CLUB CONSTITUTION/BY-LAWS

ARTICLE I

MEETING

SECTION 1 Regular meetings shall be held monthly. The time and place shall be designated by the membership at the last meeting of the school year in June & recorded in the minutes. A facilities request must go in to receive approval from the BOE to use any on site areas.

SECTION 2 Special meetings shall be called by the President at his/her discretion or shall be called by four or more members.

SECTION 3 No business shall be transacted at a special meeting but for which the meeting was called.

SECTION 4 At least ¾ of the Executive Board MUST be in attendance and SEVEN (7) more members shall constitute a quorum at a regular meeting

SECTION 5 The order of the club business shall be as follows

  1. Meeting called to order
  2. Roll call of officers
  3. Reading of Minutes
  4. Treasurers Report
  5. Report of committees
  6. Unfinished Business
  7. New business

ARTICLE II

SALARIES

SECTION 1 There shall be no remuneration attached to any office of the club and shall be on a voluntary basis.

ARTICLE III

EXECUTIVE BOARD ELECTIONS

SECTION 1 Election for positions on the Executive Board shall be held at the regular May or June Meeting

SECTION 2 Qualifications for nominations shall be any member in good standing status residing within the boundaries of the township of Lyndhurst.

SECTION 3 Nominations shall be made and seconded from the floor by any member in good standing status

SECTION 4 Balloting shall be by written ballot or show of hands. Only Candidates receiving the plurality of the votes shall be declared elected

SECTION 5 The newly elected offices are a two (2) year term. The new officers shall be introduced at the Winter/Spring Awards Banquet (or Spring Banquet) & shall resume office at the close of school year.

ARTICLE IV

AMENDMENTS

SECTION 1 This constitution and by-laws may be amended at a special meeting called by the Executive Board for this purpose. Before final approval can be had, the amendments must be read and voted on at a regular meeting.

ARTICLE V

OFFICERS - EXECUTIVE BOARD

SECTION 1 The officers of the club shall be:

1 President

2 Vice President

3 Treasurer

4 Recording Secretary

5 Corresponding Secretary

They shall be elected at a regular meeting by club members. The officers make up the Executive Board

SECTION 2 The term of Office is two (2) years

SECTION 3 The Executive Board is responsible for all CLUB functions and the CLUB’s fiscal soundness. They also will name replacement to finish out the term of any Executive Board member that resigns. This will be done by a majority vote.

SECTION 4 The President shall preside at all meetings of the club to keep order therein. He/She shall have membership office of all committees. He/She shall have the power to appoint the chairperson of all committees. The President will also nominate a replacement for any open Executive Board position.

SECTION 5 The Vice President shall assume the duties in the absence of the President.

SECTION 6 The Recording Secretary shall keep the minutes of the proceedings of all meetings in a binder/ledger for that purpose only.

SECTION 6.1 The Corresponding Secretary shall keep track of all necessary paperwork needed to be done by or on behalf of the CLUB. The paperwork will be kept in a folder for that purpose.

SECTION 7 The Treasurer shall receive all monies paid to and belonging to the Club and hold the same subject to its order. He/She shall keep a correct and updated amount of all monies received and disbursed, and for what reason. The treasurer shall render a complete report on financial status of the club at each meeting. The treasurer’s books shall be open for audit whenever requested by the club or at the request of the Treasurer.

SECTION 8 The Executive Board will be responsible to keep the limited liability insurance up to date and assure that a copy of a certificate of insurance is always on file at the BOE.

SECTION 9 Any other officer necessary for special function of the club shall be appointed by the President and shall serve for that purpose only.

SECTION 10 All Officers shall be required to turn over all documents, records and properties of the club to their successor in good order at the expiration of their term or when released from office.

