Service overview
The continued focus of Ofsted and the DfE on school leadership and governance underlines the value of professional clerking, particularly in relation to the provision of evidence of good governance. Through ourflexible clerking and information package,the Leadership and Governance teamwill provide expert and professional support to meet the needs of individual trust boards and its local governing bodies.
Our Advisers will deliver a full service to support your trust board to fulfil their role in promoting high standards of educational achievement.
What you can expect

- Support for trust board committees
- Support for local governing body/bodies
- Support for members’ general meetings, if required to do so

We will:
- allocate an adviser with expertise in current developments and legislation affecting academy governance
- provide advice on procedural and legislative matters in relation to the trust board, its committees and local governing body/bodies
- respect confidentiality of the trust board and/or local governing body/bodies
- give or facilitate access toadvice on the role and responsibilities of members of the trust board, trustees and local governors and those taking on new responsibilities such as chair or vice chair
- acts as the first point of contact for trustees and/or local governors with queries on procedural matters
- provide advice and support in drawing up protocols for dealing with issues such as codes of conduct, governor visits and the induction of new governors
- provide resources and support such as information booklets, model terms of reference for committees, model policies and guidance via the website and GovernorHub
- disseminate news and information to governors on national and local issues via GovernorHub, the website, termly Agenda Briefing and newsletters
- prepare and issue the meeting agenda(and associated paperwork supplied by the client) to membersof the trust board, its committees and/or local governing body/bodies, as appropriate via email, or uploaded to GovernorHub, within the set timescales
- attend the meetings of the trust board, its committees and/or local governing body and produce accurate minutes
- distribute minutes to governors within 21 working school days of the meeting
- administer the appointments/nominations and resignations of members, trustees and local governors
- provide a welcome pack for newly- appointed trustees and local governors and a refresher pack for re-appointed trustees and local governors
- provide access to GovernorHub
- attend training and briefing sessions arranged for advisers
What we expect from you
You will:
- inform the Leadership and Governance team of the election, appointment or resignation of new or re-appointed members, trustees and local governors
- take responsibility for ensuring that newly appointed/re-appointedmembers, trustees and local governors complete and return their declaration form
- inform the Leadership and Governance team of any changes in the members’, trustees’ or local governors’contact details including email addresses
- liaise with the Leadership and Governance team to agree meeting dates and agenda
- via the Chair, return draft minutes to theadviser within 5 working days of receipt
- maintain regular communication with the adviser to enable him/her to fulfil their role
- provide the adviser with access to any trust or local governing body portal (where GovernorHub is not used) to enable her/him to perform their role effectively
Services provided at no charge to the Academy Trust/MAT
We will
- maintain a database of individual trustees and local governors
- provide access to general information on the website and GovernorHub. Detailed information is part of the traded service and will be password protected
About us
We are a skilled team of specialist advisers with a high level of expertise in academy legislation, clerking and organising governor training and development. Our advisers have been awarded, or are working towards, a national clerking qualification. In addition to their own skills, they have access to experienced senior officers who have a wide range of high-level educational expertise.
Cost
Package A
Three trust board meetings per year £2,099
The above prices are based on a maximum of three hours per meeting. If the meeting extends beyond this time, a surcharge of £30 per fifteen minutes’ additional attendance will be made
Package B
Three trust board meetings plus three committee meetings per year £2,613
The above prices are based on a maximum of two hours per meeting. If the meeting extends beyond this time, a surcharge of £30 per fifteen minutes’ additional attendance will be made
Package C
Three trust board meetings plus six committee meetings per year £3,295
The above prices are based on a maximum of two hours per meeting. If the meeting extends beyond this time, a surcharge of £30 per fifteen minutes’ additional attendance will be made
Package D
Three trust board meetings plus nine committee meetings per year £3,919
The above prices are based on a maximum of two hours per meeting. If the meeting extends beyond this time, a surcharge of £30 per fifteen minutes’ additional attendance will be made.
For each additional named local governing body joining a/the MAT the following costs will apply:

Package C
Three local governing board meetings plus six committee meetings per year £2,995
The above prices are based on a maximum of two hours per meeting. If the meeting extends beyond this time, a surcharge of £30 per fifteen minutes’ additional attendance will be made
Package D
Three local governing board meetings plus nine committee meetings per year £3,588
The above prices are based on a maximum of two hours per meeting. If the meeting extends beyond this time, a surcharge of £30 per fifteen minutes’ additional attendance will be made.
Additional meetings arranged outside of the above packages (including committee meetings) can be clerked by arrangement and will be charged for separately, at a rate of £205 plu VAT per meeting.
The team’s capacity to undertake the clerking of additional meeting is limited and is dependent on the level of demand in relation to the number of schools requiring the service.
Payment details
You will receive one invoice, in May. Where an extra charge is incurred for agreed additional meetings or charges, an invoice will be raised by the end of the month in which the meeting takes place.
Length of agreement and notice period
One term’s notice in writing is required to terminate this agreement.
