FACILITIES COORDINATOR

  1. RELATIONSHIP TO STRUCTURE AND MISSION: The Facilities Coordinator oversees or directly conducts the activities necessary to maintain the buildings and grounds of SalemLutheranChurch as appropriateto support the ministries of Salem. TheFacilities Coordinator isa full time employee and is supervised bythe Senior Pastor. Hours worked are scheduled by mutual agreement of the Facilities Coordinator and the Pastor, not to exceed 40 hours per week unless prior approval by the Senior Pastor is given. The Facilities Coordinator is required to know and support the Core Beliefs and Mission of Salem as a condition of continued employment.

THE FACILITIES COORDINATOR’S ROLE AS A REPRESENTATIVE OF SALEM: The Facilities Coordinator is normally in contact with people in and outside of the congregation, and has a clear duty to carry out the “Welcome” portion of our mission statement, makingthose with whom he/she interacts feel welcome. This may require significant effort to be cheerful, to provide both clear information and directions, to hear concerns of others, and to make a good and lasting impression in terms of attitude, responsiveness, personal appearance, and appearance of the facilities.

THE FACILITIES COORDINATOR’S SKILLS AND ABILITIES: The Facilities Coordinator must havegood general knowledge regarding the operation and maintenance ofthe HVAC, electrical, and plumbing systems in the various facilities owned by the church, and the materials, chemicals, tools and processes employed in normal internal and external custodial and maintenance activities of the buildings and grounds of the church.

The coordinator must be physically able to perform normal custodial and grounds maintenance and routine building maintenancetasks, including lifting ladders, tools, supplies, and waste containers, etc.

The coordinator must be able to develop work schedules andmaintainrecordsto support budget planning and maintain building and system warrantees.Basic computer skills are a plus, but related general experience will be considered.

Good communication and people skills are required for interaction with members, visitors and staff, and recruiting and coordinatingvolunteers assisting with custodial and maintenance activities, and providing service and hospitality at Salem, sometimes on short notice.

The church will provide for training when needed to properly service and maintain facilities systems.

  1. THE FACILITIES COORDINATOR’SGENERAL DUTIES AND RESPONSIBILITIES: The FacilitiesCoordinator is responsible for all routine and seasonal custodial and maintenance functions required to maintain the value and appearance of the buildings and grounds, and support the ministries of Salem.

It is expected that the coordinator will perform the majority of the work personally, except for those tasks requiring specific professional or technical capability for compliance with regulations or safety standards, or when volunteers from the congregation or members of the Facilities Team ministry assist.

It is understood that the church at times responds to personal needs and community events on short notice (for example, Funerals) and work schedules must be adjusted accordingly.

General duties and responsibilities are as follows. Additional specific duties may be described and listed in an addendum to this document to facilitate complete understanding of expectations between the coordinator and supervisor.

A)Develop a maintenance schedule and record system to assure that the buildings, grounds, and systems owned by Salem are in good operating order at all times. Facilities used but not owned by Salem are not generally subject to these provisions unless special arrangements are made.

B) Develop and maintain a vendor call list for support of the various systems in the event of an emergency.

C) In some cases, contractual agreements may be needed. All agreements must be coordinated with the Pastor and Church Treasurer, and signed by the President of the Congregation before commitments are made. The Facilities coordinator will normally oversee the work performed under these agreements.

D) Working with the Facilities Team to submit an annual report describing the condition of the facilities and grounds along with an outline of the review process supporting the conclusions. This report is due by September 1st for review at the September meeting of the Congregation Council.

E) Submit a budget requesteach fall when requested by theFinancial Secretary to be considered by the Finance Team and Congregation Council for the subsequent year’s operating budget.

F)Work with the FacilitiesTeamministry to encourage volunteer participation in the maintenance of the facilities and grounds.

G) Perform daily/weekly cleaning of all internal areas of the main church facility, including the Sanctuary, narthex, classrooms, offices, library, fellowship hall, kitchen, restrooms and hallways, to assure that the facilities are ready for the next scheduled activity. H) Perform weekly cleaning of Salem WEST and Mustard Seed buildings as listed in addendum.

I) Perform/oversee maintenance of plantings and green areas, including mowing, trimming, and fertilizing, and cleaning/sweeping of sidewalks and entrance areas.

J) Perform/oversee clearing of snow and ice from approaches and entrance areas in a timely manner.

K) Perform/oversee window cleaning, light bulb replacement and minor maintenance activities such as adjusting door hardware, replacing batteries, replacing filters, etc.

L) Perform setup and take down activities as required to support the ministries of the congregation, special congregational events, and community activities as approved by the Congregation Council.

M) Follow procedures established by the Financial Secretary to order maintenance and custodial supplies.

N) Store supplies in an orderly, safe and secure manner.

O) Be aware of the special nature of the Columbarium and assure that it and the area around it are maintained in the appropriate respectful manner.
