PURPOSE: The New Hire Handbook, Employee Copy contains all essential information and forms necessary to begin employment with BodyTrac Health & Fitness. Employees are responsible for independently reading, understanding, and asking questions of the location Manager when clarification is needed. Employees will be assessed on this information throughout the 90 day probationary period. In addition, employees will be held responsible for signing and submitting specific forms within the first 24 hours of being offered an employment position. These forms are contained in the appendix section of this handbook.

JOB DESCRIPTION

PART-TIME PERSONAL TRAINER POSITION

  1. JOB TITLE: PART-TIME PERSONAL TRAINER
  1. DEFINITION: The part-time Personal Trainer implements and provides professional oversight to cardiovascular exercise and strength training programs for members in a 1-4 person training session. The part-time Personal Trainer is under the supervision of the General Manager &/or Owner.
  1. EQUIPMENT/JOB LOCATION:
  2. The part-time Personal Trainer will possess direct knowledge of and be able to operate and troubleshoot all cardiovascular equipment, strength equipment, televisions, and computers within the facility.
  3. The part-time Personal Trainer’s work is conducted indoors at a BodyTrac Health and Fitness facility.
  1. ESSENTIAL FUNCTIONS OF A BODYTRAC PERSONAL TRAINER’S JOB:
  2. Adheres to the BodyTrac personal training model and exercise program for all members.
  3. Follows BodyTrac training protocol and modifies exercises based on a member’s physical needs and personal goals.
  4. Instructs participants in a small group setting using safe and proper techniques established by ACSM guidelines.
  5. Has all new members sign a Health Questionnaire and waiver before exercising at BodyTrac. NOTE: If there are any health concerns marked on the questionnaire, a BodyTrac Personal Trainer must talk to the member prior to starting a session. If there are any aliments that the Personal Trainer is not familiar with, then the ailment must be researched thoroughly and/or email the location Manager for more information.
  6. Maintains strict compliance of member sessions: recognizing that all training sessions are 60 minutes in duration (30 minutes cardiovascular/30 strength training); that each member receives 2-3 days per week of personal training (based on their contract); and that scheduling is only on the hour and half hour.
  7. Demonstrates excellent time management through the start of all strength training sessions promptly every 30 minutes. NOTE: If a member is running late, the Personal Trainer may allow the member to complete their 30 minutes of cardiovascular training after the strength training session is finished, room permitting.
  8. Establishes a professional relationship with every member. Encouraging, motivating, and accountability are essential aspects of the Personal Trainer’s job.
  9. Provides a variety of training routines and keeps it interesting based on the client’s needs.
  10. Chooses between 5-7 exercises for up to three sets per training session.
  11. Is always attentive to the members, especially members who are on the strength training floor during their training session.
  12. Understands that members always come before visitors or walk-ins.
  13. Does not have members standing around waiting for exercises on the strength training floor.
  14. Helps individuals fill out contracts when signing-up for a membership at BodyTrac.
  15. Collects initial payment from members and places them in the correct area for the location Manager &/or Owner to collect.
  16. Clearly describes BodyTrac services to potential members.
  17. When asked, conducts follow-up phone calls with members who have not been attending their training sessions.
  18. Enforces the rules and regulations of the facility for the safety and welfare of the staff and members.
  19. Cleans and maintains the facility, including the cardiovascular and strength equipment, bathroom and front desk area.
  20. Acts in a professional manner at all times with the public.
  21. Stands, bends, stoops, walks and lifts recreational equipment intermittently.
  22. Maintains the ability to multi-task, as it is an essential part of the Personal Trainer’s job. Returns phone calls and messages in a timely manner, greets walk-ins & current members, as well as attends to scheduled clients.
  1. ADDITIONAL EXAMPLES OF WORK PERFORMED:
  2. Maintains inventory on cleaning, bathroom, and office supplies. Informs the general manager by email BEFORE the facility is out of supplies.
  3. Performs other duties or special projects as assigned.
  1. REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
  2. Must be eighteen (18) years of age or older.
  3. Graduation from an accredited high school or equivalent.
  4. Must have legal authorization to work in the United States of America.
  5. Must possess personal trainer certification from ACSM, AFAA, ACE, or NSCA.
  6. Must not have been convicted of, plead guilty to, entered a plea of nolo contendere to, or received judicial diversion for any felony charges or to any violation of any federal or state laws or city ordinances relating to force, violence, theft, dishonesty, gambling or controlled substances.
  7. Must not have been convicted of, pleaded guilty to, entered a plea of nolo contendere to, or received judicial diversion for any misdemeanor charges involving DUI/DWI or alcohol, or use, possession, manufacture, or sale of controlled substances or drug paraphernalia within the past five (5) years.
  8. Must possess current American Red Cross CPR/AED certifications or the ability to acquire same within three months from date of hire.
  9. Have knowledge of exercise physiology, anatomy, exercise instruction, exercise prescription, and weight lifting.
  10. Ability to instruct by example and participate in fitness related activities.
  11. Ability to instruct and demonstrate proper use of weight equipment.
  12. Experience in weight lifting and/or strength training preferred.
  13. Knowledge of fitness assessment procedures.
  14. Ability to perform fitness assessments including measuring body fat composition, strength, flexibility and cardiovascular functions.
  15. Must possess a working knowledge of how the body moves.
  16. Must understand the overload principle and specificity in weight lifting.
  17. Literacy in English with the ability to understand and carry out oral and written instructions and posted schedules.
  18. Ability and strong desire to follow BodyTrac Health and Fitness policies and procedures.
  19. Ability to report to work as scheduled and notifies the General Manager in advance if unable to work.
  20. Ability to work flexible hours with some weekend and holiday work required.
  21. Ability to maintain accurate time sheets and submit every two weeks via email.
  22. Ability to establish and maintain an effective working relationship with all members and other staff of BodyTrac Health and Fitness.
  23. Ability to express ideas and directions clearly and concisely.
  24. Ability to work with minimal daily supervision.
  25. Ability to concentrate and accomplish tasks despite interruptions.
  26. Ability to receive constructive criticism from management and be able to implement suggested corrections with a positive attitude.

