Purpose of Induction
The purpose of this Induction is:
· to introduce you to Swansea ITeC
· to inform you of the terms and conditions of your learning programme

LEARNING AGREEMENT
This information within this document relates to your Traineeship (Work Based Learning) Programme at Swansea ITeC
The Learning Agreement is between Swansea ITeC (Training Provider) and yourself (Learner)
The Learning Agreement outlines the terms and conditions of learning with Swansea ITeC in addition to detailing policies and procedures within Swansea ITeC
This document will be discussed with, and explained to, you during Induction; signing the document indicates your understanding and acceptance of the Learning Agreement. If, at any time, you break the terms and conditions as set out within the Learning Agreement, you may be liable for disciplinary action or asked to leave the programme. As a learner with Swansea ITeC you have rights and responsibilities as detailed with the Learning Agreement, and you will be expected to comply with the rules and regulations which affect and apply to your training programme.
Any subsequent changes to the Learning Agreement will be notified to you in writing.
It is your responsibility to make sure that you read and understand this learning agreement

The Induction presentation is available to view via your Moodle account should you wish to refer to it in the future.
Swansea ITeC were established in 1984 and specialise in the delivery of IT training, whether government funded or commercial. Additionally, Swansea ITeC provide ICT products and services for a variety of organisations including schools and government sectors.
Swansea ITeC are a consortium partner of Skills Academy Wales. Skill Academy Wales have access to a wide range of resources and training opportunities and our partners are:

If, for whatever reason, this training programme is not suitable for you, Swansea ITeC will endeavour to transfer you to an alternative programme, or sign-post to external organisations including our consortium partners.
PROGRAMME INFORMATION
Traineeship programmes are work based learning programmes for non-employed learners aged
16 - 18 years. During the programme, you may work towards recognised qualifications and, where possible, undertake work experience, in addition to developing employability skills.
Traineeship programmes include an activity called Occupational Taster (non-accredited), which enables you to develop a wide range of skills including self-esteem, confidence and basic skills.
Occupational Taster consists of 5 themes:
· Theme 1 – Confidence Building and Communication
· Theme 2 – Develop ICT Skills
· Theme 3 – Basic Skills (integrated within ICT)
· Theme 4 – Career Guidance
· Theme 5 – e-Community
On completion of the Occupational Taster, you will be given the opportunity, following a discussion with your Tutor/Learning Coach, to work towards a range of qualifications that meet both your needs and ability.
Qualifications and Examinations
As part of your work based learning programme, you may study towards recognised industry standard qualifications. The costs for these qualifications will be covered by Swansea ITeC/DfES.
Qualifications may include:

You will be made aware of the relevant examining body’s appeals and access to assessment procedures. Where you are unable to achieve full accreditation, unit accreditation may be considered.
Programme Duration and Attendance
The duration of the traineeship programme is flexible and determined by individual needs:
Traineeship - Engagement
· Approximately 12 - 26 weeks
· Week 1 – 8 (Attend learning for 18 hours per week – 3 days)
· Week 9+ (Attend learning for 21 hours per week – 3.5 days)
· Time: 9.30am – 4.00pm
Traineeship - Level 1
· Approximately 12-26 weeks (may include work placement)
· Monday to Friday (30-40 hours per week)
· Time: 9.30am – 4.00pm
Summer Camp
· 7 weeks
· Monday to Wednesday (18 hours per week)
· Time: 9.30am – 4.00pm
Traineeship Contextualisation (Work Placement prior to apprenticeship/employment)
· Up to 10 weeks
· To be agreed with employer, up to 21 hours per week
· Time: To be agreed with employer
Weekly Timesheets
All learners attending the Traineeship programme must complete weekly timesheets and sign in/out (at the start and end of each working day).
If you are on work placement you will be responsible for completing a timesheet with your employer, in order to be eligible to claim your training allowance and/or travel expenses.
Time-keeping and Attendance
Authorised Absence
Swansea ITeC will authorise time off for the following, but you will be responsible for providing evidence where appropriate:
· Pre-arranged job interviews
· Pre-arranged hospital appointments
· Pre-arranged study leave
· Compassionate leave
· Self-Certified sickness
Lateness Reporting
If you expect to be late you must telephone Swansea ITeC with a valid reason before 9.30am. Persistent lateness is not acceptable and may lead to disciplinary action.
Sickness and Absence Reporting
It is your responsibility to contact Swansea ITeC on each day of sickness before 9.30am. You must provide the reason for absence and an expected return date.
Please note: Failure to adhere to these procedures may result in termination of your training programme.
Attendance
· If you fail to attend your training programme for a sustained period and do not inform Swansea ITeC of the reason, you will be contacted by telephone initially, and subsequently in writing
· You may be pre-authorised for up to 15 consecutive working days. However, if you then fail to attend on the 16th day your programme will be immediately terminated and Careers Wales will be informed.
· If you have been absent from your programme for 10 consecutive without authorisation your programme will be immediately terminated and Careers Wales will be informed.
If you need to cancel/re-arrange Tutor visits to the workplace, you MUST inform Swansea ITeC within a reasonable time-scale and provide options for re-scheduling.

