There are six anomaly reports on the workbench that show your district’s potential data errors!!
Login through myNHDOE and go to the i4see workbench. After your district has uploaded the EOY Enrollment file at the end of the school year, go to the Analysis tab>Anomaly and State Reports>EOY Enrollment, and check these reports frequently:
- BOY students not found in EOYs - this report summarizes the SASIDs that were reported in the BOY (October of this school year), but who do not appear in an EOY record anywhere in New Hampshire.
- One SASID Too Many Days - This report shows students who were reported as attending more than 360* total half days. This often occurs because the student is reported as attending in another school, possibly at the same time that they are reported in your school district. Please work with the other school(s) to establish correct entry and exit dates for these students, so that their membership does not exceed the appropriate maximum of 360* half days. The information you will need, including school name and telephone number are on the report.
- High School Withdrawal Anomalies - This report summarizes your district’s High School students who were reported in the EOY as transferring to another public school in NH sometime during the school year, but do not have another EOY record from different NH public high school.
- 1st to 8th Grade Withdrawal Anomalies - This report is the same as the High School Withdrawal Anomaly report, but applies to 1st through 8th graders.
- EOY Entry Date does not match BOYs–Students reported in both the BOY and the EOY should have the same entry date. If not, this report will list these errors.
- Realtime Entry in the BOY with no matching EOY record - There was a Real Time Entry for this High School student entered sometime during the school year, but no matching EOY record was uploaded.
How to Reconcile
Please correct the EOY records to eliminate these anomalies. If the correction needs to be made in another district’s data, please contact that i4see Coordinator. A list of i4see contacts is available on the DOE website.
*We allow for small variancesin school schedules.