MANAGERS: Based on the following statements listed below, please assign a rating of the employee’s performance in that area based on your direct observation. A score of N/A can be assigned if the trainer has not had the opportunity to display performance in this area.

Arrives“on time”, which is defined as arriving ten minutes prior to the training shift.

Consumes food and beverages only during breaks or when members are not present.

Turns off cell phone and places phone in a personal bag or in a front desk storage space during working hours. Does not view phone at any time during scheduled work shift.

Maintains the integrity of operating hours, opening and closing at the hours mandated unless approved by the Owner/Manager.

Conducts strength training sessions for the full 30 minutes without endingsessions early.

Uses the 5 minutes at the end of strength training sessions to check in members, advise arriving members on heart rate training, inquire about any ailments, tend to prospective members who have entered the facility, and set up the floor for the next strength training session.

Regularly checks messages left on Tablet either during a natural break from training, in between training sessions, or by the end of the shift.

Refrains from foul or abusive language.

Respects others by avoiding criticism and negative discussions concerning the practices of the facility, the manager, their colleagues, and members.

Limits computer use to business purposes only, which includes refraining from personal use of social networking sites.

Trainer adheres to BodyTrac’s dress code.

BodyTrac work polo, khaki pants or shorts, belt, and tennis shoes must be clean, properly fitting, and worn at all times during work hours. Shirts must be tucked in and hats are not permitted during any work shift.

Trainer maintains cleanliness of gym when members are not present.

Wipes downexercise equipment, as needed throughout the shift.

Handles cleaning tasks ONLY when members are not present in the gym.

Keeps desk area and gym clean and neat.

Completes cleaning checklist prior to the end of shift and not time before last member leaves for the night.

Trainer communicates effectively with manager.

Provides a written record of supplies that are in need of ordering.

Reports in writing any broken or faulty equipment.

Completes contact logs for prospects and members with extended absences for manager to follow up.

Trainer Establishes Credibility with members

Trainer provides a brief 30 second, informal description of themselves upon first meeting a member.

Shares education, experience, reasons for becoming a personal trainer, and commitment to helping members reach their best-ever level of fitness.

If a credible experience exists and time permits, trainer shares a personal success story how they have helped a previous client/member in similar circumstances. Confidentiality must be adhered to and the real names of previous clients should never be used without prior consent.

