Assistant Director of Institutional Research

Office of Institutional Research, Assessment, and Planning

Reporting to the Assistant Dean of Academic Affairs, the Assistant Director of Institutional Research collects, analyzes, and reports information about the college and its peer institutions for a variety of purposes. The Assistant Director of Institutional Research is also responsible for increasing public knowledge about the characteristics and functions of the college by coordinating and preparing responses to external requests for information, and by creating reports/dashboards for various audiences.

RESPONSIBILITIES:

Internal Reporting

Responds to regular and ad hoc requests for institutional data from the president and vice presidents, trustees, department chairs and program directors, committees and task forces, and serves on appropriate groups as the institutional data-analysis expert. Reports are created and presented to various constituents across campus. The college is transitioning reports into dashboards using the ARGOS system. Examples include: annual factbooks, retention reports, strategic indicators, faculty factsheets and salary reports, post-graduate alumni activity reports, enrollment management projections, data to support grant proposals, grade point average analysis, integrated planning reports, etc.

External Reporting

Responds to regular and appropriate research requests for institutional data from external agencies, educational institutions, associations and societies. Examples include: Integrated Postsecondary Education Data System, assistance to the Communications and Admission Offices for responding to college guidebook surveys, American Association of University Professors Faculty Salary survey, Higher Education Data Sharing consortium surveys, Western Association of Schools & Colleges Annual Reports, etc.

Survey Administration

Coordinates national research surveys by serving as the primary administrative contact, scheduling, invoicing, developing announcement, identifying samples, facilitating delivery to participants, ensuring timelines are met, as well as receiving, analyzing, and communicating results. Examples include: CIRP Freshman Survey, CIRP Your First College Year Survey, CIRP College Senior Survey, National Survey of Student Engagement, Higher Education Data Sharing Senior Survey, etc. Also develops and administers Occidental alumni and other internal surveys.

Office Administration

Assists in managing the department by monitoring supply budgets, managing internal and public web pages, monitoring office supplies and equipment, preparing invoices, supervising student assistants as needed, etc.

QUALIFICATIONS:

o  Preferred advanced degree (MA, PhD, etc.) in higher education, statistical research, analysis, interpretation and reporting, or equivalent programming experience.

o  Expert knowledge in the use of computer software for data extraction, verification, and analysis, as well as working with a relational database (specifically with Microsoft Access, Microsoft Excel, SQL, Banner, and Argos preferred).

o  Proficient knowledge of survey methodology, principles, and analyses techniques and statistical software.

o  Comprehensive knowledge and experience in institutional research and external databases (i.e. IPEDS, National Clearinghouse, etc.).

o  Excellent interpersonal, written and oral communication, and presentation skills.

o  Ability to work independently as well as collaboratively.

o  Effective organizational and time management skills.
