Tramshed Theatre Hire Terms and Conditions
General Terms
- GLYPT (The Venue) will provide space(s) as agreed on the booking form in a clean and safe condition, including heating, lighting and access to toilet facilities.
- The Hirer will pay the fee as set out in the booking agreement when required by the management. The Hirer will use the premises only for the activities agreed and will leave the premises in the same condition as when they arrived. Any accidental soiling or damage to the facility must be reported to the Duty Manager on the same day.
- The time booked must include time to prepare the space and clear up afterwards.
- Any out of hours hire less than 4 hours incurs a minimum 4 hour duty manager fee @ £10 per hour.
- A deposit of £200.00 will be payable on certain hires at the discretion of the management to cover damage cleaning costsand exceeding the agreed hire period. This will apply to all evening events where alcohol is sold or served. This must be paid in advance and is refundable providing no damage is incurred and the agreed times of the hire are not exceeded.
Use of Space
- The Hirer will have sole use of the spaces booked but must bear in mind that there may be other activities happening in the building. All users are asked to be considerate, both of other hirers and of GLYPT staff. If using the Studio, there may be other users accessing the toilets. The kitchen facilities may be used by GLYPT staff and hirers but not by participants, young people or the general public.
- The Tramshed is not available for regular religious meetings, or for party political events.
Staffing
- The Venue will provide a Duty manager at all times while hirers are using the Premises. At weekends and evenings later than 8.00pm this may incur additional charges. The Duty Manager is responsible for safety of the public and security of the building.
- The Hirer is responsible for providing any other staff required in connection with their activity

Technical facilities & equipment
- The use of any technical equipment belonging to GLYPT must be agreed in advance with GLYPT’s Technical and Production Manager. There may be a charge for the use of some equipment. The use of Theatre lighting will require the attendance of a trained technician.
- Any electrical equipment which the hirer brings in must be PAT tested.
Publicity, Tickets and Box Office
- At the management’s discretion, the venue can assist with publicity by displaying posters and flyers; artwork should be presented in advance for approval by the administration. The Venue reserves the right not to display unsuitable material. GLYPT will also, if appropriate, list hirers events on our website.
- Hirers must make their own arrangements for selling tickets both in advance and on the door.
INSURANCES
- The Venue and Hirer will each effect and maintain adequate insurance policies to cover all requisite statutory and other legal liabilities as follows:
- the Venue shall be responsible for public and employer’s liability cover in respect of the venue, the staff of the venue and the general public visiting the venue. The Venue shall not be responsible for loss or theft of or damage to property belonging to the Hirer or its employees unless such loss or damage is the result of the negligence of the Venue or the Venue’s employees.
- in any case not attributable to negligence on the part of the Venue, the Hirer shall be responsible for such cover in respect of the Hirer’s employees and members of the public, and against all risks in respect of the property of the Hirer and its employees arising out of the use and occupancy of the venue. In this respect the Hirer undertakes that the performances and other activities shall not be dangerous nor harmful to employees of the Hirer, employees of the Venue or audiences and other participants, and is responsible for drawing to the attention of the Venue any activities within performances to be given that may require special precautions and/or special licences or may involve additional insurance premiums. The Hirer shall also be liable for and make good all loss or damage to the property where such loss or damage is the result of negligence of the Hirer or the Hirer’s employees.
- The Hirer and Venue shall not do or allow to be done in or about the premises anything whereby any policy of insurance effected by the other may be invalidated or, except as notified under Clause 2.1 above, which may cause any increased premium to become payable for such insurance, but shall at all times use all proper precautions to prevent loss, or damage or harm by fire or accident.
CANCELLATION
- Occasionally the Venue may need to cancel a regular booking due to a clash with another event – in this case, wherever possible, at least 1 month’s notice will be provided to the hirer. Should the cancellation occur within less than 1 week of the booking taking place, the Venue will reimburse the Hirer compensation of any money already paid fee.
- The hirer may cancel a single ocurrance of a regular booking (e.g. for holiday) with a month’s notice without penalty. If cancellation takes place within 1 week of the booking the booking fee is still payable.
- Bookings may be cancelled by either side in the event of a breach of the terms of this agreement.
PARTNERSHIP
Nothing in this Agreement shall be taken as creating a partnership between the parties
ASSIGNMENT
This Agreement may not be assigned to a Third Party by either party.
THIRD PARTIES
No one apart from the parties to this Agreement can enforce any part of this Agreement.
