ENDNOTE

Go to the UT software distribution page:

Log in using your username and password. Scroll down to the bottom and click on Thomson Reuters (EndNote). You will see a list of products appear. Select the version you need for your computer and click Download Selected Item.

Click Click here to begin download.

Save the zip file to a location you can remember. Then open it, unzip the file, select “Run,” and go through the steps to install the software.

Open the program.

Click Create a new library

Name your library something you will remember and save it somewhere convenient.

The program will open to your new (empty) library.

The first thing you want to do is change the output style to APA. Click on Edit, select Output Styles, and select APA 6th.

To add a new journal article for which you have all information, start by clicking the Add New button.

Enter all information. You need to enter the author’s last name first. You MUST enter the article title with all lowercase (other than first word, proper nouns, or first word after colon) for Endnote to be able to put it in APA 6th edition style correctly.

Scroll down and enter keywords, abstract and notes.

When you are done entering information, click on the red X in the top corner of the article window. You will be prompted to save the changes. Click the box Do not display this message again so that the program always will save for you. Then click Yes.

You also can import information directly from Ebsco and other databases. To do so, find an article that you want to add to EndNote. While you are looking at the article screen, click Export on the right.

When you see the Export Manager, make sure that the top button is selected (Direct Export…). Then click Save.

You will see the reference appear in the library.

You probably will need to edit the citation. Article titles usually come into EndNote with every word in the title capitalized.

In this example, I had to change the title to lowercase and remove the publisher.

Sometimes, you have to remove other weird parts that you do not want in your reference, such as ISSN. Look at the preview of the reference and see if there are parts that do not belong. Remove those things as needed.

Scroll down and see if you need to change the keywords or other information. I did not make changes in this example.

Now, you will see your new reference in your library. Use the preview screen to see if it looks correct:

When you want to create a citation and reference in your document:

As I am typing, I want to cite an article in my document. I click the EndNote tab in the top menu. (Sometimes this is under the References tab (depending on the version of Word you are using).

Click on Insert Citation.

You will see a window open where you can search for the article you want to cite. Type the name and click Find. Click on the article in the window and then click Insert.

The citation will appear in your text wherever you had the cursor placed (Cihak, 2012). Make sure to type the period after the entire citation in parentheses if it is located at the end of the sentence.

When you scroll down, you will see that Endnote also put the reference at the bottom of the page. Do not reformat your references (e.g., double space) until you are completely done with citations because they will change back each time you place another citation.

If you do not want to use the citation as it appears (author’s name and year in parentheses), you can make changes. In the instance below, I want to remove the author’s name. I typed the author’s name, inserted the citation as before, and then right clicked on the citation. Then, I selected Edit Citation and Exclude Author.

According to Cihak (Cihak, 2012)

According to Cihak (2012), some text goes here… You can see that the author’s name disappeared and only the year remained. It will put the article into the references even if you choose to remove the author and year.

Of course, you will need to insert a page break above the references and add the word References in bold. Once you are done citing, you will see all of your references in alphabetical order. To change them to APA style, you will need to select them, change the font to whatever you are using in the rest of the document (usually Times New Roman size 12), and then double space. Again, do not do that until you are finished because Endnote will change the references back every time you update a citation.
