RESPONSIBLE TO:Head of Languages/Beauchamp Baccalaureate Programme Leader

SALARY:Grade 5.9, Actual salary £7,091.00

HOURS:20 hours per week; 38 weeks per year.

PRINCIPAL RESPONSIBILITY

AREAS:Overall responsibility for administrative tasks within the Languages Faculty and the Beauchamp Baccalaureate programme, ensuring an efficient service is provided to students and staff.

This post is eligible for a DBS check under the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (i.e. it involves certain activities in relation to children and/or adults) and is defined as regulated activity under Part 1 of the Safeguarding Vulnerable Groups Act 2006. This post is designated as a regulated activity and requires enhanced criminal records check for a regulated activity (including a barred list check).

DUTIES AND RESPONSIBILITIES

Languages Administration Role

  • Maintain student records on a database and in folders
  • File students’ work and recordings on the shared area and in folders
  • Maintain the filing system
  • Draft and process letters, posters, leaflets, etc
  • Update Faculty folders as necessary
  • Make an annual inventory of all Faculty furniture and equipment
  • Organise or assist in organising school trips to revision conferences and abroad
  • Organise seating arrangements for GCSE trial exams. Liaise with the Head of Department to organise speaking trials
  • Order texts and collect payment from students for the books and record purchases and spending in the budget folder.
  • Organise new administrative systems as and when required
  • Maintain and order resources and texts for the Faculty
  • Maintaining equipment to ensure it is in good working order
  • Maintain displays and notices up to date in languages corridor
  • Liaise with staff to organise intervention sessions, and communicate with parents accordingly
  • Take messages from parents and communicate with staff in accordance
  • Communicate effectively with students, parents and members of staff
  • Ensure there is work and cover provided for absent teachers

Beauchamp Baccalaureate Role

  • Provide weekly updates to the co-ordinator of the baccalaureate programme on student attendance, behaviour, effort and student achievements
  • Liaise with tutors, heads of year and heads of house to request information on student achievements
  • Maintain student records on a database; including attendance, behaviour and records of students completion of the personal development programme
  • Draft and process letters, posters and leaflets to disseminate information to staff, parents and students
  • Communicate effectively with students, parents and members of staff to update all stakeholders on the progress of baccalaureate students

Person Specification

Essential / Desirable
Educational and Professional Qualifications
GCSE Maths and English / Minimum of one year’s office experience
Experience
Good word processing and IT skills, including use of Word and Excel / Experience of working in a school environment
Experience of minute taking
Skills/Knowledge/Abilities
Good interpersonal skills and enjoys dealing with staff and students on a day today basis
Ability to work on own initiative and be pro-active, as well as being an effective team member
Strong organisational skills and ability to prioritise work
Able to deal sensitively and appropriately with confidential information
