the SON Dean’s Office until all appeals have expired
Ø If the decision is favorable, materials (not HSC packet) will be returned to applicant via Department Administrators by Dean’s Office after HSC PTAC decision is announced.
UTHSCSA SCHOOL OF NURSING PROMOTION AND/OR TENURE SUMMARY TIMETABLE (Perpetual)
(When due date falls on a weekend/holiday – the due date will the first working day that follows)

· Representative publications or other scholarly work for external reviewers (2).
· Summaries of representative course evaluations and student evaluations of classroom and clinical teaching (at least 2 semesters)
· Peer evaluation of classroom teaching
January 30 / For applicants requiring external reviews - Chair, Department PTAC sends packet and letters to external reviewers, and sends request for letters of support to individuals on list provided by applicant
January 30 / For applicants not requiring external reviews - Chair, Department PTAC sends request for letters of support to individuals on list provided by applicant
April 30 / Final date for receipt of external review and support letters to Department PTAC Chair
April 30 (by 4 pm) / Final date for submission by applicant of the following materials to the Chair of the Department PTAC:
· Narrative Summary
· Updated Curriculum Vitae
· Department Chair annual evaluations
· Representative publications or other scholarly work
· Summaries of representative course evaluations and student evaluations of classroom and clinical teaching (at least 2 semesters)
· Materials for SON committee review, such as any item the applicant wants the committee to see such as awards, letters from students, CE evaluations, classroom materials.
April 30 / Official file “closed” to candidates after 4 pm
June 15 / Department PTAC submits letter of support/nonsupport for promotion and/or tenure to the SON PTAC
July 1 / SON PTAC submits letter of concurrence/non-concurrence to the Department PTAC and Department Chair.
July 15 / In the event of non-concurrence, both the SON and Department PTAC Chairs will meet with the Department Chair to discuss the issues.
August 1 / Department Chair meets with faculty who are not recommended by Department and SON PTACs to discuss outcome of the process.
August 1 – September 1 / Applicant may appeal decision according to the School of Nursing Policy 3.6 Policy for Appeal of Promotion and/or Tenure Decisions
September 15 / Department Chair provides a letter of recommendation to the Chair of the UTHSCSA Promotions, Tenure and Appointments Committee and original application packet in the correct format * with appropriate form(s) and copies to Dean
*Tips & Requirements for Preparation of Promotion & Tenure Packets (Revised January 2002 issued by the President’s Office) must be followed
October 1 / Department transmits signed applicant’s packet plus copies to HSC Faculty Promotions, Tenure and Appointments Committee or President as appropriate
During the month of April / HSC Faculty Promotions, Tenure and Appointments Committee submits recommendations to HSC Executive Committee
During the month of August / Action by UT System Board of Regents
