MEETING MINUTES

Call to Order
1.The meeting was called to order at 7:12 p.m. by David Manor.
Approval of Minutes
2.Upon motion by Greg Bond, second by James Pooler, vote carried to approve the August 23, 2016 meeting minutes as written.
Treasurer’s Report
3.A.Income/Expense Report– Dave M. stated that the association was approximately $4,000 short this year according to the last available treasurer’s report and that funds would need to be pulled from reserves in order to cover the shortage.
B.List of 2016 Members–Nothing to report in the Treasurer’s absence.
C.Insurance Payment – Upon motion by Greg, second by James, vote carried to approve the release of $2,346 to remit payment for insurance dues prior to month’s end.
Old Business
4.A.New Website Update – Dave M. advised that Dave Llerena continues to work on the new site. The current site is having issues that are becoming progressively worse and has limitations in terms of administrator capabilities. There are still calendars for the clubhouse, downloadable forms, and other documents on the current site, which Dave L. is in the process of transferring to the new site. He will also need some higher resolution, updated photos for the home page of the new site.
B.Street Lights Update – James stated that the project is now in the hands of the design engineer. It takes approximately 6-8 weeks for all ordered fixtures to be received. The work will hopefully be completed before the end of October.
C.Halloween Party –The Halloween party is scheduled for October 30, 2016 from 12:00 p.m. - 2:00 p.m. Flyers containing information about the party as well as the upcoming garage sale will be distributed throughout the neighborhood.
D.New Locks for Remaining Gates – Ron Shady stated that the locks have been received and that the delay in delivery was because the items were on backorder. He said that the gate to the basketball court would be the first to be changed out, and the remaining locks would be installed by year’s end.
E.Secretary Needed / 2017 Board Members– Dave M. encouraged all to start talking with neighbors to find anyone that might be interested in participating on next year’s board.
F.Fix Clubhouse Floor / Wax and Buff –
New Business
5.A.Garage Sale – Ron suggested that the flyer for the garage sale and the Halloween party be printed on colored paper for more visibility. He also suggested that the cost of participation in the garage sale should be free to HOA members and $5 for non-members. Discussion ensued.
Upon motion by Ron, second by James, motion carried to allow HOA members to participate in the garage sale for free and to charge $5 for non-members’ participation.
Upon motion by Ron, second by Greg, vote carried to approve an amount not to exceed $75 for printing of the flyers.

6.The next scheduled meeting is October 18, 2016 at 7:00 p.m. in the SSHA Clubhouse.
