PROCEDURE FOR INDIRECT CERTIFICATION OF CONTRACTEES
Please read all instructions carefully and fill out the attached form completely. Failure to comply with requirements / instructions will cause a delay in the certification process.
This application must be completed each time a certified corporate operator sponsors a contractee. Only a certified operator of OCIA International may apply for review and indirect certification of a contractee. This contractee is inspected annually as part of the corporate operator’s (contractor’s) recertification.
The attached application must accompany the appropriate Organic System Plan (Farm, Community Grower Group, or Processing/Handling) for each and every company/farm/group for which indirect contract certification is being requested.
Please include the nonrefundable annual fee with the completed application and Organic System Plan as contract applications and Organic System Plans will not be submitted for review until the contract fee has been received at the Regional or International office.
Once above criteria have been met, the procedure for contract review and indirect certification will be the same as the procedure for direct certification by OCIA, with the following exceptions:
a.In case further information is required, it is the responsibility of the contractor to see that the information is sent to the Regional office for completion of the process.
b.All correspondence will be between the sponsoring contractor and the Regional office and coordinator.
c.The certification certificate will carry the producer number of the sponsoring contractor as the contractee is excluded from marketing the products themselves.
d.The sponsoring contractor will hold the original certification certificate as the production process, raw materials supply, and sales are under the contractor’s control. OCIA does not provide the contractee a copy of the certification certificate.
- The contractor must pay any charges from OCIA for the contract application being reviewed.
- The contractor will be held fully responsible for the contracted production or processing and will be subject to a notice of noncompliance or denial in the event that a noncompliance is discovered with the contractee.
- The contractor must supply the contractee with a copy of or must otherwise ensure that the contractee has a copy of and understands the applicable standards for all certification/verification programs requested for the contractee and all other applicable policies and procedures. Please contact your Regional Office or Chapter if you do not have a copy of these documents.
Please Note:The contracts between the contractor and the contractee must include clauses regarding contractee’s compliance to OCIA Standards and Bylaws, applicable Governmental Regulations to which OCIA is accredited, certification requirements, and policies and procedures of OCIA International; as well as the contractee’s obligation to provide OCIA International with information and access to the contractee’s facilities. All contractees must have a copy of the current standards/regulations to which certification is sought.
