What to include in the plan:-

What are your critical processes/key activities?

Where do you carry out these processes/activities and do you have an identified alternative location?

Who are likely to be affected by any disruption to these processes/activities?

Howquickly do you need to get these processes/activities up and running?

What doyou need to provide these processes/activities, eg, staff, equipment, IT, documentation etc?

What existing back-ups do you have in place?

What would be the consequences for you or your customers/clients if you could not recover these processes/activities timeously?

Then consider the following:-

Ways to lower the risk – finding alternatives.

Ways to protect if alternatives cannot be found are impractical.

Scenarios

You may find it useful to use particular scenarios to demonstrate how you would deal with a particular incident:-

i.e.

Loss of access to building (fire, flood, structural)

Loss of staff (strike, illness, unable to get to work – fuel crisis)

Loss of communications (phones, computers, software, client information)

It may be that you have experience of implementing contingency arrangements in the past, include the lessons learnt in your plan.

Do not forget to refer to existing plans and documents i.e. Building Evacuation Plan which may interlink to your Business Continuity Plan.

A pre-arranged call out/contact system is necessary to ensure that the right people are mobilised to their place of duty and in the minimum time.

A copy of a Cascade system of Callout for when an event happens outside normal working hours is attached although the actual personnel call-out information may vary.