Trainer seeks to build rapport - a positive relationship built on trust and mutual respect.

Greets each member with a welcoming smile, positive comment, and identifies them by their first name when they walk in the door. For example: “Great to see you back today, Mary!”

Refrains from sarcastic, mean-spirited, or joking comments that have any chance of being interpreted by a member as offensive.

During exercise session, encourages members by verbally affirming their performance, “You can do this…One more…You got it!” or through nonverbal messages, such as a high five or pat on the back.

Ends each session with a positive comment, such as “I recognized that your cardio was a bit tough for you today, but I’m proud of you for sticking with it and not giving up. THAT is what will get you results! See you on Wednesday!”

Trainer exhibits a passion and shares a vision for BodyTrac, themselves, and their members.

Provides consistent, ongoing efforts to teach members the important components of the BodyTrac model to generate results, which includes:

  • Cardio equipment and the variety of programs offered that will keep members motivated and interested in their cardio training.
  • Heart Rate training
  • MyZone training
  • Nutrition guidance

Communicates a sense of partnership with members by engaging fully in their goal planning (e.g. weight loss, fitness, sports training, etc) and decision making.

Maintains an upbeat, positive attitude at all times and refrains from negative or sarcastic comments that could possibly be interpreted as offensive.

Shares enthusiasm for their job in a way that motivates members to perform to the best of their ability.

  • Listens to Facts and Feelings: interpret body language, voice inflection, and hesitations to understand what the member is communicating. For example, when trainer senses anxiety through verbal or non-verbal communication, an appropriate response might be, “I have a feeling you are upset about something. Can you share it with me?”
  • Ask Open-Ended Questions. Questions that cannot be answered with a simple yes or no. Help develop a communication pattern of being open, curious, and positive in a nonjudgmental way. For example, instead of simply asking, “Are you ready to work out?”trainer asks, “What are some of the concerns or questions you have about this workout?”
  • Provides and encourages open and honest feedback by asking questions such as, “What do you think is hindering you?” or “What was the most helpful thing that we did today?”

Refrains from touching member, understanding the boundaries of the professional relationship.

Understands that the member has ultimate authority to veto any exercise asked of them.

Trainer accepts members as they are, no matter what conditioning a member presents.

Praise and encouragement is consistent and based in reality. It is given within the scope of the trainer’s personality so as not to appear insincere and jeopardize the relationship. Even for a slower moving member, a trainer could offer “I appreciate your perseverance and commitment to losing weight. Not everyone has the perseverance that you have!” Always look for something positive to say before the member leaves each session.

All members receive equal attention on the floor.

All energy, thoughts, and actions are directed towards members on the floor at all times, no matter what else is happening in the gym (short of a five alarm fire).

Avoids leaning, sitting down, or standing behind the desk while members are present.

Turns his/her body to fully face the members during the session.

Maintains eye contact when speaking and listening to each member.

Remains standing on the floor in close proximity to members while training and supervising exercises.

Conducts all strength training sessions for a full 30 minutes.

Engages members in relevant conversations during natural breaks, which are to include guidance on diet, cardio on “off” days, and goal attainment.

Trainer will provide direct instruction to all members on the strength training floor.

Provides an explanation of the purpose of each exercise, i.e. to increase strength, heart rate, tone, etc.

Introduces the name of the exercise and states which muscles are used during the exercise.

Personally demonstrates the correct form and full motion of each exercise, at least 2X.

Provides three descriptors of each exercise, such as, “knees remain over the toes”, “hold in core muscles”, “breathe out on the way up”, etc.

Supervises and provides corrective feedback until member successfully performs at least 3 repetitions of exercise independently before moving to the next member.

Spots members performing exercises, when necessary for safety precautions.

Trainer will provide self-disclosure only when it helps a member.

Trainer recognizes that trainer/member relationship is not a two-way friendship in which both parties share information about themselves. Prior to personal disclosure or discussing another member, trainer will stop, think, and make sure that the disclosure is in the member’s best interest and supports his/her change process.

Trainer follows up with and fulfills any commitments requested by client during previous sessions.

Provides researched answers to questions that members may have posed in previous sessions, such as “Should I eat or drink anything during exercise?”, “How can I tell if I am dehydrated?” or membership questions, such as “When does my membership expire?”
