Communication Policy

Introduction

This policy will apply to all MLCAA communication, including the website, newsletters, notices and noticeboards

Since its inception, the MLCAA Web Site has proven to be a popular and direct method of communication.

When it is appropriate, a printed newsletter will also be used to communicate with members, and additional information can be found on the noticeboard on the site.

At all times the committee will make every effort to ensure that no material of a defamatory or political nature will appear in any communication with members.

Aims of the Communication Policy

1. To provide a regular source of information, which will be :

a/ Useful : i.e. - Gardening Tips; Links to other gardening web sites, allotment -

associations and National Organisations.

b/ Informative : i.e. - printable access to - The Constitution; Rules; Tenants and

associates agreements; Newsletters; dates of future events; allotment shows; shop opening times and items for sale.

c/ Interesting : i.e. - Photos of plots and plot holders; local and national gardening awards; latest Local and National gardening news; recipes; informative and imaginative gardening items of interest to members.

2. To enable members to contribute useful and informative information and discuss

matters of common interest to other members.

3. To give members the opportunity to contact the allotment committee through the contacts page, email , and participate in a members forum.

4. To promote allotment gardening amongst members, associates and friends, the local community and to a wider audience.

5. To enable older or disabled members to maintain an interest in allotment gardening and maintain links with MLCAA.

Objectives :

To facilitate these aims :

1. Any communication will be controlled by an appropriate administrator, appointed by and under the guidance and supervision of the allotment committee.

2. The committee can appoint assistant administrators in the absence of the primary administrator.

3/ The administrator, under the guidance and supervision of the allotment committee will ensure that no written or photographic material related to specific plot holders will appear on the web site or newsletters, without the prior permission of the plot holder.

4/ General photos of the site; i.e. photos of the site in summer/winter ; developments to structural areas - i.e. new fencing; the Association Shed et, may appear on the web site or newsletters at appropriate times throughout the year.

5/ At appropriate times throughout the year, the committee, members and associates may contact the administrator with appropriate, interesting and informative material which may be added to the website or newsletter after initial scrutiny by the elected officers.