ARTICLE VI

COMMITTEES/MEMBERSHIP

SECTION 1 The following Committees shall be constituted as enumerated and overseen by the following officers:

  1. Banquets (Vice-President)
  2. Membership (Treasurer)
  3. Ms. Booster (Secretary)
  4. Concession (President)
  5. Can Drive (President)
  6. Various Fundraisers (President)
  7. Varsity Jackets (Secretary)

SECTION 2 Each Chairperson shall select his/her own committee and shall render a report when called upon

ARTICLE VII

FORFEITURE & RESIGNATION

SECTION 1 Forfeiture of office shall come about when any elected officer shall fail to officiate at 3 consecutive meetings without justification. The office shall than be declared vacant.

SECTION 2 Resignation shall be in writing and shall be acted upon at the immediate meeting following said resignation.

SECTION 3 Upon acceptance of forfeit or resignation of office the vacant office shall be filled by ballot at the same meeting or within a timely fashion.

ARTICLE VIII

AWARDS

SECTION 1 All Varsity Athlete letter winners who played, regardless of what sport will be eligible to receive one (1) jacket. He/she must have participated at least 1 year on that particular sport at the Varsity level. The Booster Club will pay $100.00 per jacket for Active Members in Good Standing & $25.00 for non-members (IF Funds allow and are available). The athlete's family is to pay for the balance of the jacket.

Section 1.2 The Booster Club contributes to one jacket per athlete. Any additional jackets or patches that the athlete may be eligible for is the full monetary responsibility of the athlete’s family.

**At times there may be special cases (i.e. injured players, restricted playing time, etc.). These instances will be addressed and reviewed by the Executive Board & the High School’s Administration for eligibility. Hardship cases will be considered to assist paying all or part of the jackets expense. This will be addressed by the Board and in the strictest of confidence.

SECTION 2 Seniors only may choose from a list of non-monetary gifts from the Booster Club in lieu of a jacket.

** This is staying in line with the specific regulations set forth by the NJSIAA & NCAA.

SECTION 3 SCHOLARSHIPS: Only Athletes of active members in good standing will be considered for all scholarships offered yearly by the club.

SECTION 4 VARSITY DINNERS: There can be a minimum of two (2) dinners given by the CLUB to eligible varsity athletes. One for the Fall athletes & the second for the Winter/Spring athletes. The venues determined upon the previous year’s attendance & if there are additions or subtractions to the LHS sports program. Fiscal feasibility will also be taken into consideration.

SECTION 4.1 ADDITIONAL VARSITY DINNERS: The CLUB can split the Winter/Spring dinner into two dinners as seen fit by the Executive Board.

SECTION 4.2 Parents/guardians/step-parent (there will be exceptions made for divorced parents) may attend the dinners. This is limited to two (2) Parents/guardians/step-parent per athletic family at a cost determined by the Executive Board. No siblings under the age of 18 or still attending high school can attend.

SECTION 5 FUNDRAISING ASSISTANCE The CLUB will step in to assist in fundraising for any individual sport that makes a formal request to the CLUB. The CLUB will also make a contribution to certain endeavors’ benefitting the Athletic Department and the teams there within, if fiscally responsible and approved by the Executive Board.

ARTICLE IX

FISCAL YEAR

SECTION 1 The fiscal year of the club shall be same as school calendar year.

ARTICLE X

HONORARY BANQUET GUESTS

SECTION 1 All athletes receiving Varsity Letters , team Managers and Statisticians.

SECTION 2 All Managers, Coaches, & Lyndhurst Board of Education approved Volunteer coaches of each respective sport. All persons selected by the club (i.e. LHS Principal, LHS Assistant Principals, Superintendent of Schools, Assistant Superintendent of Schools, Business Administrator, Athletic Director, Trainer, Distinguished Guests, Club’s Executive Board, etc.)

ARTICLE XI

GENERAL

SECTION 1 Members shall assume financial responsibility for all tickets/summons charged against them.

ARTICLE XII

DISSOLUTION OF ORGANIZATION

SECTION 1 Upon dissolution of this organization, the balance of money left in the organizations account will be donated to the student athletes of Lyndhurst High School in the form of Scholarships