Allowances are subject to attendance and timekeeping, and will be adjusted accordingly in line with Welsh Government guidelines and procedures.
Traineeship - Engagement
· £30.00 per week
Traineeship - Level 1
· £50.00 per week
Travel Expenses
Swansea ITeC has set travel rates from various locations in the geographical area. You are expected to use part of your weekly allowance to pay for travel to and from training or work placement.
The current rates are as follows:
Traineeship - Engagement
· If your total weekly travel costs exceed £3.00, Swansea ITeC will reimburse the difference up to the cost of the cheapest travel option.
· Evidence of Public Transport tickets is required prior to payment.
Traineeship – Level 1
· If your total weekly travel costs exceed £5.00, Swansea ITeC will reimburse the difference up to the cost of the cheapest travel option.
· Evidence of Public Transport tickets is required prior to payment.
Reimbursement of travel is paid with your training allowance every Friday.
If you attend a work placement, your travel allowance will be adjusted accordingly.
Holiday Entitlement
Traineeship – Engagement
· Attending 3 Days per week - entitled to 1 Day per Month
· Attending 4 Days per week - entitled to 1.5 Days per Month
Traineeship – Level 1
· Attending 5 Days per week - entitled to 2 Days per Month
Holidays must be requested at least two weeks in advance and require authorisation from your Tutor – please be aware that your request may be declined as holidays are approved at Tutor discretion.
Learning Process
Welsh Government requirements state that all learners must have a clearly defined learning process. This will include:
· Individual Learning Plan (e-ILP), to be signed and dated within 4 weeks of commencement of learning programme
· Regular Reviews of Progress (at least every 31 days)
· Exit Interview
You will have access to wide range of e-learning resources; for example, Moodle, email and blog.
Work Placements and Experience
Where possible, work placements will be sourced in order to provide added value for you; a discussion with your Tutor/Learning Support will take place prior to you starting any work placement.
Every effort will be made to match your needs with the company needs. When on work placement you must comply with employer/company rules and regulations.
You are expected to commit to the work placement and failure to attend for a reasonable amount of time may result in termination of learning programme.
Guidance and Support
All learners aged 16-19 are entitled to the Careers and World of Work Framework; however,
Swansea ITeC provides this facility for all learners irrespective of age.
Tutor Support
You will be allocated a Tutor, who will provide advice on how to maximise your ability and learning skills. Additionally, the Tutor will:
· Provide advice, guidance and support, both personal and professional
· Carry out Progress Reviews on a regular basis, detailing your progress and providing encouragement, praise or otherwise where necessary
· Act as the first disciplinary agent where required, in line with Swansea ITeC’s Discipline & Grievance Policy
Personal Support
Swansea ITeC, where appropriate, will facilitate access to personal support in order to develop solutions to, and overcome, situations that present barriers to learning. This may be via Tutor, Learner Support or external organisations.
Careers Information, Advice and Guidance
You will be supported in accessing impartial or specialist careers information, advice and guidance from Careers Wales as required. You can also access careers support via your Tutor or Learner Support Officer.
In addition, all learners have access to a dedicated in-house Learner Support Officer at Swansea ITeC for general queries, advice and support.
Referral for Support
Swansea ITeC will forward a Referral for Support to Careers Wales if there are issues with any of the following:
· Unauthorised absence
· Authorised absence
· You want to change vocational route
· You want to leave provision
· You enter the disciplinary process
Careers Wales will contact you and make an appointment for you to meet with them, in order to discuss the issues as detailed in the referral. Following feedback from Careers Wales, Swansea ITeC will meet with you to further discuss your training programme, before agreeing a final outcome.
Standard of Dress
Swansea ITeC allows smart casual clothing; however, the use of non-religious headwear is not acceptable within the centre.
You will be expected to wear clothing appropriate to the environment you are working in – please check with your employer and adhere to their dress code policy.
